2022: Electronic Archive Implementation
On May 18, 2022, Etlas-Soft announced that Spetsenergo, a domestic manufacturer of transformer substations, uses the Etla electronic archive in its work.
Spetsenergo LLC produces transformer substations of various voltage classes, including both mobile and stationary solutions. The company is located in St. Petersburg, but the equipment it manufactures works in energy networks around the country.
The substation is a technically complex product consisting of several units. Each piece of equipment is accompanied by volumetric design and operational documentation, which is stored during the service life of the equipment.
In addition to technical documentation, Spetsenergo's document flow includes contracts with customers and contractors, invoices, certificates of work performed, and much more. To optimize the work with documents and increase the efficiency of the enterprise, the management of Spetsenergo decided to abandon the use of paper documents and introduce an electronic archive.
After studying the market, the specialists of the Spetsenergo enterprise opted for the Etla electronic archive program version 6.6. She met the stated requirements, including:
- Low system requirements and ease of installation
- out-of-the-box work;
- the ability to work with different types of files;
- remote access to documents via the Internet;
- backup of the data base, ensuring the safety of the information.
Spetsenergo specialists also noted the opportunity to expand, if necessary, the functionality of the electronic archive using plug-ins.
A feature of the Etla system is its ability to work not only with a repository of electronic documents, but also with a warehouse of paper originals. This allows you to search for the desired document regardless of which physical medium it is created on. If necessary, the paper document can be scanned and digitized, and the electronic document can be printed in the required number of copies.
If we are talking about contracts or financial documents, then they can be signed with an electronic digital signature, thanks to which they gain legal significance.
The specialists of Spetsenergo LLC independently installed and configured the electronic archive system without involving engineers from the developer.
Users were able to start working with the system immediately after registering and setting up the tolerance. They positively assessed the interface of the program, which allows you to master its functions, and the ability to enter the archive from any device, including a smartphone, tablet and desktop. This is especially suitable for engineers working directly on equipment to quickly obtain the necessary documents and drawings.
