2020: Creation of uniform archive of documents of the Subway
SUE "Petersburg Metro" selects Docsvision for the organization of electronic archive. On September 15, 2020 the DocsVision company reported about it.
Since 2006 the staff of SUE "Petersburg Metro" in the daily work uses the Docsvision platform for office-work automation. During operation of EDMS it became available to almost all employees and supports soft junction on paperless document flow in the organization. Growth of number of users and data in a system did not affect its performance therefore in 2019 the decision on creation of uniform archive of documents of the Subway of St. Petersburg based on the Docsvision platform was made.
The electronic archive based on Docsvision will allow to implement all current and perspective requirements of business and also to reduce the cost of ownership and dependence of the organization on the used foreign software. It is supposed that the electronic archive will become uniform storage of all documents to which access from other user applications will be organized.
At the first stage in electronic archive on the Docsvision platform document storage on real estate and requests for investment actions was organized. Now they are available through the web client to all users of a system having the corresponding admission.
In work with requests for investment actions the electronic archive was integrated with the accounting system of the enterprise on the SAP ERP platform. The staff of the Subway has seamless access to documents according to investment projects both from archive, and from the accounting system. All project data are collected in the uniform place and complemented with information on payment and final certificates of completion of works.
On the basis of long-term positive experience of use of the Docsvision platform and its stable work with a permanent growth of loading we made the decision on use of the platform as full-fledged ECM system within implementation of IT strategy of the subway. In our target IT architecture we use Docsvision as uniform storage of documents – one of key components of a common information space of the enterprise. Throughout the long period of development of the Docsvision platform in SUE "Petersburg Metro" we observe how colleagues thoughtfully build IT infrastructure of the enterprise. It is pleasant to see that the Docsvision platform meets expectations and deserved a certain recognition in the organization. In a system the problems of registration of a different document type (Entering are solved; Outgoing; Internal; Organizational and administrative), citizens' appeals are processed, instructions are appointed and control of performing discipline is made. For 2018 processing of faxes is automated.
In EDMS about 1300 users work. A system is used by all staff of the enterprise - from heads of services to masters in tunnels.
Since May, 2018 there is a project on development and process automation executed by the company "DocsVision". Among the upgraded processes - for 2018 the configured processes of office-work and processing of citizens' appeals. Enter the updated processes: approval of documents using the electronic signature (ES), integration into the purchase IC, creation of a subsystem Electronic archive, the Web client and the mobile client, reporting.
