2023: How auto parts supplier NSKOIL beat stock reshuffle and errors with mobile automation

One day, paper invoices stopped handling the flow of orders

NSKOIL - the official distributor brands ABRO, GT-OIL and KITTO in - Siberia faced a challenge familiar to many companies operating with more SKUs. The goods were recorded in "1C: Trade Management 10.3," but only by the name of the nomenclature. Auto parts were packed in the same craft boxes, and they were difficult to distinguish from each other. When accepting and shipping, storekeepers checked the name on the package with the list on the paper invoice, ticking the boxes manually.

This approach led to frequent changes - the client could receive the wrong product. In addition, the speed of operations was slow, and this caused dissatisfaction of buyers. The situation was aggravated by the fact that orders had to be sent both in Russia and in the CIS countries by their own transport and transport companies. In such conditions, the error could result in the loss of a client and serious financial losses.

Attempts to solve the problem within the old system did not yield results

Anton Alekseevich Voronkov, the owner of the company, has repeatedly tried to improve the situation. An additional number of employees were hired, double control was introduced after assembly and before the shipment itself. However, the human factor remained the main cause of errors.

The company tried several accounting systems - none worked as expected. Anton Alekseevich has almost lost hope of finding a solution that can radically change the situation.

Partners came to the rescue to business - they recommended contacting the integrators of the company First BIT"," who offered automate the warehouse using the mobile "" software and Kleverens data collection terminals. The decision seemed promising, but required verification in practice.

Effortlessly

NSKOIL management appreciated the advantages of Kleverens software: ready-made integration with 1C, working with various models of data collection terminals (shipping documentation), the ability to abandon paper documents. It was also important that the implementation did not require deep technical improvements. The system offered a ready-made solution for warehouse process automation, adapted for typical business processes.

The company received an understandable and functional tool that made it possible to quickly start working with electronic documents, barcodes and simplify the identification of goods. After consulting with experts and evaluating the capabilities, NSKOIL decided to start integrating the software.

From idea to launch: how preparations for automation went

Preparation for implementation began with the consolidation of office and warehouse networks into one local network. This made it possible to speed up the exchange of data between computers and further configuration. Further, the specialists of the "First BIT" selected equipment - a label printer and shipping documentation. And set up mass barcode generation for all products so that each box has a unique identifier.

After that, the integrators installed and set up Warehouse 15, integrated with 1S:UT 10.3. And data exchange was configured via Wi-Fi. For ease of work and to minimize errors, unnecessary business processes were disabled that could distract employees or create a risk of failure. The team was trained in two weeks - after which the system was ready for a full launch.

Training and First Calls in New Processes

Implementation went quickly, but employee training was the first test. Storekeepers and managers needed to master the work with shipping documentation and new software. Some feared that the new technologies would slow down, but within a few days the team began to feel confident. Specialists of the "First BIT" provided support at each stage, helping to understand the features of the system.

Another difficulty was changing the workflow itself. Now, when accepting the goods, it was necessary to immediately glue the boxes with barcodes. This step slightly increased the time at the initial stage, but avoided many errors further. Over time, the new algorithm became standard, and employees noted an increase in the speed and accuracy of tasks.

Checking the system in real operation: first results

After the implementation was completed, NSKOIL began to use Kleverens in its daily work. The first weeks showed that automation really works: documents now come to shipping documentation in electronic form, and scanning barcodes allows you to accurately identify the product. There were cases when they mistakenly accepted goods brought from the wrong supplier.

The processes have become more transparent, and control over the movement of goods is complete. Storekeepers are no longer dependent on paper lists, and errors related to the human factor have decreased to a minimum.

In addition, the time for acceptance, selection of orders and shipment was significantly reduced. The decrease in the number of errors positively affected the company's reputation and the level of trust on the part of customers. Financial losses associated with returns and correction of inaccuracies also decreased. "Kleverens" has become not just a tool, but the basis of a new level of warehouse management.

Stability, manageability and confidence in the future

With the introduction of the system, NSKOIL returned to well-established work. All processes have become controlled and predictable. Each employee acts according to an understandable algorithm, which reduces the load and increases efficiency. The system allows you to easily find the desired product, place it correctly in the warehouse and quickly execute orders.

The team received not only new tools, but also confidence that any operation would be performed without errors. This had a positive effect on the moral climate in the team and the level of customer satisfaction. NSKOIL has confirmed the status of a company that can be trusted - both in product quality and in order accuracy.

Now NSKOIL is at the stage of mastering new opportunities. The capabilities of the system allow you to expand the range, increase the volume of orders and develop areas such as car tires. The company is already considering the possibility of introducing DataMatrix code labeling and integration with the Honest SIGN system.

Not just a solution, but a reliable partner in automation

Anton Alekseevich shares his experience with other entrepreneurs. He notes the high level of support from partners and the speed of implementation.
