2020: Automation of a time recording of specialists of OTsO of Metalloinvest

On February 3, 2020 the 1C-KPD company reported that it automated accounting of use of working time of specialists of Metalloinvest Corporate Service LLC – the multifunction general service center (GSC) of Metalloinvest group. The system of accounting of working time created on the basis of the solution "1C: Document Flow" at the time of implementation covered about 800 jobs. Implementation allowed to organize operational accounting of the working time spent by employees for accomplishment of multi-profile tasks. The management obtains detailed information on development and efficiency of employees of HR department, accounting, secretaries of the servicing center and others. It helps to control quickly employment and to effectively use working time of employees for the solution of other tasks. The period of idle times of working time of specialists of OTsO was reduced, the performing discipline and quality of their work increased.

According to the company, the staff of OTsO keeps accounting and tax accounting, treasuries solve problems, personnel managements, maintenances of purchasing activity, deal with issues of legal support and economic safety of the companies of holding. The operational solution of these tasks directly affects efficiency of all group therefore it is important to management to obtain information necessary for competent task allocation, management of working time and employment of personnel of the center.

Earlier for accounting of employment, working time and labor costs of specialists of MKS LLC spreadsheets were used. At the same time quite often in a time recording there were errors connected with a human factor: not always employees correctly provided necessary information, not all data were verified by the management. Besides, big labor costs were required by updating of data and formation of the consolidated indicators for different time frames.

Need for an effective system of accounting of working time of staff of OTsO which would allow to control time and labor costs of specialists of the center, to accelerate collecting and consolidation of data on employment and development of personnel ripened. For the solution of these tasks it was decided to use functionality of the 1C: Document Flow system implemented earlier in the companies of group by specialists of 1C-KPD. As a result of implementation an opportunity appeared:

  • To daily fill out reports on time spent for accomplishment of assigned tasks (time-sheets). In case of lack of data, a system automatically notifies on it the specialist and his direct head. As a result the correct time recording of hundreds of different staff of the center is provided. Time spent for control of correctness of filling of time-sheets and obtaining the consolidated information was reduced by 65%.
  • Create reports on development of personnel in real time. Up-to-date information about time spent for participation in these or those projects that allows to distribute tasks to control employment and employee performance and, in case of need, to optimize processes is available to the management.
  • Increase performing discipline and quality of work of staff of OTsO.

The system of accounting of working time of employees created based on "1C: Document Flow 8 CORP" helps us to plan rationally work of personnel, including – to distribute human resources on tasks. We had an opportunity to quickly control employee occupation, to estimate performance of work of structural divisions and each worker, to reveal and optimize the most labor-intensive processes. In general, the effective management of personnel of OTsO increased.

2014: Implementation of EDMS "1C: Document Flow"

On September 23, 2014 it became known of an implementation project EDMS 1C: Document Flow in the company Metalloinvest.

Project Tasks

At the end of 2012 during job analysis of affiliated enterprises of holding the problems connected with full-text search, document storage, control of performing discipline and versions of the created documents are revealed. The operating regulation of processes of approval of agreements left much to be desired. As a result the company management set the task of unification of the majority of internal processes of the company and transition to the single automated platform.

Project Progress

The company created the working group and designated selection terms of the ECM solution:

  • technological effectiveness which would provide a full support of a system;
  • convenience of using,
  • mobility and support of large volumes of data,
  • low cost,
  • popularity in the market,
  • prospects of a system,
  • possibility of support by own forces.

Among fundamental criteria - support of geographically distributed work and standards of the Russian office-work.

Having considered all pros and cons the project team made the decision - to create a system on a basis of 1C: Document Flow.

The pilot project took 34 days.

Project Results

"After this term we were convinced of operability of a system — Vadim Volkov, the administrator of applications of 1C of Metalloinvest company noted. - The general project duration was 430 working days".

For September 23, 2014 document flow of management company is automated, Lebedinsky and Mikhaylovsky mining and processing works, plants already work in a system, and between them there is an exchange of documents. All documents which appear in management company are available in an electronic format in the systems of these plants. Today all document flows are automated. In a system about 200 users work, their number will increase.
