What is modern Russian ECM able to do?

ELAR corporation developed a new industrial ECM system for corporate content management — ELAR the Context.

In Russia one of the first systems created for storage and information management — electronic copies of documents and index data, was implemented in 2001. It was the electronic archive of the Central Election Commission (CEC) storing about 250 thousand documents and integrated into document flow of the CEC. The project was executed by ELAR corporation which was among pioneers of development of ECM in Russia.

An ECM system (Enterprise content management, ECM) solves problems of corporate content management – documents and information of absolutely different type and type.

The majority of solutions ELAR was under construction based on the SAPERION ECM platform on which over 500 projects on creation of electronic storages and corporate systems of information management were implemented.

Among users there is ELAR SAPERION: PhosAgro, Komos group, OMK, SUEK, Gazprom, Presidential Administration, Lukoil, Taneko, Rosatom, experimental design bureau Dry, Home Credit bank and many others. In years significant experience was accumulated and the range of proposed solutions is considerably expanded that pushed the company to activation of plans of creation of the new industrial platform of the class ECM.

Development of ELAR the Context began in 2014. In a year a system passed successful test and in 2015 was implemented in ELAR corporation for own needs of automation of documentary processes. The new platform showed high efficiency and stability of work. Within a year some more implementations at customers from commerce and the industry came to the end. In 2016 a system was included into the register of domestic software.


The name comes from armor. Contextus that in transfer means coupling, connection, communication. And ELAR the Context is designed to integrate separate information resources and systems.

A new Russian ECM system became result of long-term and successful experience of ELAR in development and support of solutions on storage and management of documents. In a system ample opportunities on document handling of different type are put. The new architecture of ELAR the Context allows to build flexible and high-performance solutions: from local electronic archives to corporate platforms for management of multimillion document files and data.

Main Features

A system supports information input from different sources: package or single loading, from the "hot" folder or from scanners — the Context is built in ELAR the scanning module allowing to manage any TWAIN devices. If necessary stream recognition of barcodes, barkod and complete texts of documents is made. Process of indexing supports group processing which allows to enter the general attributes without refill of a form for each document. At the same time several files can be tied to one card of the document or one, or.

ELAR the Context provides effective processing of hundreds of thousands of documents a day, for fractions of a second performing operations of separation, indexing and preserving of documents in the necessary format of files.

For simplification of search and information storage. Documents integrate in packets. Own details according to which it is possible to find both a packet, and separate documents are appropriated to a packet and documents. The platform is expected storage of unlimited information volume of any kind: scan copies of paper documents, files of office and customized applications, media content. The version control is maintained — at each change the new document revision is created and all previous remain. Therefore documents cannot be deleted from a system, it is always possible to trace the change history of documents and to recover the original version. Functions of version control can be used for different data: it is possible to monitor changes of reference books, cards of documents, processes and the code. Depth and types of accounting of versions are configured depending on tasks and preferences of the customer.

The system administrator can appoint storage lives according to document types. Documents of different divisions are stored in separate sections, for each area own reference books and subject heading lists are created. There is a possibility of storage of the general documents in several sections at the same time. The structure of sections in a system can repeat an organization structure of the company or be created again. Along with it, ELAR the Context supports functions of differentiation of access rights which allow to implement any security policies admitted to the organizations. For example, to configure access to documents or separate pages, to create the lists containing user names and names of groups with a possibility of determination of the different access levels for each specific user.

For tracking of the made transactions at a system there is an audit module. The employee with the appropriate rights can set a time span and see the complete protocol of transactions with documents and actions of users in a system.

Other useful function — the reporting module which is easily configured under different indicators: system effectiveness, KPI, etc.

ELAR the Context "understands" language of the description of business processes of BPMN 2.0 that allows to configure both tightly regulated, and unstructured routes.

Industrial technologies

The industrial search engine allows to find the necessary information from hundreds of millions of documents for fractions of a second. You can look for on metadata and texts — according to contents of the electronic and scanned documents, according to all sections and archives. To quickly create selections of documents by different parameters and attributes, to sort and group search results. For your convenience search corrects spelling errors of requests, uses synonyms, looks for taking into account difficult word forms and special characters.

A system is capable to fulfill a set of requests at the same time without performance penalty, allowing to scale the solution and to regularly increase volumes of the stored documents.

At the order of service of extra office storage integration of ELAR the Context with a warehouse accounting system is provided. The special module allows users to get access to all available electronic inventories from the ECM interface, to order delivery of documents and their electronic copies and also to make actions at the level of the document — to load or fill out the internal inventory of accounting units.

Cross-platform and fault tolerance

ELAR the Context works in a cluster design when the special manager of requests fixes sessions of users on different servers that allows to distribute evenly loading and it is easy to scale the solution. Servers constantly exchange data and synchronize information therefore failure of any of servers will not affect operability of a system and comfort of users in any way.

Thanks to modern architecture and ready functional modules the implementation cost and maintenances of a system are much lower than similar solutions. Need of programming is substituted with a possibility of installation of separate utilities which provide setup of basic functions. Instruments of integration allow to integrate separate information systems, using ELAR the Context as uniform point of entry to documents and data of the different systems and applications, and both from the interface of external systems, and from own shell program. What is promoted by the built-in services of migration providing fast loading of documents from any corporate systems.

One of innovations of ELAR the Context — program library SDK on the basis of which the customer can independently develop the used system. Users can finish sections and search forms — all this is implemented in the form of convenient applications with graphical interfaces and designers.

ELAR the Context is a cross-platform system which does not depend on DBMS and the operating system. The interface is adapted for work with any browsers and mobile devices.

The scheme of implementation and license policy includes different options of implementation and payment — purchase or lease, acquisition of the licenses considering simultaneous connection to the server or unique registration record. ELAR the Context can be a server or cloud solution, including with a possibility of creation of a private cloud and outsourcing of transactions of input of documents in a system. The configuration of the platform adapts under any tasks: from simple information storage before work with classified documents.
