In "Rosseti Kuban" launched EDMS on the Documento platform

2021: Launch of electronic document management system

JSC "VOLS-VL Management" together with LLC "ID Management Technology" introduced EDMS (on the Documento platform) in PJSC "Rosseti Kuban." This was announced on November 15, 2021 by ID Management Technology.

The basic business goals of the project are the introduction of a single EDMS solution for automating workflow and the process of exchanging correspondence with the executive office of PJSC Rosseti and subsidiaries of PJSC Rosseti, improving the efficiency of working with documents through a flexible and functional platform.

The implementation of the business processes of PJSC Rosseti Kuban was necessary to provide a flexible document management platform, with the need to create a base of contractual documentation and improve execution control tools in accordance with the requirements of management. The company has chosen the way to implement a single EDMS solution that fully meets the requirements of both functionality and scaling options. The requirements of the program of the Government of the Russian Federation for the development of import substitution of software in the backbone enterprises of the national economy were also taken into account.

The electronic document management system of PJSC Rosseti Kuban (SEDO RK) was created on the basis of the Documento software platform - its own development "ID Management Technology" (entered into the register of Russian software).

SEDO RK made it possible to improve the automation of registration, accounting and processing of incoming and outgoing correspondence. The formation and distribution of initiative instructions for execution are also fully automated; preparation, review, approval, signing and execution of internal documents (power of attorney, contractual and design documents).

At the stage of migration of historical documents, as well as resolutions, about 18 million units of documentation were loaded into the system.

The large-scale and resource-intensive project was completed in full compliance with the work schedule, which was made possible due to the high level of coordination of efforts with the customer's team. We agreed on the optimal launch dates, taking into account the readiness of the system and users for the start of operation, managed to organize the entire process of preparation for the transition to the pilot operation stage (PED), including full-time training. We also managed to launch technical support at the Rosseti Kuban site within the framework of the PPE. Already on the first day of the PPE, the new system made it possible to create more than 800 documents and 1250 resolutions. This was largely facilitated by the flexible platform of the SEDO RK, which allows users to quickly get used to the system and go to the operation stage, - said Mikhail Egorov, executive director of ID Management Technology.

The created solution provides the ability to mashtab the system for 1800 users in 11 branches of the Company.
