Vasily Babintsev: The strategy of Extra ECM solves wide problems of business
The Directum company is engaged two years in cardinal reorganization of the EDMS/ECM of the same name of the platform. A set of the Extra ECM components which allows to be beyond traditional problems of electronic document management in use of a system and to use instruments of intercorporate, mobile interaction, gamification and many other things is applied to the powerful productive base of a system. How all this works together, TAdviser was told by Vasily Babintsev, the marketing director of Directum.

Vasily Babintsev: Strategy of DIRECTUM was developed and provided to the market 2 years ago. Its purposes have long-term character. We systematically move to their implementation. And positive dynamics, is unconditional is visible.
But it does not mean that strategy does not develop. For example, in the current year we added to it one more important element – Platform. Deep conversions in the DIRECTUM system and its environment are reflected also in the platform, and we want to show these improvements.
There is a systematic development of its power and scalability which is confirmed within projects on "fighting" data already now - it is simultaneous operation on one server of ten and more than thousands of users of a different profile of loading with millions of objects of a system.
In the new version of DIRECTUM 5.0 support of Microsoft SQL Server 2012 and the AlwaysOn mode which allows to distribute requests between several servers is implemented, thus, load of a primary server decreases that is crucial for the large companies. Also changes concerned and 4 main directions of strategy Extra ECM.
TAdviser: What components are?
Vasily Babintsev: Them as I already told four, and they are responsible for intercorporate interaction, expansion of a circle of the tasks solved by a system, mobile work, involvement of users, socialization and gamification.
Extra Corporation (intercorporate interaction). Legally significant exchange of documents in electronic form is a trend of the current year. And the DIRECTUM system can act as the center of infrastructure of exchange of electronic documents already now, providing their storage, integration with services of intercorporate exchange and the accounting systems.
And the developed service of exchange Synerdocs and the worked technique of transition to electronic interaction allow to connect to legally significant exchange even those partners who have no DIRECTUM system or EDMS at all. They can use the web client of Synerdocs service.
Extra Business Task (expansion of a circle of solvable business challenges). More than 5 years ago we provided to our clients a set of business solutions, ready to use. Purchasing such product, the client received both technical solution based on a system, and a set of techniques of implementation and consulting services.
At the moment the list of business solutions extends. The most demanded among them – Contract management, Financial archive, "Approval of invoices for payment". Recently we presented a new solution – "Intercorporate financial and accounting document flow". And also we actively work with public authorities according to the solution of their profile tasks – rendering state services, interdepartmental interaction, the system of execution of regulations.
Extra Access (mobile work and variety of interfaces of access). Implementation of different scenarios of work of users in an ECM environment – one more point of application of our efforts. In DIRECTUM 5.0 the updated web client who functionally became real replacement of the desktop client was let out. There were new DIRECTUM Solo mobile solutions (under Windows OS) for heads and DIRECTUM Jazz (under OS [[]] Android) – for a wide range of users. Also we actively develop the solution for iPad. All solutions allow to work and offline, in the absence of Internet access. There is a wish to note that we develop not just mobile solutions, but the applications adapted for different screens and operating systems taking into account habits and business challenges of users.
Extra User (involvement of users, socialization and gamification). The interface is considerably processed into DIRECTUM 5.0. The obsolete menu was replaced by tapes in all elements of a system: primary windows, cards of documents and reference books, tasks and tasks. Separately we developed the system of easy independent user training for systems capabilities. For example, through instructions for accomplishment of business processes, interactive hints, and even the training interactive rollers which open while the user the first time performs this or that operation (now them about 20 are released and set is replenished). Rollers not only show what functions a system has, but also allow the user to check their work.
At the beginning of 2014 we presented the solution on gamification in the DIRECTUM Ascension ECM system which induces users to study those functions which they did not know earlier or considered unnecessary for themselves. It is absolutely new approach to involvement of users in process of mastering of the systems capabilities lying behind a usual circle of business challenges of the employee, realizing potential of both the system, and the employee.
