"LUKOIL-Inter-Kard" completes the project of automation of operating activities

"LUKOIL-Inter-Kard" implements the project on automation of operating activities. Within the project specialists 1C-Rarus on the platform of "1C: Accounting 8" create the system of accounting, is centralized and unified tax accounting in representative offices in the different cities of Russia and the CIS countries, the company contractor of the project reported on December 17, 2012.

Start

In 2011 "LUKOIL-Inter-Kard", expanding the product portfolio, started implementation of a new processing system and new card products:

• new fuel card;
• co-branded card of loyalty with the banking application.

At project development there was a need to provide integration of accounting and tax accounting with a banking (processing) system and the website of the company.

After the analysis of the delivered business challenge and all requirements of the company the decision to transfer work of accounting to the modern, scalable and failsafe platform "1C: Enterprise 8.2" is made. The new information system was designed to solve a number of important problems:

• Consolidation of conducting accounting and tax accounting in the unified information system;
• Automation of process of formation of a large number of invoices according to the transactions made by clients at gas stations;
• Work with the large volume of booking data;
• Integration with a banking (processing) system and the website of the company.

The 1C: Accounting 8 software product became a basis of a system. Implementation was carried out by specialists of 1C-Rarus company.

Solution

The system integrated with the client bank and the website of the company allows to distinguish and keep automatically podogovorny account of transactions on fuel cards Lukoil. Necessary documentation is provided just in time that raises a customer loyalty to the company.

In a system work the central office "LUKOIL-Inter-Kard" in Moscow and divisions in Volgograd, Nizhny Novgorod, Perm, St. Petersburg, Krasnodar, Chelyabinsk, Minsk, Kiev and Baku.

Result

In a project deliverable:

• Accounting and tax accounting is centralized, standards of its maintaining are unified. Time and labor costs are reduced by consolidation of data.
• The uniform standard of accounting for all company is created. Today the staff of representations is responsible only for daily input of primary data in a system, and all reporting is prepared at head office in Moscow and sent on representations. Implementation of a new system also allowed to accelerate twice preparation of reports – today "closing of month" happens in only three days.
• The quality of work with the client bank is increased and manual work of staff of departments of accounting is excluded.
• For December 17, 2012 about 140 thousand client agreements are signed with the unique code which is specified at commission of transactions on fuel cards. Thanks to it a system automatically identifies 99.5% of payments and carries them to certain agreements, exempting the staff of department of accounting from laborious and laborious work.
• Terms of providing primary documents by everything to clients are observed that increases quality of service and reputation of the company in the market.
• Process of formation of a set of primary documents in the PDF format on the basis of transaction data of a banking (processing) system is automated. Process takes place in a system according to the set schedule without participation of users. Thanks to the configured integration with the website of the company, the created packets of the PDF documents of times in 10 days are unloaded in a personal account of the client on the website that allows clients to monitor all purchases according to the fuel card and to effectively plan a funds expenditure. In "LUKOIL-Inter-Kard" work with paper documents which delivery occupied a progressive tense earlier is excluded today.
