Specialists of 1C: Accounting and Trade (BIT) completed the project of automation of managerial and regulated accounting in the large trading company "TEMP-TOOLS". Using the solutions "1C: Integrated Automation 8" and "1C: Accounting 8 for Kazakhstan" adapted to specifics of business of the company the Russian and Kazakhstan branches "TEMP-TOOLS" are united in a common information space, 20 jobs are automated. According to the results of the project operating control of work of remote branches by head office is provided, delivery time of finished goods to consumers is reduced by 30%, the effective customer relationship management system (the number of regular customers grew by 20%) is created, sales volume increased.

The TEMP-TOOLS company conducts the history with the Troitsk electromechanical enterprise (T.E.M. O), founded in 1957. Today "TEMP-TOOLS" offers a wide choice of the electro-and self-produced petroltool, a power equipment: electric sinks of high pressure, big lineup of generators and welding machines and also tools of other producers and wide choice of supplies. The central office of the company is located in the city of Kostanay, Republic of Kazakhstan. Branches of the enterprise are open in Chelyabinsk, Almaty and Astana.

To provide requirements of the extending business, more detailed and operational accounting information on all branches was required for TEMP-TOOLS company. The existing information system did not allow to solve this problem therefore the management of the enterprise initiated the project of complex automation.

The following objects were set for implementation of an automated system:

  • obtaining summary reporting under all branches of the company;
  • increase in employee performance of sales department, warehouse, settlement and personnel departments;
  • creation of an effective customer relationship management system and increase in sales volume.

In an analysis result of business processes of the enterprise the decision on product introduction of 1C: Integrated Automation 8 and "1C: Accounting 8 for Kazakhstan" as they allow to keep account in a single system according to the Russian and Kazakhstan legislation was made and proved as reliable tools for automation of accounting and management of large filial structures.

At the time of the beginning of the project at the central office of TEMP-TOOLS company in the city of Kostanay solutions on the 1C: Enterprise 7.7 platform were used, branches in Chelyabinsk, Almaty and Astana kept account manually. Specialists of BIT company installed software products on workstations, helped when entering opening balances, setup of the program and its integration with a system the client bank.

In a project deliverable a common information space on the basis of the solution "1C: Integrated Automation 8" adapted by specialists of BIT for use in the Kazakhstan branches of the company is created. Unloading of data in base of "1C: Accounting 8 for Kazakhstan" for delivery of the regulated reporting in Kazakhstan is implemented, the reporting under the Russian standards is prepared directly in 1C: Integrated Automation 8. The prices in rubles are automatically converted into the Kazakhstani tenge at the rate of for document date.

The following sections are automated:

  • sales management, purchases, stocks, operational resource planning;
  • customer relationship management (CRM);
  • pricing;
  • cash management and settlement;
  • management of fixed assets and equipment;
  • accounting and tax accounting, the regulated reporting;
  • payroll calculation and personnel management.

According to the results of the project the following results are achieved.

  • The company management had an opportunity to control work of all remote divisions in a foreground mode.
  • Using standard cures of 1C: Integrated Automation 8 all cycle of operations on sales management from sales planning before shipment is automated. The uniform base in which history of customer relations and information on customer needs is stored is created. It excluded cases of loss of the client because of a holiday or dismissal of the responsible and also simultaneous operation of several managers with one client.
  • The program allows to segment clients using tools of ABC and XYZ of the analysis by the amount of profit and the number of sales. It allowed to manage more effectively customer relations and to create individual price lists for each customer.
  • Work with regular customers is organized: providing discounts, an opportunity for work on credit and making advance payment that promoted increase in loyalty of customers. The number of regular customers grew by 20%, as a result, sales volume increased.
  • The pricing mechanisms implemented in the program allowed to trace the prices of competitors and to compare them with market prices. On the basis of this analytical information marketing department developed and held successful actions and events which allowed to increase the profit of the company by 5% and to attract new clients.
  • Purchase planning and inventory management allowed to accelerate delivery process for 30% that is very important for successful work of the enterprise as the goods come from China to Russia through the third state – Kazakhstan. Automation allowed to manage goods which are still en route. Originally the goods are delivered through border with China in Almaty where its receiving is registered in a system, further products go to other branches of the enterprise. Thus, right after a goods receipt in the Almaty branch the manager can reserve goods for the client.

Purchase planning happens according to the sales plan which is made by managers already not according to the statistics for a previous period, and proceeding from current demands of clients. It allowed to accelerate goods turnover rate in a warehouse and to reduce storage costs of finished goods. Thanks to effective management of a remaining balance and reserves of products in warehouses errors when collecting the order are almost excluded.

  • Automated management of money (receipt planning, control of a funds expenditure) and formation of the payment schedule allowed to reduce cash gaps.

According to the director of the company of "TEMP-TOOLS" Dmitry Petrovich Kireev: "Specialists of the Chelyabinsk branch of 1C: Accounting and Trade company (BIT) successfully coped with assigned tasks. The management of our company received convenient instruments of management accounting, for example, the report on a gross profit which we use daily and without which our further activity is not represented. It allows us to obtain at any time data on operating profit both on each branch of the company, and on all company in general. Purchases are much more effectively planned that allowed us to reduce considerably delivery dates of finished goods to clients."
