eXite is the instrument of exchange of the commercial information between business partners (EDI - Electronic data interchange — Electronic Data Interchange).

Advantage of the eXite system - is available for the client reaching a large number of suppliers. A system works as for the local companies – clients, suppliers, transport firms, banks and even the public sector, and at the international level – all suppliers and consumers are virtually integrated.

Main Advantages

  • Failure from manual water of data. The range of a delivered goods the supplier in retail chain stores can vary from 10-15 to 300-400 and more positions. For transfer of such information volume by fax, manual entry of the request/account/delivery note in the ERP system a large number of time spent by personnel can be required. With implementation of EDI technologies need "overtype" orders leaves that saves working time of personnel and reduces an order service cycle.

  • Lack of errors of manual entry. Nobody is insured from errors. Use of Electronic Data Interchange excludes a possibility of errors of "manual entry" which often lead to additional costs.

Instant obtaining messages. EDl-messages in the platform of e-commerce eXite® are delivered to the receiver in 15-30 seconds after sending. There is no need to expect the order, to worry about quality of acceptance of the facsimile message.

  • Uniform standard of messages. For transmission of messages the subset of S3 EANCOM 2002 standard which is the most widespread EDI standard is used. If one of partners is a subscriber of other platform of e-commerce, then eXite® provides automatic roaming with any of world operators of EDI.

Economy on costs. The personnel of the company are exempted from monotonous work on "manual entry" of data, time for order processing and costs for a facsimile and mail service, courier service are reduced.

  • Possibility of implementation of new types of business processes. After implementation of EDI there is an opportunity to use such business processes which are widely used in the western countries, such as "The stocks managed by the supplier" (VMI, Vendor Managed Inventory), "Process of continuous replenishment" (CRP, Continuous Replenishment Process), "Collaborative planning of replenishment and forecasting" (CPRF, Collaborative Planning Replenishment and Forecasting) which allow to increase considerably a business volume between business partners, to increase profitability of working capital and business competitiveness in the market.

  • Security. Nobody can see contents of the EDI message, except the sender and the receiver (even administrators of the platform). Severe measures of security make unauthorized access to information impossible.


Basic processes within EDI eXite

  • ORDERSORDERS, the Order - the message sent to the supplier in whom contains: order number, date and time of delivery, link to a delivery agreement number, price, participants identifiers (receiver, sender, delivery location, customer, carrier, consignee) and information on order contents.
  • DESADVDESADV, the Shipping notification – an analog of the commodity transport delivery note, contains up-to-date information about the actual shipment of goods from a warehouse of the supplier: information on goods (barcodes, quantity, etc.), physical characteristics of shipment (volume, weight, etc.), information on transportation (number and date of the commodity transport delivery note, time and delivery date, etc.
  • RECADVRECADV, the Notification on acceptance – on the basis of goods acceptance can be automatically created the document "Notification on Acceptance" (RECADV) which will contain information on actually accepted products (with indication of the reason: defects / nekondition / delay/regrading, etc.). It will allow the supplier even before return of the machine to find information on the actual acceptance and to create a correct account on payment.
  • INVOICINVOIC, the Invoice for payment – goes to retail network the supplier.

Evolution 3.0 will support a FSIS "Mercury"

On December 12, 2016 it became known of the agreement between Rosselkhoznadzor and E-COM company on integration of a system of veterinary certification into SaaS-сервис Evolution 3.0.

The FSIS "Mercury" should be integrated with SaaS- the Evolution 3.0 platform. All economic entities using services EDI- provider E-COM, will receive the convenient mechanism of an automatic execution of electronic veterinary certificates on controlled products in which turnover they participate.

Evolution 3.0 is compatible to ViPNet CSP

In the platform of electronic document management Evolution 3.0 E-KOM companies support of cryptographic information protection based on the ViPNet CSP 4.2 cryptoprovider certified by FSB of Russia is implemented.

"Now users of service when using functions of the electronic signature can work both with CryptoPro CSP, and with free ViPNet CSP", - the Head of Department integratsy "E-KOM" Eduard Kishkovsky noticed. According to him, thanks to it the enterprises which are especially needing economy of means can select the most profitable option of work with the EDS.

In addition, expansion of settings of the e-document flow platform under both cryptoproviders will give the chance to users to work with documents which carry a formulation legally significant (ESF, TORG12, UPD and acts), irrespective of the choice. It will provide interaction with any of the accounting systems and as appropriate will create signing of documents the qualified EDS which are issued by the certification centers accredited by the Ministry of Telecom and Mass Communications of the Russian Federation.

One of the main factors in the choice of cryptoprovider, as a rule, consists in the tools for the electronic signature used by certification center. Containers of keys have different formats therefore it is necessary to be convinced that UTs will be able to issue the electronic signature of suitable cryptoprovider. Not all are ready to support several formats at once. The program distinction influences also work of the internal accounting systems of the company.

