Elena Ivanova: The main advantages of products of EOS Group - reputation and reliability

The foundation of a product ECM line of EOS Group company was laid during close cooperation with the state customers, but now not less than a half of implementations of the systems of the company is the share of the commercial sector. The company recognizes that sales of systems are promoted by their reputation, and wide geography of sales – the developed partner network through the whole country. Elena Ivanova, the chief of the department of marketing of the company argues on key new products in a line of solutions of EOS Group, perspectives of ECM-and SED-of solutions in the Russian market together with TAdviser.

TAdviser: EOS Group – very noticeable player in the Russian market of electronic document management. But sometimes there is an impression that you give preference mainly to a public sector. Whether not deceptive it?


Elena Ivanova: Of course, this deceptive impression! And the reason probably in inertia of perception us and our products. Electronic document management in Russia began with state bodies – quite so historically it developed. The first projects of EOS Group were implemented in a public sector, besides we created our systems "Case (EOS Group)", "Archiving (EOS Group)" and some other in creative alliance with clients from among "state exams". But the monopoly of a public sector for development of EDMS ended for a long time.

Support of document flow by state standard specifications – distinctive feature of our systems, but for the Russian realities tightly regulated document flow is not a unique property of state structures at all. Banks, large holdings – all of them have difficult organized document flow working on accurately statutory rules. At us there is a lot of such clients, one of the largest projects – creation of uniform EDMS for Tatneft holding.

TAdviser: So the public sector initially was on the advanced workflow automation? Quite not a typical picture.

Elena Ivanova: The steady interest of the Russian business companies in use of EDMS arose when the business community realized efficiency of their implementation. The new systems of the class ECM – management tools corporate content became our response to change of customer needs and a product of evolution of EDMS. They had additional opportunities for automation of various business processes, levers for increase in efficiency, means for the organization of collective work, corporate communications and powerful analytics. Such EDMS are equally demanded by both the commercial sector, and state bodies. Besides many customers need the flexible systems with a possibility of adaptation and completion of functionality. Products of such class are our developments eDocLib and EOS for SharePoint. They easily adapt under any business environment and are actively demanded by clients from the most different spheres - banks, financial institutions, large manufacturing enterprises, retail chain stores, construction and development companies, educational institutions, etc.

Now among our clients about 50% are representatives of the non-state sector, from large holding structures to the SMB enterprises. We offer the different systems, and each customer selects the most suitable under the tasks and corporate culture.

TAdviser: In your line a set of products what you select as key? What new products were released by the company for the last year?

Elena Ivanova: It is difficult to select key products as any our solution can be the best for the specific requirements list and solvable tasks, i.e. customer-specific. It is possible to select, of course, key products in which we most of all invest and from which we gain the greatest effect. The first is EDMS "Case (EOS Group)" with group of additional options and subsystems. Thousands of the organizations and hundreds of thousands of users work at it. This year we released the version Case 14.2. A system proved the reliability, and we develop it without revolutionary changes – we increase functionality, we improve a usability, but so that to our users it was comfortable and it was not necessary to be retrained, actually mastering a new system (quite so would be if we went for revolutionary changes in the interface). We consider that for the customer updating of the version of EDMS should not break workflow and should not be equated to implementation of a new system. We improve a web subsystem, developed solutions for work from mobile devices, a set of integration solutions. Many thanks needs to be told our clients here – they actively participate in improvement of EDMS Case, we receive a set of offers and wishes.

The second key product – EOS for SharePoint, this year also leaves its new version. We enclosed our idea of what should be the modern, "advanced" workflow system in EOS for SharePoint is more, than just EDMS, here in the center of attention of the user – a uniform workplace where all documents, tasks, workflows and information concentrate. It is the flexible management tool content which the customer can develop by own efforts, creating business processes of any complexity. If EDMS Case is traditions, standards and reliability, then EOS for SharePoint - freedom for creativity, but taking into account our experience and need of processing of huge information volumes. But we do not give to clients the "naked" designer – everything that is necessary for the organization of document flow, is included in the package of the purchased software. The add-on module – Management of Meetings is developed for EOS for SharePoint, it is very relevant today. A system allows to create a corporate portal, to automate accounting of requests and any other business processes.

This year we release the new version of EOS for SharePoint 2013 4.0 – in it we very seriously worked over a usability and functionality. In version 4.0 possibilities of setup of workflows are expanded, setup of access rights became more flexible, additional features are added during the work with draft documents (editions of projects, etc.). The list of actions of the user which are recorded is increased, there was an additional web service of creation of cards of documents which can be used at integration with external systems, the functionality and regarding work with state is expanded. bodies (Medo/sev/obrashcheniya граждан). Moreover, in the version of system 4.0 we developed the new module "File Archive" intended for the publication on a corporate portal of the approved documents from EDMS, for example, the publication of regulatory legal acts for access for all employees.

TAdviser: As far as we know, EOS Group has also developments for mobile platforms?

Elena Ivanova: Yes, it is the whole group of products – our mobile clients who were also updated in a year, anniversary for us. It is the strategic line of applications working not only on relevant customers needs, but also on perspective. Mobile access to documents and an opportunity to remain involved in business life of the company, being out of office, are demanded already not only by heads of the companies, but also personnel (from top managers to ordinary contractors). The client dlyaipad - the iEOS application became the first of a series of mobile applications of EOS Group, then there was an Automated Workplace of the Head application for Windows 7 and 8. That mobile clients became full-fledged tools for work in EDMS, we implemented in them formation of the strengthened qualified EDS and safe storage of keys and digital certificates. Upgraded versions of the Automated Workplace of the Head and iEOS applications had new functionality: an operation mode "without assistant", synchronization of the main transactions with an EDMS/ECM system, creation of initiative instructions, etc. At a client conference on October 17 we announce the application for Android.

