2019: DirectumRX system implementation results

On March 18, 2019 the MiTek company announced DirectumRX system implementation in "Key Systems and Components" group ("KSK").

Having the developed divisional structure including over 15 companies which are territorially deleted from each other, the KSK group faced a problem of consolidation of processes of managed companies within a single system. DirectumRX became it. The contractor of the project selected MiTek company.

Specialists of MiTek started implementation of the project at the end of September, 2018: the research of requirements of the organization was conducted, problems of implementation are defined, setup, adaptation of system modules and their start in test, and then and industrial, operation is made. It was initially going to connect 100 employees from 10 companies, but in the course of setup of a system it became clear that organic interaction requires participation of expanded list of specialists and managers. According to information for March, 2019 over 750 users from more than 15 companies are brought to EDMS.

Active process of reorganization of group influenced also setup of a system. All corrections of processes were executed in real time, proceeding from the arriving data on structural changes: HOLES (our organizations) were got, routes changed, approving were added. Also during implementation work of 1C systems: Document flow and ELMA, used in a number of the companies, it was postponed for DirectumRX.

According to information for March, 2019 all organizations are united in one end-to-end managerial structure. At the same time one NOR can perform work within one or other divisions which are territorially located in 5 different cities – Moscow, Mytishchi, Bryansk, Tver, Lomonosov. Confidentiality of information is regulated by the differentiated access rights. In DirectumRX work with the entering and outgoing letters, memos, organizational and administrative documentation, agreements, powers of attorney and instructions is conducted.

"The project is executed in 4 months. The main complexity was in flexible change of a system depending on changes in an organization structure of group. According to the results of the project positive changes in work of structural divisions are visible: considerably processes accelerated, it became more evident and simpler to manage them. The shortest time for which the agreement passed an internal process was only 2 days 5 hours 5 minutes and 57 seconds. Considering that specialists are not just in different offices, and in the different cities, process of approval of agreements could last for weeks". In plans for 2019 connection of other companies of holding, expansion of number of the automated processes, integration about 1C: Holding Management and use of the electronic signature.

2018: Beginning of implementation

On October 19, 2018 the MiTek company announced carrying out the project on workflow automation in "Key Systems and Components" Group (KSK).

For the purpose of increase in controllability document flow of group, KSK LLC implements the DirectumRX system. Flexible differentiation of access rights and interrelation of roles, a connectivity to uniform base of several organizations, setup of end-to-end processes and convenient work with agreements became advantages of a system to group. The project is aimed at creation of the effective mezhkorporativny environment of interaction between head and subsidiary companies of holding. The MiTek company became the contractor of the project.

Within the project the most standard functionality of the DirectumRX system will be established and customized. It is going to cover work with instructions, approval of contractual documents, consideration of the entering and outgoing letters, work with memos, approval of orders, orders, management of powers of attorney and control of instructions. Pilot installation of a system will be executed in management company with a connectivity of the managed organizations to DirectumRX base. Within one EDMS accurate differentiation of access rights for the different organizations will be configured. The companies of group will work with documents, objects and tasks only of the organization. And specialists of management company will get access to documents of all group according to functional duties.

Automation about 100 users is originally planned, from them 20 users is an administrative and management personnel of KSK LLC, and 80 — specialists and heads in territorial subdivisions of Tver, St. Petersburg and several enterprises in the territory of the Russian Federation.

For October, 2018 the MiTek company conducts a research of processes for their subsequent implementation and setup. In the long term KSK LLC intends to replicate the uniform automated regulations of work in DirectumRX for all enterprises of group. Also in plans of KSK LLC integration of DirectumRX with accounting system 1C, connection mobile solutions DIRECTUM Jazz, DIRECTUM Solo and development of intercorporate document flow with partners.
