2019: Setting up a document management system based on 1C: Document Flow PROF

SITEK - one of the leading organizations in the field of design, equipment and audit of facilities, in microelectronic industry September 2019, together with federal specialists - 1Cintegrator WiseAdvice-IT completed a project to automate document management processes. As a software EDMS product based on 1C: Document flow of the PROF version the platform was used. 1C:Enterprise 8

Project prerequisites

The result of the specifics of the customer's activities is increased requirements for the organization of accounting for transactions and contracts in the company. Contract approval procedures have a complex structure. The Company has increased requirements for control of documents related to contractual work. Before the introduction, the company did not have a transaction accounting system, everything was done manually, respectively, was poorly controlled and accounted for.

To reduce manual operations and the volume of paper document circulation, as well as increase the control over transactions, a decision was made on automation, for which solution 1C: Document Flow was chosen as a platform.

What was done on the project

  • On the basis of internal regulatory documents of SITEK, documents of the PROF 1C: Document Flow system were set up;
  • A transaction accounting unit was introduced, the contract approval process was automated, as well as an order management system;
  • Review, optimization and subsequent configuration of document approval mechanisms in the system;
  • Together with the customer, an access rights differentiation matrix was developed and rights were set up in the system.
  • Integration mechanisms with the accounting system were implemented in terms of the directories "Users," "Counterparties," "Goods and Services," "Enterprise Structure."

Project results

  • The volume of paper document circulation has been reduced by at least half;
  • Electronic storage of documents is supported, their loss is excluded, control over the executive discipline of employees is strengthened;
  • It is planned to integrate with the ERP solution, which will help create a fully functional document management system, both internal and external;
  • Reduced time for processing and transferring orders to production, the quality and speed of their execution increased;
  • A new and effective document approval scheme has made it possible to speed up the preparation and signing of contracts several times;
  • The company was able to quickly respond to partner offers and conclude transactions on the most favorable terms.
