OKI Group (1C: Payroll and HR Management 8)

Specialists Homnet Consulting completed an implementation project of the 1C:Enterprise 8 system and its integration with SAP R/4 in the Russian division of the international corporation "OKI Group" - OKI Sistems Rus LLC. The staff of OKI Sistems Rus LLC received the unified information system for accounting under RAS on the basis of the postings unloaded from SAP in the program "by Homnet: IFRS".

In 1996 management of OKI Europe Ltd. opened the Moscow representative office of OKI Group company. In 2010 the separate legal entity in the territory of Russia – OKI Sistems Rus LLC was created. With respect thereto OKI Sistems Rus LLC was required to prepare the reporting under RAS for its providing in tax authorities of the Russian Federation. The information system SAP R/4 used in OKI Group company and its European divisions for accounting according to international accounting standards of GAAP was not suitable for formation of a set of the regulated accounting records in Russia. Leadership team OKI Group made the decision on creation of the automated system allowing to keep accounting, tax and personnel account and also payroll under RAS.

On search results in the market of consulting services the decision on cooperation with Homnet Consulting company was made. The project implemented by Homnet Consulting company in the Russian representative office of Samsung Electronics Co was a basic reason of this choice. Ltd as representatives of OKI were faced by similar tasks. Employees OKI Group keep account in SAP R/4 system according to the GAAP standards, in the same system the company was going to keep accounting on the accounts as close as possible to the Russian chart of accounts.

The purpose of the joint project OKI Group and Homnet Consulting was creation of an information system for accounting under RAS based on SAP R/4 using software products on the 1C:Enterprise 8 platform. During this project programs "are implemented by Homnet: IFRS", "1C: Accounting 8", "1C: Payroll and HR Management 8" is also carried out them integration into SAP R/4 system. The mechanism of unloading of postings according to the plan of accounts of GAAP from SAP R/4 system in "Homnet is implemented: IFRS" where on the basis of these postings documents for receiving postings under RAS form.

The project consisted of three stages. During the first specialists Homnet Consulting executed preproject inspection and developed an integration algorithm "1C:Enterprise 8" and SAP.

At the second stage for payroll calculation and personnel records the "1C: Payroll and HR Management 8" software product is implemented. Integration "1C: Payroll and personnel managements 8" and SAP R/4 is based on data entry on payroll calculation in SAP. Then data on salary are unloaded in "Homnet: IFRS" standard means of 1C. At data acquisition on salary from SAP in "Homnet: The IFRS" are made check of compliance of the unloaded data. After program installation user training is provided and consultations on work in the program are given.

During the final stage works on implementation and setup "Homnet are carried out: IFRS" and its integration with SAP R/4. Mechanisms of unloading of postings from SAP in "Homnet are developed: IFRS". During this stage the works providing synchronization of data between SAP and "to Homnet are performed: IFRS". Training of staff of the company in work in the program "Homnet is provided: IFRS".

The system created on the 1C:Enterprise 8 platform allows to unload the postings according to the plan of accounts of GAAP created in SAP, in the program "by Homnet: IFRS". These postings are automatically transformed to the Russian documents in the program "by Homnet: IFRS" where on their basis reporting documents (regulated reports) on Russian standards form. Such organization of process helped to solve the following problems:

• Conducting the regulated accounting and tax accounting under RAS.
• Accounting of personnel and payroll under RAS.

The chief financial officer of OKI Sistems Rus LLC Dmitry Seliverstov summed up the results: "Thanks to the close and approved interaction of our employees and a project team of the partner successfully and in time the project on creation of a system of transformation of the reporting under the GAAP standards in the regulated accounting reports under RAS is complete. As a result of implementation of the software products "1C: Payroll and HR Management 8" and "Homnet: IFRS" our company received the flexible information system allowing to carry out regular updates and setup, and at the same time to create reports according to RAS. The used SAP R/3 system did not solve assigned tasks: formation of the Russian postings was extremely difficult. Now this problem is successfully solved. Thanks to implementation "Homnet: IFRS" and professionally executed integration with SAP our specialists on the basis of postings in GAAP quickly create reports on financial activities of representation according to RAS".