TAdviser: What do you consider key competitive advantage of a system Case? In what its main difference from other systems available in the Russian market?

Elena Ivanova: The most important competitive advantage of EDMS Case is the its reputation which is a consequence of reliability and the huge customer base. A system actually sells many years itself – potential customers are interested at colleagues, watch a system in operation, then implement. At us so several large projects began - there arrived the delegation "on exchange of experience", looked at a system, communicated to users, felt benefit.

If to speak actually about a system, then a secret of success of EDMS Case - in its simplicity and availability to the user with any level of proficiency of IT. The clerks before working with cards or registers easily mastered Case - everything familiarly, everything is logical and clear. And it is very convenient for the management - it is not necessary to select special personnel under EDMS as cash is able to learn quickly. Of course, from components of success you should not dismiss both reliability of a system, and quality of technical support, and experience of our experts knowing document flow subtleties, and many other things.

TAdviser: EOS Group works with customers through the whole country. How do you manage it? Tell, please, how work with partners is built how you control the level of their competence? Who performs support function of customers from remote regions?

Elena Ivanova: With customers through the whole country including from remote regions, we work mainly through partners. Our partner network - one of the largest among EDMS developers. Practically in each subject of the Russian Federation there is our representative, in a number of territories - even a little. Someone specializes in the subject, and someone works on the federal district or several. For example, our partner in St. Petersburg "Office Dock" implements projects not only in the Northern Capital and within the Leningrad Region, but also in the Amur, Arkhangelsk, Novgorod, Sverdlovsk and even Novosibirsk regions, in Buryatia, Karelia, the Nenets Autonomous Okrug and some other territories. Our partner in Altai Krai works as KS-Consulting across all territory of Siberia and at the Far East.

We constantly interact with partners – we practice annual partner conferences, regional joint events, webinars, we give serious methodical support on promotion of products. We will organize free training to work with the software products of staff of the partner companies. Based on training in the specialists who successfully passed final test certificates are issued. We establish cooperation on exchange of materials about the implemented projects, the received comments and publications in media and also within carrying out marketing efforts. Costs for promotion of our software and marketing activity of the partner we compensate.

TAdviser: As far as in your opinion in the Russian market of EDMS mobile and cloud computing is in demand? Whether you work on such tools? Tell, please, about 1-2 bright projects.

Elena Ivanova: Demand for mobile technologies in the Russian market of EDMS for the present in a formation stage. At the same time, distribution of image mobile devices of a preimum-class promoted the interest of heads and top managers in mobile applications for EDMS. Therefore the first clients for such devices were focused not on office work processes, and on control functions - obtaining information, a statement and signing. Now there are more and more non-management employees which are often by office need out of office, feel the need for remote access for EDMS from the tablet or the smartphone. We considered this requirement when developing new generation of mobile applications. Another thing is that not always the management of the organization is psychologically ready such scheme of work - it is necessary not only to incur costs on the mobile client and providing the necessary security level at remote access, but also to reconcile to bigger degree of freedom of the employee who is actually performing working function out of office.

As for cloud computing, here situation contradictory: desire to save on operating costs fights at customers against concerns of loss and information leak which is stored not on the "home" server, and somewhere else. But we have such projects. For example, based on our eDocLib system together with Rostelecom the cloud solution "is developed by O7. Dock". This solution is implemented in a number of subjects for automation of work of medical institutions. In particular, in the Vladimir region within the program of upgrade of health care the project on exchange of electronic documents by means of secure channels of communication between GBUZ Medical Information and Analytical Center, Department of health care and all subordinated treatment and prevention facilities (TPF) of the Vladimir region is implemented.

TAdviser: How do you estimate the fact that recently the government reduced the term of complete transition of state agencies to electronic document management by a year? Whether it is real?

Elena Ivanova: The speech in order of the Government of the Russian Federation No. 890 of 9/6/2012 goes not about all state agencies and not about all document flow, and transition to exchange of electronic documents in interaction of federal executive authorities among themselves and with the Government of the Russian Federation. So the federal ministries and departments will have to exchange documents only in electronic form and prepare for such exchange departmental EDMS. It is quite real, it is required to resolve some technical issues only. The corresponding regulatory base already forms. Within the technical subcommittee created based on EOS Group on standardization of PC 6 GOST P 53898 "Electronic document management systems is developed. Interaction of document management systems. Requirements to the electronic message". Recently Expert advice concerning improvement of electronic document management in public authorities at the Ministry of Telecom and Mass Communications of the Russian Federation in which our experts (Vladimir Balasanyan and Natalya Hramtsovskaya) actively work, defined a format of the electronic document for interdepartmental document flow and permanent storage of electronic documents. This solution concretized the direction of completion of own systems of the ministries and departments that they could exchange documents with external EDMS.

TAdviser: Comment, please, what will be with the Russian market of EDMS in case of possible complete transition to import substitution?

Elena Ivanova: In the field of EDMS the share of domestic developments is also so rather big. If domestic vendors receive preferences (for example, through the system of state procurements), it is necessary to expect growth of number of customers and projects. Perhaps, there will be some new developers, but hardly they quickly will begin to play a noticeable role. I think, the main players of the market of EDMS will remain at the positions.
