"The first Bit" implemented "1C:ERP" in Sava, having automated the regulated and managerial accounting

On December 8, 2020 it became known that specialists of the First Bit implemented an information system for management of activity of the 1C: ERP Enterprise Management 2 enterprise in TPK "SAVA" thanks to what 105 jobs were automated. Now about 2,000 documents in sales departments (implementation, invoices, customer orders), purchases (orders of suppliers, goods receipt), production (orders for production, production phases), in a warehouse (warehouse orders, movements of materials), personnel documents are daily processed.

As it was explained, SAVA used the software solution "1C: Manufacturing Enterprise Management", serviced more than 9 years by specialists of the First Bit. The solution conformed to relevant requirements and to business processes. But in 2013 the firm "1C" released the system intended for complex automation of production companies 1CERP":". There were questions of opportunities for the company with the software product with the updated interface and functionality. Warning from 1C Company of completion of support of management of manufacturing plants since 2022 and the requirement of large retail chain stores to suppliers — to provide traceability of a batch of raw materials in a batch of finished goods became decisive factors in making decision by SAVA company on transition.

Thus the decision to implement a product for process automation of production, purchases, a warehouse, sales and economic division was made. Long-term maintenance of business challenges of the enterprise by specialists of the First Bit defined the choice of the partner for activity automation.

Specialists were faced by the purpose:

  • increase openness and data availability for management decisions in the directions:
  • accounting, tax and management accounting
  • personnel records and payroll
  • inventory control
  • purchases
  • sales
  • production
  • exchange of electronic documents

The following project tasks were defined:

  • automate production planning: sales plan, production schedule, purchase plan
  • provide more exact cost accounting of finished goods
  • automate and reduce time expenditure by accomplishment of tasks in the manual mode in a warehouse, production and in quality control department
  • automate serial accounting of products and raw materials, control of expiration dates of products and raw materials

For optimization of quality control of products specialists entered serial accounting of raw materials at receipt, production and serial accounting of finished goods. Became possible to take any packaging with products SAVA and to look from what raw materials it is made. Obtaining reports in production divisions also required automation. Earlier daily reports of technologists of production were transferred to accounting which manually from paper carriers with some frequency entered reports of production for change. A remaining balance of raw materials and finished goods in warehouses and in the accounting system had discrepancies. Account of lots of the spent raw materials was kept in magazines. Specialists of the First Bit gave an opportunity to technologists to create orders for production with preliminary planning of required raw materials. Production divisions were connected to reflection of actually spent raw materials that helped to see operational data on consumption of raw materials and production. Time for information input in a system is required much less. The SAVA company had an opportunity to trace expiration dates and quality of raw materials that helps to optimize production.

For an inventory control of a remaining balance of raw materials and finished goods by batches it was not conducted in the accounting system. Preparation of certificates of finished goods at shipment was carried out manually. Warehouse transactions were fixed by documents of implementations that was not always true. Accounting of a remaining balance of series of raw materials and finished goods taking into account series conduct only in the accounting system now. Employees of the client create certificates on a batch of finished goods at shipment automatically. All warehouse transactions are fixed by warehouse orders.

Serial accounting of finished goods and shipment on expiration dates of series allowed to control expiration dates of product raw materials and finished goods. The SAVA company also had an opportunity to optimize costs at this production phase.

In economic division of SAVA company preparation of calculations of products and reports on results of financial and economic activity was conducted manually in the MS Excel. It was required to make this process fast, open, and, the main thing, more exact when forming planned targets. All requirements were reached, thanks to transfer to the accounting system of "1C:ERP". Thus the command of the First Bit automated work of production department, a warehouse, sales departments and quality management and economic division.

As a result of implementation of an information system for management of activity of the 1C: ERP Enterprise Management 2 enterprise:

  • account policy of raw materials and finished goods in business processes of the company which allows to see all production phases and movements of raw materials is created and implemented
  • there was an opportunity to trace raw materials expiration dates on production
  • process of the order of raw materials on relevant stock remainders is automated that is especially important when planning of a lot of the produced products
  • automated handwork of economic division. Economists began to spend less time for calculation of products and drawing up plan-fact cost analysis

Important feature of production of food are limited storage lives (implementations) of finished goods from natural raw materials, also limited expiration dates of the raw materials, plus the requirement to its quality. Control of expiration dates and quality of the raw materials used in production of food is respectively especially important. The ERP system implemented by specialists of the First Bit solved this problem using serial accounting of raw materials that provided control of use of raw materials in finished goods. Other important point which solves ERP it is production planning from the sales plan (from the order for production of finished goods before raw materials purchase). The solution allows to optimize purchases and to minimize warehouse stocks of raw materials, thanks to implementation of the MRP function in ERP. Shipments using serial accounting allow to optimize costs, considering limited storage lives of raw materials and finished goods.
