PIK Group (Synthellect Tessa)

2019: Development of EDMS

In January to December 2019, the companies Synthellect and Target tech were engaged in the development of EDMS based on Synthellect Tessa.

Project objectives

• Organize a single electronic archive of PIK Group documents
• Exclude formal and duplicate document processing activities
• Eliminate duplication of documents across multiple systems
• Streamline processes through electronic approval and signing

Effects

• End-to-end controlled process: Acceptance of work on the horizon - > signing of the ID - > signing and payment of the certificate of work performed
• Reduction of as-built documentation signing terms by more than 3 times
• Before the transition to EDM, more than 1500 acts in 4 copies at each facility. Together with accompanying documents: passports, schemes and certificates - this is up to 10 boxes of paper documents.

2018

During the project implementation, the following works were performed:

• Development of the process of approval, legally significant electronic signing and transfer of acts of as-built documentation from builders to the customer and the operating organization.
• Development and implementation of the Work Order Approval Process construction.
• Development and implementation of the process of approval of Distribution Letters and automated generation of requests for payment of construction materials to suppliers.
• Automation of accounting entries on the basis of primary documentation agreed in the EDMS.
• Automation of tender committee processes.

The project implementation period: from January to December 2018.

Implementation of the standard TESSA solution, development of the process of approval and transfer of construction documentation from designers to builders, organization of storage for all electronic documents, organization of SZDO
