"The institute of physics and high technologies" creates electronic archive of documents on the Etla platform

2020: Creation of electronic archive

Autonomous nonprofit organization "Institute of Physics and High Technologies" (ANO IFVT) organized electronic archive of documents of institute on the ETLA platform. On October 19, 2020 the Atlas Soft company reported about it.

Having analyzed the scale of a daily turnover of documents of institute the management came to the decision of digitization of the existing archive of documents and formation of transparent structure of their storage.

Input of study of the matter a number of requirements to the implemented system was created:

• The reliable and protected from attempts of cracking document storage.
• Flexible and quick search of documents, about a possibility of configuration of search options.
• A system should be completely domestic development and enter the register of the Russian software.
• Existence of stream input of documents from the scanner;
• Protection of a system against a different type of network attacks;
• Existence of the automated mechanisms of backup both the database, and base of documents.
• Possibility of setup and system implementation by forces of own specialists.

As a result of studying of the electronic archives presented at the market a system on the Etla platform was selected.

During setup of a system by specialists of institute the structure of archive of documents was created, cards and rules of automatic naming and numbering of documents are configured. Rules and the schedule of creation of backup copies of the database and base of documents were configured that allowed to secure institute against loss of documents completely.

Transition to the system of electronic archive of documents gave to institute a number of indisputable advantages:

• Leaving from opaque management of network folders with documents.
• The fast translation of originals of documents in an electronic form due to line scanning and registration in a system.
• Simplification and acceleration of search of the necessary document and related packet of additional documents.
• Transparency of communications of sets of documents.
• Tracking of the change history of the document.
• Complete security of the data stored in a system.
