2020: Connection of service of exchange Synerdocs for MKDO

The shoe enterprise in Russia of Yunichel connected service of exchange Synerdocs for intercorporate electronic document management (MKDO) and interaction with partners. Yunichel several times accelerated process of agreement signature and supporting documents and also cut down clerical expenses. Announced this Directum on September 8, 2020.

Work with agreements which are signed with partners occupied the considerable volume of time. And long process of preparation of documents for accounting checks, even despite existence of the accounting system was difficult. Therefore the management made the decision — to structure document flow. A choice was made for benefit of Directum RX.

For the beginning of September, 2020 in a system are implemented:

  • Automation of work with the entering accounts and requests for payment. Information on a payment status contains in a document card now. The user can quickly browse data on payments on several accounts, having selected necessary documents in the list.
  • Formation of uniform financial archive. Thanks to convenient filtering search of the necessary document takes only several minutes.
  • Approval process optimization. At the expense of the preconfigured routes time for consideration and agreement signature was reduced.

Out of office workers Yunichel can work with documents using mobile applications: Directum Solo for heads and Directum Jazz for non-management employees. According to the results of only four weeks of operation of a system the staff of the company started more than 3,100 tasks and created more than 3,000 electronic documents.

Daily the company ships goods to shops and moves finished goods between warehouses. During these transactions a large number of paper primary documents is created. As result — impressive clerical expenses, long waiting of signing and return of originals of documents.

In spite of the fact that in the company service of electronic exchange was already used, external processes of customer interaction and internal departments required additional automation. Synerdocs had several advantages in comparison with competitors: it is a possibility of use of rather inexpensive simple electronic signature (SES) and seamless integration with the Directum RX system. Thanks to it Yunichel was succeeded to cut down expenses on acquisition of EDS certificates three times.

For convenient work with documents a common information space based on the systems Directum RX, 1C and Synerdocs and Diadoc services was created.

What problems the company solves with use of e-document flow:

  • Agreements and primary accounting documents are transmitted to partners and the enterprises of holding through Synerdocs or the Diadoc. It reduces time for vising and return of originals.
  • Delivery notes, acts, reports are signed in Synerdocs simple electronic by the signature.
  • After vising in e-document flow service documents are automatically brought in financial archive. It considerably simplifies preparation for tax audits. It is possible to find and unload the necessary document in a couple of minutes.

In plans of the shoe enterprise — automation of work with the entering and outgoing letters and also internal administrative documents.