TAdviser: What changed for your customers if to compare to projects based on older versions of the platform? May you show on the example of some specific case Extra ECM in operation how it works?
Vasily Babintsev: The range of the business challenges solved by us constantly extends. Our clients optimize as basic infrastructure tasks (maintaining electronic archive and work with ORD), and the narrow applied processes characteristic of the industries or separate companies. One of striking examples – the Government of the Udmurt Republic.
All "An electronic document management system of state bodies of UR" is constructed (EDMS GO UR) based on DIRECTUM. Not only basic processes of document flow, using the solution "are automated by DIRECTUM: The public and municipal services" 168 public services are transferred to an electronic form that allows the region to take the leading positions on this indicator in the Volga Federal District according to data of the Ministry of Telecom and Mass Communications of the Russian Federation.
Heads of state bodies and their deputies manage business processes using the DIRECTUM iDecide Documents mobile solution. The top management has continuous access to up-to-date data and can paint the arriving documents in real time. At any time it is possible to continue consideration of documents, to appoint cast and to specify time frames on a task. Besides, employees can address EDMS GO UR and through web access.
TAdviser: Recently there was a new Directum application for Android. Tell, please, about mobile opportunities of your platform. How often and what customers the mobile functionality is most often demanded?
Vasily Babintsev: Based on DIRECTUM all opportunities of a corporate ECM system allow to use mobile solutions during the work in any conditions. Functionality of solutions, in particular DIRECTUM Jazz for Android and DIRECTUM Solo for Windows, is not limited only to viewing tasks and business correspondence. The full-fledged work with documents is ensured: creation, editing, import and export, search.
Of course, among the main customers of mobile solutions there are heads. Especially for them DIRECTUM iDecide Documents for iPad and DIRECTUM Solo are developed. Those employees whose activity is connected with permanent business trips also need the effective tool. And the most suitable solution in this case is DIRECTUM Jazz.
TAdviser: Directum has interesting practices in the field of gamification / igrofikatsii. To whom and why it is necessary in "serious" business?
Vasily Babintsev: We got used already to interactive systems, got used to execute transactions in one click. The same simple and the good corporate system of electronic document management should be "friendly".
To whom and why it is necessary? At approbation of our solution "DIRECTUM Ascension" we received the following results:
- 87% of users called the solution the excellent tool for independent studying of a system;
- 63% of participants noted that they increased efficiency of the work, having remembered and having begun to apply seldom used systems capabilities;
- about 70% of employees began to pay bigger attention to task performance in time, to reading the entering notifications, acquaintance to texts of the documents enclosed in a task;
- encouragement of employees for accomplishment of the actions entering their daily tasks had a positive impact – more than a half of participants were recognized that "unexpected" awards for their normal work motivate and improve mood.
Implementation in a corporate environment of game elements can become the tool of the analysis of behavior of users, stimulations of the correct use of functions of a system and their deep studying, following to technologies of the company and increase in efficiency.
TAdviser: In general, as it seems to you, the Russian market of EDMS in terms of new technologies is how conservative, or 95% of projects are a routine, automation of elementary functions. What today do the Russian customers want?
Vasily Babintsev: The corporate sector in general is conservative. And to it there is an explanation – risks of adoption of the wrong solutions are high. Therefore first of all infrastructure tasks which will increase overall effectiveness of work are closed. Same also concerns the market of ECM solutions. At the initial stages - it is archive of documents and business process management, setting of electronic interaction. It is possible to consider that the task routine, but at each enterprise is opened the specifics which add to experience both the customer, and the implementer. And also influences the subsequent development of the implemented system. Here the range is wide. It and the solution of applied tasks of business – works as contractual and finance documents, project document flow, SMK. Large holdings have an automation of end-to-end processes with remote divisions. Also intercorporate document flow, mobile work, cloud solutions, the analysis of Big Data gains steam. Just such broad approach to business solving of tasks is also provided in our strategy to Extra ECM.
