According to the company, now in the company intellectual services Directum Ario are engaged in processing of invoices for payment. At accountants it was released for 3 hours a day, and heads do not work with papers any more and can approve documents, being at home.

Earlier each entering account was processed manually. Accountants entered data from documents in a system, including information from a table part — with hundreds of positions of the nomenclature. As a result processing of accounts took away for 2-3 hours a day, and the monotony of transaction led to errors in filling of data. Decided to unload accounting from paperwork at the beginning of 2020. Then the project under the leadership of specialists of "Center of Implementation of Document Flow" (CIDF) started. As the solution selected Directum Ario — intellectual services from the system developer of Directum.

The implementation project lasted 6 months. Specialists of TsVD and Directum trained a system to recognize details in accounts on real examples of documents. In October, 2020 testing came to the end, and all divisions of Podruzhka network began to use the solution.

Now all entering accounts are processed with the minimum participation of the person:

• Documents come to the company through services of exchange of electronic documents or in paper form (Russian Post, a courier delivery, etc.).
• The scan copy and electronic originals go to the specialized email address from which are redirected to Directum Ario.
• Intellectual services take the main account details, including its table part with the nomenclature. Data are recognized even then when in PDF there is no text layer.
• In the Directum system the document card is created and filled. It goes to approval to employees who are automatically determined — depending on the taken data. Creation of a route is influenced by the name of the organization partner, the amount in the account and other parameters specified in a card.

To simplify creation of payment orders and receiving a payment status on the specific account, Directum Ario integrated with 1C. Now transactions can be executed, without switching between windows of the different systems.

By estimates of IT specialists, Directum Ario services in Podruzhka network showed good results. The completeness of extraction of data from invoices for payment was 90%, and classification of details — 95%. Indicators exceeded planned values: 70% and 80% respectively.

The most important result — document handling was optimized, accountants had time for other tasks. Digitalization of processes using AI helped to get rid of approval and signing of accounts in paper form. All heads of the CFD can work with documents far off now. In the nearest future in Podruzhka retail network are going to test Directum Ario in work with other document types. In line intellectual processing of acts and certificates and also digitalization of contract management and other processes.
