LSEG (Conteq DocSpace)

System implementation of management of electronic documents and workflows of DocSpace in Logistika Severo-Evropeyskikh Gazoprovodov» (LSEG) LLC allowed to create a convenient unified environment for joint work with documents, independent of the developer and easily supported by IT service.

LSEG – the geographically distributed company therefore the main objective of creation of an electronic document management system was consolidation of all documents of the company on unified convenient environment.

The project started at the end of 2012 and in two months the staff of the company felt return: there was a convenient access to uniform base of documents, process of approval of documents in the company accelerated.

A year later after the beginning of the project, the system created on the basis of the shrink-wrapped DocSpace software product integrates more than 130 thousand documents. Access to a system is provided via the web portal, work is organized in all departments of the company, and the management quickly controls business processes via iPad tablets.

In an electronic document management system of LSEG LLC the following document types are implemented:

• the entering and outgoing correspondence,
• different types of agreements,
• normative reference documents: job descriptions, provisions, regulations, documents SMK,
• organizationally – administrative documents: orders, protocols, orders, solutions,
• more than 20 types of memos.

Separately It should be noted automation of functions of control of performing discipline which allowed to keep track quickly of quality of document handling and efficiency of each employee.

Important feature of the project is the maximum independence of the implemented system of the developer. DocSpace is implemented on MS SharePoint2013, and it means that a system is flexible and convenient for administration.

Result:

As a result of system implementation of DocSpace, Logistika Severo-Evropeyskikh Gazoprovodov LLC received the unified environment supporting all lifecycle of documents, integrating all staff of the company in each department.<

Creation of such environment allowed:

• regulate all the document focused processes,
• organize operational work with documents,
• implement means of the automated control of performing discipline,
• increase decision making speed due to minimization of time for document handling.
• provide safe, long-term document storage.

Staff of the company received the convenient tool for creation, joint work, registration, the movement, storage and access to documents.

The IT service LSEG LLC received easily customized and reliable system which is simple for supporting.
