2021: The first stage of the project to automate the processes of registration of cargo transportation

The SberKorus company (part of the Sber ecosystem) has completed the first stage of the project to automate the processes of processing cargo transportation in X5 Retail Group: now the Russian retail company can exchange electronic consignment notes (ETrN) with its counterparties using an electronic signature. This was reported on April 29, 2021 in SberKorus.

Kh5 Retail Group delivers cargo daily in all regions of its distribution centers: in the Central, North-West, Ural, Volga and other federal districts. To provide goods to more than 17 thousand stores almost throughout the country, the company's freight transport annually makes more than 2.5 million flights.

"With paper document management, on average, four copies of consignment notes accounted for one cargo transportation, we had to process at least 900 thousand such documents per month," said Andrey Anufriev, financial director of X5 Logistic. - Often we have encountered the loss or damage of documents during the transportation or return of originals, incorrect design. The process of preparing documents for tax audits also did not meet our standards for the effectiveness of business processes and increased risks in recognizing expenses. "

The SberKorus project team was tasked with eliminating the possibility of losing or spoiling documents, speeding up the process of receiving adjusted documents from counterparties, as well as guaranteeing quick preparation of documents for tax checks. The automation of the processes of processing cargo transportation was supposed to control the entire chain of delivery and signing of transport documents and optimize the time and financial costs of the Retail Group Kh5 at each stage of working with them.

SberKorus experts conducted a full audit of the client's business processes, determined the chains of project participants, the volume of additional requirements and improvements. Before the launch of the project, all the necessary stages of testing passed into industrial production and cellular document management.

Signing documents with an electronic signature significantly reduced the downtime transport at the place of acceptance and shipment of goods. If earlier it took an average of 10 minutes to process four copies of a bill of lading, now a similar process smartphone in takes no more than one minute - while the documents are checked automatically. The signed ETrN becomes available as an initial accounting document to all parties to the transportation immediately after its signing, which triples the turnover of the shipment and acceptance windows. data The risks of incorrect or different-format filling of the bill of lading, as well as the risks of loss of documents or their late submission to the reporting bodies are excluded from manual entry. Another advantage of automating the process of registration of cargo transportation for Kh5 Retail Group was the opportunity to reduce the number of operators for registration of TrN, the company said.

X5 Retail Group plans to further develop and scale the project for the digital design of other documents in cargo transportation.