As noted many specialists, simultaneous use of CryptoPro CSP and ViPNet CSP can entail system failures and nonserviceability therefore such combination is not recommended to use. And if at the enterprise the module of Crypto Pro was initially used, then it is worth prolonging the license with this program. It will help to avoid problems of synchronization with the tools providing business processes within signing and exchange of documents in electronic form. If the internal system was updated, and infrastructure is not tied to the license, then it is quietly possible to select also ViPNet CSP.

Exite-Evolution 3.0

Use of the platform of exchange of electronic documents of Exite-Evolution eliminates need for paper document flow in the environment of exchange, reduces dependence on errors and a human factor, transfers technology of exchange and work of business to a digital format, at the same time creating high efficiency of business processes.

Service is provided according to SaaS technology (Software-as-a-Service) on a web and API solutions, using the modern systems of development.

On the basis of the Evolution 3.0 web platform the Factorex and Distribex systems are developed.

The EDI and e-document flow system from E-COM, (2015) company

In Evolution 3.0 the system of signaling messages works. The system of the statuses which prevents sending incorrect documents works. Signing of legally significant documents is provided. The functionality of automatic signing of the electronic invoices (EI) is implemented.

On August 1, 2016 the E-Com company announced upgrade of the platform of service of electronic document management Exite to the version of Evolution 3.0.

It the company increased reliability level, according to ImmuniWeb, to A+ that provided support of requirements 6.6 and 11.3 standards of security of PCI DSS developed by Council for standards of security of the industry of payment cards and is founded by international payment systems of Visa, MasterCard[1].

Testing was held by specialists of department of cryptography and data protection of E-Com in ImmuniWeb technology - it is capable to detect the most difficult vulnerabilities and guarantees total absence of false operations, the company provider of EDI service stated. Check of the Evolution 3.0 (Edi.su) connection is organized specially under requests of users of SaaS platform.

According to data of ImmuniWeb, the highest assessment is equal to A+, the smallest – F. Level of service is in total estimated by four criteria, one of which is support of the PCI DSS standard. Other three:

  • compliance to the SSL standards of the certificate (Secure Socket Layer — allows in the safe mode to use https the protocol),
  • compliance to standards of National Institute of standards and technologies of the USA (NIST)
  • compliance to the best world practices of the IT industry.

thanks to the updating the version of the Evolution 3.0 system allows to conform in total to 12 detailed safety requirements of the payment cards given about holders which are transferred, stored and processed in information infrastructures of the organizations. For us it is a new stage of development of data processing of our clients. All process on the Evolution 3.0 platform creates in itself functionality on document exchange in electronic form from EDI (Electronic data interchange) to LSDF (legally significant document flow). In addition to processing and transmission of messages its task includes storage.

Evolution 3.0 has the highest security level of A+, and data storage is provided by three data centers located in Russia. Specialists of department of cryptography and data protection with special attention and insistence treat reliable work of all services of the company on data exchange.


Traffic of documents in intercorporate exchange of these companies on SaaS platform Evolution 3.0 FTP channel to by September, 2016 made about 70 million transactions (each transaction is a transfer of one electronic document from the partner to the partner, for example, of ORDERS on delivery). Presumably by the end of 2016 the gain of document exchange will make 30% more, than in 2015. The trend of increase in demand for integration is caused by a wide request of business for solutions on production optimization in general. First of all, it is connected with implementation of new document types, in particular, of electronic invoices which become recently an important factor of connection to e-document flow as allow to close the transaction and to obtain necessary data for calculation of the VAT.

Transition to an electronic transmission format of documents already becomes basic requirement as regulation of e-document flow is actively formalized on the legal framework from the state departments: FTS, Ministry of Finance, RPF, Federal Accreditation Service and other state agencies. The new quality standards for all spheres of business without any exception are created. Solutions on internal (EDMS) and external electronic document management (e-document flow) are transformed towards digital - become more flexible and friendly for users, developers, in turn, are ready to implement nearly "artificial intelligence".

Market development of e-document flow goes according to laws of evolution of a system - convenient and practical forces out archaic: to the forefront there is a need for the organization of optimum ergonomic process. And examination in this case generally forms on the party of EDI/EDO provider. Also Kishkovsky noted that the relevance of new technologies always lies in the plane of assessment of his importance for the enterprise and if the head is ready to consider possible mechanisms of diversification of business and is guided by increase in working capital, then it will not be slow to use effective experience of the leading players of the market in this area.

E-COM: availability of an EDI system to retail reached the level of 100%

"The guarantee of availability of an EDI system to retail should be provided at the level of 100%, - the Head of Department of technical support of E-COM company Ryazanova Yulia said. – Otherwise such networks as X5 R.G., SPAR Middle Volga and Tape will not be able just to organize necessary traffic of electronic document management with the suppliers".

The general availability of the EXITE Evolution EDI platform in January was mentioned record 99.9%. It allowed more than 20 thousand enterprises during this period freely and to quickly make electronic document management.

