2022: Implementation of Directum RX

OOO Gazprom Dobra Orenburg has implemented a Russian system corresponding to the technological processes of document processing, organization of control and process control. Directum RX uses 100% of employees who work with documents, and the speed of processes has multiplied. This was announced on May 19, 2022 by Directum.

Project Tasks:

  • build a single information space;
  • Reduce the complexity of the paperwork processes and improve the quality of documents;
  • reduce the delivery time of information;
  • Implement electronic signature (EPs) for the legitimacy of electronic documents;
  • improve the quality of control of executive discipline.

The project started in July 2021. During this time, digitalized: processing of incoming and outgoing correspondence, administrative and organizational documents, contractual and archival work, work with minutes of meetings, powers of attorney and official notes.

To complete the project in a short time, the implementation team took as a basis a template solution based on Directum RX, developed specifically for subsidiaries of PJSC Gazprom, taking into account the specifics of the processes of the group's enterprises.

The template solution for PJSC Gazprom subsidiaries closed 60% of our requirements, and the implementation team implemented additional wishes during pilot operation. Previously, internal correspondence at the enterprise was prepared in paper form and recorded in departments as incoming and outgoing letters. Correspondence now takes place using service notes in the system, which are registered once on the author's side. At the signing stage, the system automatically puts on the EP documents.

For Gazprom Dobycha Orenburg employees, working with incoming emails was time-consuming and inconvenient. Clerks manually forwarded letters to their mailbox, exported attached documents to a computer, then imported them to the SED, printed them, stamped them and handed them over in paper form for consideration.

Now the system automatically captures incoming correspondence with. e-mail Directum RX generates the main document based on the contents of the letter, and attachments are associated with it as applications. The clerk does not need to print documents, managers consider them electronically, and the registration number can be assigned in digital form.

Thanks to Directum RX, the approval of resolutions and the transfer of instructions to the executors has significantly accelerated. The Director General and his deputies review documents only electronically.

The process has become easier and faster: employees no longer need to send documents for consideration alternately to each user, it is enough to set up a reconciliation route once.

Implementation Results:

  • the load on clerks decreased: the project team excluded the double registration of internal correspondence and implemented the function of capturing letters from email;
  • the number of paper documents has decreased, and the processing of originals has become faster: employees create service notes in electronic form using simple EP;
  • expedited the review of incoming documents;
  • the speed with which documents and information are searched has increased;
  • increased performance and transparency of management;
  • Lower costs for paper and printing goods.
