2023: Digitization of more than 25 thousand sheets of highly valuable archival documents

The National Archive has completed work on the translation of archival documents into electronic form within the framework of the state program "Information Society of the Republic of Khakassia" for 2023. About 350 storage units, more than 25 thousand sheets of especially valuable archival documents have been translated into digital format. This was announced on December 6, 2023 by ELAR (Electronic Archive, NGO Experience).

In 2023, as part of the digitization, the documents of the archive fund of the Khakass Regional Committee of the CPSU P-2 continued to be scanned. Documents of 1933-1942 became selected for digitization: minutes of meetings of the bureau of the Khakass regional committee of the CPSU, information on the composition and movement of district party organizations, documents on industrial construction and cultural and mass work, data on the development of agriculture, the health care system, education and many others.

For digitization on the territory of the archive, specialized ELAR scanners were used, which allow scanning dilapidated, complex documents, as well as large-format documents, and are safe for the originals of archival documents.

2021: Electronic conversion of 421 cases

ELAR Corporation on October 21, 2021 announced that it had transferred 421 cases (about fifty thousand sheets) from the funds of the National Archive of the Republic of Khakassia to electronic form, seventy percent of them are especially valuable cases.

The next stage has been completed to create an electronic database of archival documents of the GKU RX "National Archive," during which valuable documents from various funds were digitized. In particular, work was continued on scanning metric books of 1919-1924, as well as especially valuable documents of the funds of the National Archive: P-1 "Khakass District Committee of the All-Union Communist Party of the Bolsheviks" for 1925-1930, P-14 "Khakass District Committee of the RCP (b)" for 1917-1926.

2020: Digitization of more than 70 thousand sheets of archival documents

ELAR Corporation has translated into electronic form more than 70 thousand sheets of archival documents within the framework of the state program "Information Society of the Republic of Khakassia" for the National Archive of the Republic of Khakassia. Elar announced this on September 16, 2020.

The National Archive is a large repository of documentary sources in Khakassia, which traces its history back to 1927 and carefully stores the documentary heritage collected by several generations of archivists of the republic. The archive has been cooperating with the company for several years. In 2020, ELAR specialists digitized 708 cases, about 85 percent of which are especially valuable cases.

Work was carried out on scanning metric books dated 1915-1918, as well as documents of one of the most frequently used funds of the National Archive of the R-39 "Khakass Regional Executive Committee" for 1977-1992, - says Irina Mikhailovna Mironenko, deputy director of the National Archive of the Republic of Khakassia. In particular, these are the minutes of the meetings of the Regional Executive Committee, the orders of the Executive Committee of the Regional Council, the minutes of the sessions of the Regional Council, materials on changing the administrative-territorial division, decisions of the Regional Executive Committee, documents on the presentation of state awards.

Also, the digitization of the documents of the R-655 fund "Collection of documents of participants in the Great Patriotic War of 1941-1945," transferred for storage to the National Archive from the personal archives of citizens, has begun. These are letters from the front, photographs, memoirs, autobiographies, questionnaires and other documents of veterans and participants in the Great Patriotic War.

2017

On December 14, 2017, ELAR Corporation digitized archival funds of the National Archive of the Republic of Khakassia. The project was carried out within the framework of the state program "Information Society of the Republic of Khakassia (2016-2020)" and the subprogram "Informatization of the industry" Culture. "

Documents of the executive authorities of the region dated 1930-1967 have been translated into electronic form. According to Irina Mironenko, deputy director for main activities of the National Archive of the Republic of Khakassia, the created electronic information resource will be used by archive employees in internal archival processes. In addition, digitized cases will become available to users through the Electronic Reading Room, provided that confidential information is protected.

The array (about 400 storage units, more than 48,000 pages) includes documents of formats from A4 to A1, for digitization of which during the project a fleet of scanning equipment of the ELAR PlanScan brand was used. After scanning, archival documents were indexed by fund numbers and names, inventories, cases and other search fields, and an MS ACCESS database was created to upload to the institution's automated information system. ELAR specialists based on digitized cases also formed electronic books in PDF format with the possibility of context search.

2016

According to Irina Mironenko, deputy director of the archive for main activities, the created digital resource is currently available to users in the institution's electronic reading room. "The scientific reference apparatus has already been translated into electronic form in full, and users can access it remotely, via the Internet," says Irina Mikhailovna. "And now we are actively engaged in the digitization of especially valuable documents to provide researchers with greater opportunities to access these materials."

Among the most popular and especially valuable are, for example, metric books, according to which archive users restore their genealogy. As part of the digitization project, cases of a genealogical nature were scanned and indexed, as well as documents of executive authorities dated 1914-1967. The total number of sheets that operators transferred to electronic view on ELAR PlanScan scanners of the "C" series amounted to more than 30,000.

"Unlike replicated materials, each archival document is unique and valuable," comments Sergey Zhuravlev, an expert on working with archival institutions of ELAR Corporation, "and therefore maximum responsibility and competencies are required from the executors of digitization projects. For example, the scan operator should be able to correctly assess the state of the document: the degree of dilapidation, the departure of the text into the root of the stitching, and so on, in order to correctly configure the equipment and get a high-quality electronic image. "

2012

ELAR Corporation has completed the transfer to the format of electronic databases of inventories of the State State Institution of the Republic of Khakassia "National Archive," the contractor said on December 13, 2012.

The forces of the ELAR corporation scanned and indexed 16.5 thousand pages of inventories of the group of funds of the National Archive of the region, created a database for 100 thousand records containing the texts of case titles. The received electronic information resource is uploaded to the industry software package "Archive Fund" 4.3.

The work was carried out within the framework of the long-term republican target program "Development of the information society in the Republic of Khakassia (2011-2015)."

The results of the project are aimed at improving the access of users and employees to information about archive documents, and will also contribute to improving the efficiency of working with citizens' appeals.