By final calculations, a system was guaranteed available to networks and suppliers to exchange of documents within 744 hours. It is the highest indicator of availability of the platform today, - the head of department of monitoring of the EXITE system Roman Romashko noted. - The IT expert it is provided in the general that within several hours a month scheduled works on setup or system testing can be carried out beforehand to neutralize any errors. However, in a case with the Exite platform, similar manipulations to make there was no need - since last winter on January present inclusive, a system worked surely without stops".

In large networks, for example Tape, the flow of EDI exceeds 150 thousand documents a month and this volume constantly grows taking into account increase in number of suppliers. Thus, requirements to availability of the IT system are naturally fixed around a maximum. And it is the international standard. Such companies as IBM and Intel in the agreements with business (SLA - Service Level Agreement) put identical indicators.

"If to estimate IT solutions in total, then any information system what it would not be the company has the weak spots, - noticed Yuli Ryazanov. - Therefore high standards of technical support is a necessary guarantee which allows to adjust preventively process and to avoid unplanned deviations in work of IT infrastructure".

Last year the EXITE platform showed the level of the general availability of 99.75%. SLA services of monitoring "E-COM" allowed to conform to the standards put in the agreement fully. Thanks to it it turned out to achieve stable system operation for 8733 hours.

E-COM: The system of the statuses on the Exite platform

The E-COM company providing services of Electronic Data Interchange (EDI) under the Exite trademark provided in March, 2015[2] the system of notifications on the Exite platform designed to prevent sending incorrect documents.

The system of notifications was developed by specialists of E-COM for optimization of a chain of document flow between retail chain stores and their suppliers. Thanks to it the supplier can correct in short terms errors in documents and continue interaction with network, noted in the company.

Signaling status messages form and go a system automatically and tariffings therefore they are free for the partner are not subject. The status can be seen on the Exite platform, near the document on which it was created. Additional settings allow the client to duplicate status messages on the FTP server that gives the chance to see them in the accounting system.

"The system of status messages on the Exite platform allows to define errors in the sent document right after receiving by his addressee — Andrey Kucheruk, the project manager and programs in the field of non-material production of E-COM company told about new service. — With its help the quality of filling of the response document is controlled, and by its incorrect drawing up the signaling message with the error notification is automatically sent".
"Principle of system operation not difficult, but very important for EDI process — Andrey Kucheruk explained. — Signaling messages form from network in response to incoming documents from the supplier. The status of the message notifies the supplier on whether his document was successfully accepted by network. Also the status (at the choice of network) can contain the description of mistakes which were made in the document".

E-COM developed the module for automation of tax accounting

The E-COM company based on the Exite EDI platform developed and provided in the spring of 2015 the integration module for automation of formation and signing of documents of accounting and tax accounting.

According to the head of a technical support team of department of integration of E-COM company Eduard Kishkovsky, the new module EXITE enters a complex portfolio of integration which allows users to load the necessary database for further work with reporting documents in the system.

"The module executes a role of the integration gateway between the accounting systems of clients which are participants of electronic document management through the EXITE platform, - Eduard Kishkovsky specified. – Thanks to it full exchange of necessary data between partners is performed. Generally, it is exchange of electronic invoices, acts and delivery notes which as a result give a basis and data for creation of accounting and tax statements in the system of the client. For example, automatic formation of price documents and their upload in the purchase ledger and sales. Data from the book, in turn, are used for submission of the electronic reporting in FTS".

Thus, accounting and tax reports form automatically in the accounting system of the client, excepting need to address other services and to enter data into manual. It helps to save considerably time and material costs of firm taxpayer.

The correctness of electronic documents in EDI reached 99.8%

On April 17, 2015 the E-com company announced results of monitoring of correctness of the documents processed on the eXite platform.

"Record level in 99.8% made correctness of the electronic documents sent through the EXITE Evolution EDI platform, - Roman Romashko said, the head of department of monitoring of E-COM company, - by April such result was achieved, thanks to timely detection of incorrect documents using a monitoring system".

Zabbix — a special monitoring system and trackings of the statuses which allows to reveal a problem of the user is responsible for correctness of the sent documents and to start its solution as soon as possible. In case of existence of errors, suppliers are informed on incorrectness of the made documents, and control their processing after introduction of corrections. But the main volume of work goes at a stage of permanent tracking of correctness of work of the EXITE EDI platform.

According to developers, monitoring work is simply necessary at night because of situations which can arise at any time: whether it be difficulties with acceptance of the machine, orders, platform response, sending documents. A system in this case helps to trace errors and to adjust process beforehand, without allowing interruption of a chain of document flow.

The adjusted work of department of monitoring gave an opportunity to give the most effective technical support for users of the EXITE platform. Problems are defined and quickly are considered by technical specialists right after their emergence at any time that ensures productive and smooth functioning with electronic document management.
