2022: 50k in one day: How Be Perfect learned how to count a warehouse in a new way

Warehouse that did not obey

Be Perfect, which sells goods for beauty salons, faced a serious challenge: a mess in the warehouse. The volume of the nomenclature exceeded 50 thousand items - from eyelash glue to professional equipment. The work went through paper documents, the inventory was carried out manually, and errors in picking orders became the norm.

As a result, customers did not receive what they ordered, they had to draw up acts of disagreement, shortages and re-sorting appeared. The company was losing money, time and even reputation. All this was due to the human factor and outdated accounting methods.

Inventories of paper media even by the forces of the entire team stretched for a week. We needed not only to reduce audit time, but also to be able to automatically track inventory,
Nikita Shadursky, Head of Information Technology at Be Perfect.

When all decisions seem useless

The company has already tried to implement various mobile warehouse systems, but none of them met expectations. Either the interface turned out to be too complicated, the system hung, or the implementation time was delayed by months.

Be Perfect management feared that the next software would be another headache. There was a sense that automation was more of a problem than a benefit. However, the situation continued to deteriorate, and then it was decided to give automation a new chance.

A decision that did not scare the scale

The offer came from Cloverens' partner, Universal Systems Studio. The integrators of which proposed to implement the Store 15 software and six Urovo DT40 data collection terminals.

Be Perfect especially liked that the system is flexible and does not require a complete replacement of the IT infrastructure. You can start by automating the warehouse, and then expand your capabilities.

We needed a partner who could be given the conditional "5 stars." The first correspondence with the intruder was carried out in the mail with the participation of Cloverens employees. Several tasks worked in this mode, and then continued without the participation of the developer,

Let's go! We implement the system

After the decision was made, they began to implement. Installed "Store 15," connected the exchange with 1C: UT 11.4, purchased equipment. It also took many modifications: adding additional fields, setting up the display of the order number, automatic processing of tasks.

Universal Systems Studio specialists have taken the bulk of the load on themselves. And Be Perfect employees helped them understand the specifics of their logistics so that the system works exactly as it should.

The first test launches showed that everything works. Even without global changes in processes, it became noticeable that automation is yielding results.

Training is the first barrier

One of the first calls was the training of employees to work with shipping documentation. Most storekeepers have never encountered such equipment before. The early days were filled with questions: "How to turn on?," "What to press?," "Where is the order list here?."

However, support from partners played a key role. Call - and the employee explains how to configure the device, tells where to find the desired document, writes a step-by-step checklist. A couple of weeks later, the team settled in.

Any business task is solvable. The management of our company speaks with great warmth about the benefits of implementing shipping documentation and the quality of support that Universal Systems Studio provides us in the person of Afanasyev Oleg,
Nikita Shadursky.

Battle Test: First Inventory

The true strength test system passed during the first inventory after implementation. Before that, she took a week, but now they planned to do everything in one day.

The terminals worked stably, the data was transmitted correctly. However, there was a case: the employee accidentally deleted the inventory document. Fortunately, thanks to the operational reaction of USS specialists, the data was restored.

If they lost the document, it would be necessary to re-inventory more than 50 thousand goods,

This event showed that even the most reliable system requires attention from users. But the main thing is that automation has paid off.

Result: Fewer errors, more control

Now the inventory takes one day instead of a week. Errors in picking orders have practically disappeared. It became possible to track the KPI of employees - who, how many and how quickly collects orders.

We have no need to recalculate the goods with the entire composition, the influence of the human factor has decreased, in general, work has accelerated,
Nikita Shadursky.

Automation was a real breakthrough for Be Perfect. It's not just more convenient - it really saves time, energy and money. The warehouse has become understandable and controlled. Now it is always clear where the product is, how many are left and which of the employees works better. The team is used to new tools, and even those who initially resisted change now say: "But it's convenient!"

Ready for growth

With automation, Be Perfect is now ready to scale. Can increase volumes, expand the range, open new sales channels. Previously, any development caused fear: how to control everything? Now there are no such questions. There is confidence that the system will cope.

From the very first day of cooperation with Kleverens and its confidant - Oleg Afanasyev - I have not left the feeling of confidence that together - we can do everything on our shoulders! This is exactly the person who does what he loves and loves what he does!
Nikita Shadursky, Head of Information Technology at Be Perfect.
