Rosinzhiniring of group of companies (Software Asset Management (SAM))

Work on implementation of SAM technology is carried out to Rosinzhiniring Group within the SAM Services program.

Since October 1, 2011 Microsoft started the global SAM Services program which assumes free rendering services to customers in the field of management of program assets using Microsoft partners. The SAM Services program assumes three service layers, any of which the customer can use. For clients main advantage of the program that all works on rendering services of any of three levels are paid with Microsoft, so, are absolutely free for the customer.

Solution

During the project work on three SAM levels is carried out: Baseline, Assessment, Deployment Planning.

As a part of the most responsible level - Baseline:

• Signing of organizational documents of the project;
• Formation of project teams;
• Collecting of all necessary documents of title;
• Collecting of inventory data on the software from all computers;
• The analysis of the provided documentation, contracts;
• Verification of license compliance;
• Summing up the results of the analysis;
• Preparation of recommendations about licensing optimization

In a work progress over SAM Baseline the software of Microsoft without necessary licenses is revealed. In a normal situation of the company it should purchase missing licenses even if software is not required in work any more. However, according to Enterprise Agreement the client pays set to software only upon use – within annual payment. Thereby, the company has an opportunity to refuse unnecessary software without purchase of excess licenses.

During SAM Assessment the processes of management of software licenses operating in Rosinzhiniring Group are considered. For this purpose specialists of Softline held a series of an interview with those employees of the client who make decisions in the field of purchase, installation and management of program assets.

In an analysis result of the acquired information the basic level of a maturity is appropriated to the enterprise customer and the individual development plan is made. Implementation of the plan of transition to the rationalized level of a maturity of SAM will allow the organization to achieve the following goals:

• Minimization of legal, financial and operational risks.
• Minimization of expenses at the expense of process optimization of management accounting and providing information for acceptance of business solutions.
• Risk reduction due to standardization, documentation and pro-active identification of problems.
• Increase in efficiency of use of software due to accurate accounting, reuse and competent financial management for all lifecycle.
• The simplified certification on ISO 19770-1 "Information technologies. Management of program assets".

At last, within the SAM Deployment Planning level the pilot project of implementation of Microsoft System Center Configuration Manager 2012 is created that will allow to support the level of a maturity of SAM at the level necessary for the client.

During the project different versions and editions of products are revealed that reduced employees productivity and caused compatibility issues. It is established that in many cases earlier versions of products, than purchased were used. Though it is authorized by rules of licensing, but it is inefficient, especially in a situation when the hardware allows to use the new version supporting bigger funktsiat. Many companies face a problem of the wrong licensing of server products, often overpaying and having excess licenses for the server software, however in this case was confirmed that exactly so many licenses how many it was purchased were used.

In a project deliverable the important conclusion was drawn on need of the correct registration and storage of documents of title. At the time of the beginning of the draft of the license, payment documents and delivery-acceptance certificates could be stored in different places that increased risk of their loss. However according to the Russian legislation only the complete document package can confirm existence of the license therefore Rosinzhiniringu made the recommendation about the organization of the centralized storage of all primary documents connected with acquisition of licenses.

According to participants of project works, the priority tasks facing the management of Rosinzhiniring Group are executed completely.
