2024: Support for Universal Transfer Documents
Docrobot, a developer of SaaS services and an electronic document management (EDO) operator, has implemented support for universal transfer documents (UPD) on the platform in a format approved by order of the Federal Tax Service of Russia of 19.12.2023 No. ED-7-26/970 @. The company announced this on April 8, 2024.
The current order of the Federal Tax Service of Russia dated 19.12.2018 No. MMV-7-15/820 @, approving the format of the UPD, has become invalid, and the format of the document itself was transferred to Appendix No. 2 of the Order of the Federal Tax Service No. ED-7-26/970 @. The revised format of universal transfer documents is described in Appendix 1 of the order.
According to the document, the transition period for this format will continue until April 1, 2025. During this period, you can use both old and new formats. From April 1, 2025, the new format of the UPD will become mandatory.
As part of the improvements, Docrobot ensured the possibility of exchanging the UPD of a new format, which fully complies with the requirements of the order of the Federal Tax Service of Russia dated 19.12.2023 No. ED-7-26/970 @.
Companies operating on the Docrobot platform can prepare in advance for legislative changes and test the exchange of universal transfer documents of a new format within their accounting systems, as well as with counterparties with the participation of the EDO operator.
The updated UPD format is already available for integrated scenarios used by retail chains and large suppliers. In the near future, Docrobot will add the ability to work with the new format on the web platform. The plans also include joint testing of the new UPD format with other roaming operators and sending information about marked and traceable goods to the Honest Sign digital labeling system and the national system of traceability of goods of the Federal Tax Service of Russia.

Improve document retrieval, speed up data on labeled items
Docrobo announced on October 28, 2022, the update of the electronic document management platform. Namely, they improved the search for documents, accelerated the filling of data on labeled goods in volume and varietal accounting and added filtering by processing status in Honest Sign.
Autocomplete volumetric metering (OSU)
The update allows you to quickly and easily form universal transfer documents (UPD) with information on labeled goods in volume and varietal accounting based on the EDI document or from scratch.
First, the user enters the data in the product guide, in the product card puts the OCU characteristic and, if necessary, indicates the GTIN of the consumer packaging. And then when the check marks "Indicate information about the labeling of goods" and "in OCU" are checked, the platform will automatically fill in the fields for regular expressions of the format [02] [GTIN] [37] [quantity] in the consumer unit to be marked. The data can be adjusted.
GTIN (Global Trade Item Number) is a product code designed for labeling and logistic accounting in the global supply stream. With it, you can identify and find products in the base, in distribution centers, in warehouses and in stores.
GTIN is indicated on the product by numbers, in the form of a barcode. Two parameters were also added to the csv template for the product guide: the OSU feature and the GTIN of consumer packaging.
Autocomplete speeds up the preparation of documents, and therefore the transfer of information to the "Honest Sign" by volume and varietal accounting.
Filtering Documents by Processing Status in Fair Sign
Filtering by status allows you to sort submitted documents based on how the Honest Sign handled them. Filters can be selected from the drop-down menu:
- "In line" shows documents for which a technological receipt has not been received with the result of processing the document on the "Honest Sign" side. Status means that documents are still in the queue to be sent to the system.
- "In processing" shows the documents for which a technological receipt marked IN_PROGRESS was received. The status means that the documents have been delivered to the Honest Sign and are in processing.
- "Processed Successfully" shows the documents that received the process receipt marked SUCCESS. The status means that the "Honest Sign" processed the documents successfully.
There are two kinds of receipts in "Fair Sign":
- The transport receipt reports that the document has entered the system.
- The process receipt reports the results of the document processing in the system.
Filters are also provided for error operations:
- "Processed with error" - if the document is incorrectly processed on the "Fair Sign" side. According to such documents, a technological receipt marked FAILED was received.
- "Error sending" - if there were errors when sending documents to "Honest Sign";
- "Delivered with an error" - if errors were found when receiving a technological receipt from the "Fair Sign."
The option simplifies the work with the "honest sign": you can quickly track errors and provide documents on the goods covered by the marking on time.
Advanced search on the information fields of the PDA/PDA documents
Searching by info fields makes it easy to find documents by key and given value - additional attributes in the PDA. You just need to enter data in the appropriate lines, and the platform will issue all documents with the key and the specified value matching the specified ones.
Infopoles may include the following information:
- Key: sender, recipient, invoice number, certificate number, global location number (GLN) of the consignee.
- Specified value: order number, material code, barcode.
Each retail chain sets its own requirements for the content of information fields.
To reset the filter, just change the search settings.
Ability to search for several documents at once
Docrobot on August 15, 2022 announced the update of the electronic document management platform.
In the latest version of the Docrobot platform, users will be able to search for several documents at once, as well as massively filter and sign price lists.
The added capabilities of the platform make work more convenient and efficient, and also help save time on processing a large number of documents.
A mass search allows you to find several documents of any type at once by number. Now, to reconcile documents with the counterparty, it is enough to enter a certain set of numbers, and the platform will display all orders with the number you need.
There are also additional options for suppliers working with X5 Group - filter by price lists and mass signing. Filtering allows the supplier to instantly find all documents that are waiting for signing or sent to the address of the retail network. The statuses highlight at what stage the document is signed by the supplier, rejected by the network, awaiting signing by the customer, or signed by both parties. If more than one price list from X5 is expected to be signed, the supplier will be able to sign all documents with one button.
The number of manual actions is reduced, and document flow becomes faster and more transparent.
Compatibility with Rutoken devices
Specialists of the companies Aktiv"" Docrobot and conducted tests and confirmed the correctness of the joint operation of devices Rutoken on the Docrobot platform and in the service for the formation and signing of electronic transport invoice documents.
