Toyota Motor started EDMS

On April 22, 2014 it became known of system implementation of electronic document management of Directum in the IT environment of Toyota Motor company. The project was performed by a command of DIRECTUM-M company.

Project Tasks

For increase in efficiency of interaction between employees, the management Toyota Motor made the decision on system implementation of electronic document management. As a result of the long choice of the supplier of the solution selected the system developer of DIRECTUM-M. The project in the company Toyota in Russia is executed by specialists of DIRECTUM-M.

Project Progress

The research and system design for Toyota began in June, 2012. It was supposed implementation to transfer completely work with documents to an electronic form, to automate workflows, to implement an opportunity to heads to approve documents from any place in the world from mobile devices.

During the project problems of process automation of work with agreements, approval and the approval of internal projects, work with requests for payment, requests for the choice of the supplier, approval and the statement of business trips, approval of reports on expenses are solved.

Project Results

After system implementation of electronic document management the efficiency of decision making increased. By means of a possibility of remote work with use of iPad tablets the company management can consider and approve documents, being at meetings, in working trips and business trips across Russia and abroad.

Process of substitution of the absent staff of the company is completely automated. If the employee gets sick, goes on leave or leaves, a system automatically appoints the substituting specialist on the basis of approved in the company the politician.

At the expense of automatic system of substitution, remote access to a system and instant delivery of requests, requests and applications time of approval of documents was significantly reduced. Errors in routings and cases of loss of documents are also excluded. Loading of the specialists who are responsible for document flow became much more transparent for heads. Besides, adaptation to new processes took place in our company quickly enough. At the moment the number of addresses on an electronic document management system – less than 10 in a month", – Stanislav Nesin, the head of the IT project of Toyota Motor LLC noted.
