2023: Implementation of 1C: KORP Document Management

On November 2, 2023, 1C announced that 1S-KPD had completed a large-scale project for the implementation of the 1C: KORP Document Management system at the enterprises of the RusHydro Group. The electronic document management system, which covered more than 8,000 jobs, helped automate the methodology for processing 135 types of financial and economic documents for 10 holding companies, reduce paper document management and organize the exchange of legally significant documents with counterparties. The system ensured efficient work with electronic documents throughout their life cycle. An electronic archive has been created, which allowed the holding to prepare for the transition to tax monitoring.

According to the company, previously in each company RusHydro Group operated its own accounting services, different rules for the preparation, processing and maintenance of primary documentation were applied. This interfered with the effective interaction of employees within the framework of "end-to-end" business processes, delayed the preparation of reports.

PJSC RusHydro decided to create a Common Service Center (CSC), which would provide centralized maintenance of regulated accounting and preparation of financial statements of the group companies. For its effective work, it was necessary to standardize the work with primary documents, translate their processing into electronic form, and organize the exchange of legally significant electronic documents with suppliers and buyers. In addition, it was planned to transfer large companies to tax monitoring, for this it was necessary to create an electronic archive of the holding's documents.

To solve the tasks, the 1C: KORP Document Management system was chosen. The partner in the project was the company "1C-KPD."

The pilot project was implemented at Far Eastern Generating Company JSC, then the system was replicated to enterprises in Moscow, Nizhny Novgorod, Yakutsk, Blagoveshchensk, Vladivostok, Magadan, Yuzhno-Sakhalinsk and Petropavlovsk-Kamchatsky. Integration of 1C: Document Flow with the unified accounting system of the holding and the EDM operator was carried out. 8119 workplaces were automated.

Key project results:

  • 135 types of primary financial and economic documents of the company are translated into electronic form. A system for working with primary financial and economic documents has been introduced for 10 companies. A specialized interface of the scanner has been implemented, which allows in "1C: Document Flow" to work with pages of scanned documents (dividing into documents, changing the order of pages, inserting a barcode, etc.) and document packages, quickly fill in the necessary details and edit files. This helped to optimize the quality control of documentation preparation, simplified the processing and coordination of documents, the exchange of documents both within the group and with external counterparties.
  • All electronic documents are stored in an electronic archive, which eliminates the risks of losing documents. If necessary, files can be found on the system in seconds. The creation of the archive helped the holding prepare for the transition to tax monitoring.
  • Exchange of legally significant electronic documents with counterparties is organized. To do this, a seamless integration of "1C: Document Flow" with the EDM operator system is implemented. The user works in one window: the receipt and sending of electronic documents is carried out directly in "1C: Document flow," the processing of incoming electronic documents is started automatically on the basis of the created document card, which greatly simplifies the work of employees.

The automation circuit includes companies located in geographically remote cities of Russia. Migration of historical data included more than 500,000 objects, and the number of system users reached more than 8 thousand. The project had a complex management structure: it was necessary to take into account not only the position of the representatives of the parent company, but also the opinions of the subsidiaries in which the system was implemented. We had to coordinate the work of a large number of participants in different time zones, where the time difference reached 9 hours. But it was worth it: in the end, it was possible to optimize the processes of transferring documents and reflecting business operations, quality control, completeness and correctness of documents, reduce paper document circulation and the costs associated with it.
