2023: Yogurt Shop: How automation saved unique dairy production and preserved tradition

Natural production in the world of digital requirements

Yogurt Shop, a company that produces natural fermented milk products without artificial additives, has faced serious challenges after the introduction of mandatory labeling of dairy products. The peculiarity of Yogurt Shop products lies in completely manual production and extremely short shelf life (no more than 7 days). Therefore, traditional approaches to automation turned out to be inapplicable.

The first attempt to introduce data collection terminals with Kleverens software failed, as IT specialists incorrectly configured the software on an outsource, and the equipment constantly hung, slowing down the already tense production process. I had to postpone the shipping documentation for a while and perform all operations manually, including entering data in 1C: Accounting 3.0. This led to errors and huge time costs - employees literally "lived" at computers, manually entering labeling data.

The situation worsened with the introduction of new requirements for volume and varietal accounting in September 2022. Now it was necessary not only to label the products, but also to promptly transfer information about the withdrawal of goods from circulation to Honest Sign. Without automation, the company risked fines and its own reputation in the natural products market.

Technology to help milkmen

The CEO of Yogurt Shop decided to finish the accounting automation project and, having changed the contractor, turned to the VIANT integrators with a clear list of tasks:

  • Establish the operation of the Kleverens mobile application for shipping documentation with the cloud "1C: Accounting";
  • Eliminate errors when entering an item into sales;
  • Set up volume and varietal accounting;
  • Train personnel to work with the marking system.

First of all, we conducted a full-fledged consultation for employees on working with the labeling system and in 1C. The entire cycle of work with marking codes was clearly shown - from application to packaging to withdrawal from circulation, typical errors and methods of correcting them were disassembled,

The key solution was to update the software configuration for data collection terminals to "Warehouse 15 + MILK" and carefully configure the equipment. Integrators have chosen Urovo DT40 mobile computers for the Yogurt Shop - reliable, easy to use and compatible with cloud 1C. Special attention was paid to synchronizing data between the shipping documentation and the accounting system in order to eliminate delays and "loss" of information.

The system immediately warns

The implementation process took place in several stages. First, VIANT specialists updated the software and fixed the problem with the "freezing" of mobile devices. Then we set up online exchange between shipping documentation and cloud 1C, which was critical for production with short product shelf life. A particular difficulty was the work with the status of marking codes.

We have fixed the Invalid Identity Code Statuses error. Now storekeepers can check the status of the KM right at the terminal, without first loading them into 1C. This greatly accelerated the shipping process and eliminated errors. Plus, the system immediately warns if someone tries to put into circulation the code already used,

To consolidate the results, the integrators conducted personnel training. Employees were taught not only to work with equipment, but also to understand the logic of the marking system - how to check and edit documents in the IS MP, what to do with various code statuses. This helped to avoid problems when working independently.

A Fresh Look at Automation

After the implementation was completed, Yogurt Shop received a fully functional system that meets all legal requirements.

Key achievements:

  • 100% excluded labeling errors;
  • reduced the time for paperwork by 3 times;
  • were able to quickly transfer data to Honest Sign;
  • Ensure transparency of all warehouse transactions.

"Dairy Perspectives"

The successful experience of Yogurt Shop shows that even for small industries with manual technology, automation is not only possible, but also necessary. The implemented solution has significant potential for scaling - with an increase in production volumes, the system easily adapts to new conditions.

As noted by VIANT integrators, with whom Yogurt Shop continues to cooperate, the current configuration allows you to relatively simply add new functions as legal requirements change. This is especially important for the dairy industry, where the regulatory framework continues to develop.

The main result - the company was able to maintain its philosophy of manual production of natural products, while fully complying with all modern labeling and accounting requirements. Automation has become not a necessary measure, but a tool for business development.
