"New technologies of operation of wells" automated office-work and work with agreements based on DirectumRX

On July 18 the Directum company announced that the DirectumRX system was implemented in NPO Novye tekhnologii ekspluatatsii skvazhin» (NTES). Based on an ECM system office-work and work with agreements are automated. Implementation was carried out by the reduced option. All processes of the company fitted into standard functionality therefore additional modifications were not required.

Prerequisites

Before start of the project all issues in the organization were resolved in paper form. Memos were approved with the direct head and were considered personally by the director, and at his absence process passed into Outlook. But there were not enough functions of a mail service for maintenance of a normal rhythm of work of the enterprise, and on approval of paper documents a lot of time therefore the management decided to implement EDMS was spent unfairly.

System Selection

A system was selected by four criteria:

• Functionality: an opportunity to close key requirements of the company;
• Adaptability: simple setup under processes of the enterprise;
• Reliability: guarantee of smooth operation and safety of data;
• Convenience: interface clear to users.

On a response NTES, the organization considered several different offers, but after the first remote negotiations gave preference to DirectumRX. Business processes of the company, rather linear, well fitted into worked and the standard modules "Office-work" and "Agreements", and an implementation team showed a possibility of interaction online that considerably reduced the price of the project.

The director of the enterprise became the project manager from the customer that allowed to accelerate implementation. Chiefs of divisions were a part of the working group — thanks to it it was succeeded to cover all processes of the company which required automation.

Implementation Results

DirectumRX allowed to refuse memos, orders and instructions in paper form completely: all work with them is conducted in a system now. The new document type for work with requests for providing the technical commercial offers (TCO) from partners was in addition created. Now according to such requests it is possible to create registers, to delegate instructions and to approve them.

By the customer's estimates, the transparency of work of the organization for the management — document retrieval considerably increased and tasks takes read seconds now. And thanks to mobile application of Directum Solo for iOS the director can resolve working issues without being in office: he considers documents and takes out resolutions directly with Apple iPad.

According to the results of the project in a system all key departments and specialists – only 54 jobs work. Mastering of the program by employees took place without hitches in what as noted in NPO NTES, also the DirectumRX interface similar to Outlook with which in the organization all are familiar helped.

Due to implementation of DirectumRX it was succeeded to reduce much the number of paper internal documents, memos and instructions are completely transferred to an electronic form. Speed of approval of letters, agreements, TKP, without violating regulations of work, increased several times.
