2016: "RN-Bureniye" expands geography of use of Logic of EDMS

The corporate system of management of documents of RN-Bureniye LLC is constructed based on the solution "Logic of EDMS" on the IBM Notes/Domino platform and is used by central office and regional branches of the company since 2014. The next expansion of geography of use of a system came due to connection about 300 users from the Nizhnevartovsk branch RN-Bureniye LLC which was formed in June, 2016. Now in geographically distributed EDMS 1200 users work in total.

EDMS is intended for automation of the activity connected with document handling, namely, processes of creation, approval, signing, a statement, registration and mailing of documents and also control of execution of the related instructions and the organization of operational document storage. "The logic of EDMS" also provides control, accounting and registration of correspondence, organizational and administrative document flow, internal correspondence, normative ensuring business, contract activities and control of performing discipline.

One of features of the Logicians of EDMS version set in the Nizhnevartovsk branch — the module "Comparison of Documents" constructed based on ABBYY ScanDifFinder (SDK) technology. The module automatically finds differences in document revisions and selects all changes in the text. Use of such functionality reduces risks of signing of the incorrect document revision and simplifies work of all employees interacting with partners — lawyers, financiers, etc.

The user can compare originals and copies of documents in any combination of the supported formats, both text, and graphic (for example, *.doc and *.jpeg, *.tiff, *.pdf) and to receive the list of all found differences in convenient representation.

2014

On October 8, 2014 the Business Logic company announced implementation in RN-Bureniye LLC of a system of electronic office-work Logic of EDMS on the IBM Notes/Domino platform.

Project Tasks

Due to the activity expansion, organization of subsidiary companies, opening of regional representative offices document flow volume in "RN-Bureniye" in recent years increased several times. At the same time exchange of documents between the central office and regional divisions was performed by correspondence by e-mail. The lack of electronic document management and uniform approaches to office-work became a restraining factor of development of the company. Management "RN-Bureniye" made the decision on deployment at all offices of the organization of a modern electronic document management system.

For implementation of an information system of electronic office-work invited Business Logic company. The solution "Logic of EDMS" on the IBM Notes/Domino platform became a technology basis for conducting electronic document management.

Project Progress

Specialists of the contractor conducted detailed examination of the business processes "RN-Bureniye", made the analysis of standards and internal procedures, the operating and planned infrastructure in the company. On the basis of assessment of a current status of document flow in the company requirements to a system are created, the architecture of EDMS and the concept of its further development is developed.

In particular, experts suggested to optimize processes of work with external and internal correspondence, orders, orders, powers of attorney, agreements, etc. Considering specifics of the customer, the integrator suggested to execute processing of both electronic, and paper documents, and the paper document is used only if it is impossible to do without it.

Then EDMS was consistently implemented at the central office in Moscow and eight branches in the cities: Nefteyugansk, Irkutsk, Krasnoyarsk, Gubkinsky, Usinsk, Grozny, Sakhalin, Krasnodar.

Project Results

In unified information environment 819 employees "RN-Bureniye" act, about 8 thousand documents are processed.

Results:

• Reduction of volume of "paper" copying of documents in the course of consideration of documents
• Quality improvement and efficiency of participants of process, both at the level of personal activity, and at the level of organizational educations

"In a project deliverable we created a common information space for document flow of the geographically distributed organization — Alexander Shevtsov, the chief specialist on IT of RN-Bureniye LLC reported. — The uniform storage of documents, uniform reference books, a unified environment for establishing the movement of electronic documents between employees along any routes is organized. At the same time the Logic of EDMS system provides a number of administrative and control functions for support of operational work with documents".
