Murmansk Shipping Company implemented an electronic document management system and content managements of CompanyMedia (the developer – the Moscow company "InterTrust").
Now EDMS functions in workplaces of clerks, secretaries, managers – about 80 employees. In the near future the staff of legal service and also company management will be connected to a system.
As the staff of shipping company already had experience with applications on IBM Lotus Domino platform/Notes on which it is developed EDMS CompanyMedia, system implementation passed quickly enough and easily. Specialists of InterTrust company conducted examination of the existing business processes of the company and offered options of their optimization at the expense of CompanyMedia, configured and installed a system in workplaces of staff of shipping company, brought it into pilot, and then commercial operation, trained in work with it technicians (system administrators and instructors who trained further other users in work in EDMS CompanyMedia). The project team from the customer also showed high professionalism and knowledge of modern information technologies of electronic document management and methodology of their implementation.
Having tested functionality of CompanyMedia, specialists of Murmansk Shipping Company came to a conclusion about lack of need to finish a system and opportunities to implement its standard version.
In general, a system allowed to provide information support of many important business processes of the company. So, using the module "CompanyMedia-citizens' appeals" work with requests of former employees for obtaining different references, copies of service records and other private papers, issue of financial support and so forth was organized. In this module of the request are registered, on them executives in charge and completion dates are appointed, contractors are put on control, frequency of reminders on the issued instructions is configured, performance reports are registered and are sent to authors of requests together with required materials. Thus, one module provides information support of all complex of the procedures connected with this work type.
The module "CompanyMedia-Deloproizvodstvo" allowed to automate office-work of the company (the centralized document registration, issue on them of instructions and resolutions and control of their execution, installation of communications between documents, formation of affairs, accounting of incoming correspondence and internal correspondence, the ave.).
Modules of "CompanyMedia-citizens' appeal" and "CompanyMedia-Deloproizvodstvo" were installed on computers of clerks, secretaries and other subject specialists.
For middle managers licenses on "CompanyMedia-Universalnoye a workplace", intended for most of employees of the company and heads of all levels, i.e. for those to whom not details, but contents of the document and course of execution of instructions are important were purchased. This type of a workplace allows its users to create draft documents, to work collectively on them, to store draft documents and work materials in any folder hierarchy, to approve draft documents, to sign documents, to direct them to registration; receive documents, issue and receive the instructions connected and not connected with documents and so forth.
For the organization of interaction of shipping company with partners the module "CompanyMedia-Dogovory" was purchased.
Today CompanyMedia is used by generally subject specialists (secretaries, clerks) and managers, active work on involvement in work with EDMS of heads and also other specialists who are not connected to a system whose activity is connected with work with documents is conducted.
In general the global task - to organize completely electronic internal document management that as assumes the management of the enterprise, it has to be implemented by the end of 2012 is pursued.
