2022: "Kleverens": how automation allowed to restore order in the warehouse and save the business

Warehouse chaos and financial losses

The company Electrical Materials Base"," specializing in to sale electrotechnical products, faced serious problems on its own. warehouse Manual inventory, absence automation and constant errors in the accounting of goods led to chaos.

We worked with paper lists from "1C: Trade Management 11.4." It was inconvenient, long and accompanied by mistakes. We understood that this could not continue anymore,
told the Head of the warehouse of the company "Base of electrical materials."

The nomenclature consisted of more than 50 thousand items of electrical products, and it was almost impossible to recalculate each unit of goods manually on paper lists. Each check took a huge amount of time, and errors in shipments and re-sorting caused financial losses.

Bad experience and fear of repeating mistakes

Before contacting Kleverens, the Materials Base company had already tried to automate warehouse processes. However, this experience was unsuccessful: the previous contractor did not complete the work, since the employee responsible for the project quit.

Data collection terminals were simply gathering dust on the shelf at the customer's warehouse. And he had no confidence that the new software would be able to solve all the problems. But we convinced the management of the Electrical Materials Base that we could help, and offered not just software, but an integrated approach. Our task was not only to automate processes, but also to make them as convenient as possible for employees,
told Alexander Tarasov, CEO of Information Technologies in Business.

At the first stage, we chose the mobile application "TSD Driver for 1C: Enterprises based on Mobile SMARTS" from Cloverens. A little later, when the integrators helped launch the new warehouse, they updated the 1C configuration and the fleet of mobile equipment, as the old terminals were slow to work.

And the customer set new tasks for integrators of "Information technologies in business":

  • transfer the exchange with COM to the WEB,
  • make an upgrade of Cloverens, thereby expanding the functionality,
  • modify the software for the needs of the company,
  • Speed up the shipment of goods from the warehouse to the buyer.

All this had to be implemented so that customers of the "Base of Electrical Materials" understand how long the order will be ready and how long it will take to complete the wholesale batch of goods.

A simple solution for a complex task

Mobile applications for shipping documentation from Cloverens do not require complex technical resources. Therefore, integrators did not have difficulties with installing and configuring software.

The main difficulty of this project was that some of the goods were received from suppliers without barcodes. For example, cable in coils. And the process of work without ShK, familiar to the "Base of Electrical Materials," had to be rebuilt.

We agreed with suppliers that they will send goods with already applied "striped" codes. Since it was more convenient than generating your own and marking in your warehouse,
told the Head of the warehouse of the company "Base of electrical materials."

The First Steps to Automation

After a detailed discussion and analysis of the company's needs, the implementation process began. Honeywell EDA51K data collection terminals were installed, and data exchange between the accounting system and the equipment was configured. Wi-Fi

File:Aquote1.png
We started small: we automated the main processes - acceptance, shipment and inventory. This was the first step towards order,
told Alexander Tarasov.

Today, the park of shipping documentation "Bases of Electrical Materials" has grown to 14 mobile devices. With their help, storekeepers perform all the main warehouse operations, as well as place and move products in cells, write off goods. In the near future, the company's management plans to purchase additional equipment to automate retail stores.

Difficulties and overcoming them

Not everything went smoothly. The main problem was the resistance of employees accustomed to the old way of working. However, thanks to the support of integrators and the training they conducted, it was possible to smooth the transition to automated accounting.

File:Aquote1.png
Employees needed to get used to the new equipment and processes. We were constantly in touch to help in the event of any questions or difficulties,
File:Aquote2.png

The main nuance of the new warehouse mechanism was the correct selection of the bin: integrators had to set up documents on the shipping documentation so that the storekeeper first saw the lower bins on the screen for the selection of goods, and then the upper ones - so that the loader did not have to perform the same action twice. Therefore, the task of moving products for the loader was set up automatically.

First inventory

Storekeepers were afraid that the first major inventory after the introduction of the system would be a real test. However, the results exceeded all expectations: automation worked smoothly, and errors in accounting for goods were minimized.

File:Aquote1.png
We were pleasantly surprised. Everything went smoothly, and we were able to make sure that the system really works,
File:Aquote2.png

Now storekeepers admit that it is much more convenient to work with shipping documentation: Warehouse 15 reports if the product barcode is incorrectly scanned or an extra item is added to the document. This significantly reduced the influence of the human factor and the simplest mistakes.

Results: Order, speed and economy

Thanks to the implementation of the Kleverens software and data collection terminals, the Electrical Materials Database has achieved significant results:

  • Errors in accounting and shipments were completely excluded;
  • Increased order processing speed by 30%;
  • Reduced the cost of warehouse operations by 20%.

File:Aquote1.png
Now we can tell you exactly how long it will take to complete the order. This is especially important for customers who purchase goods in large batches,
Alexander Tarasov.

Stability and New Opportunities

The warehouse of the "Base of Electrical Materials" returned to stable operation. New tools and processes allowed the company not only to restore order, but also to open up new opportunities for growth.

We are no longer afraid to scale. Now we have tools that make it possible to cope with large volumes,

Growth readiness

Now the "Base of Electrical Materials" plans to automate its retail stores. Thanks to successful implementation experience in the warehouse, the business is ready for further expansion without previous problems.

We see automation changing our business. This is not just convenient - it is necessary for growth,
