2024: Automation of the Specter Group of Companies
On April 9, 2024, 1C announced that WiseAdvice-IT specialists had automated the work of the Spektr group of companies, a Russian manufacturer of dairy raw materials. The integrated management system is based on the solutions of 1C:ERP, 1C: Document Flow and 1C: Motor Vehicle Management. Module for 1C: ERP. "
According to the company, financial, production and logistics management has been optimized. The preparation of management reports has accelerated by 40%, documents are coordinated 2 times faster. We managed to reduce the cost of production by 8% and increase production volumes. Inventory turnover accelerated by 30%, profitability increased, profit increased by 10%. Digitalization of fleet management from more than 300 rented and 12 own cars with a monthly mileage of 400 thousand km made it possible to expand the supply of products to large federal and local networks.
The Spektr group of companies has been engaged in the development, production and supply of dry dairy products and milk substitutes for agricultural animals to all regions and for 25 years RUSSIAN FEDERATION. countries CIS The activities of the group companies ensure the full life cycle of SPECTR products and products.
Two logistics bases "Spectrum" are located in the Bryansk region. On one of them there is a workshop for the production of packaged cheese, on the other - an automated line for the production of feed and mixtures with packaging and palletizing. Orders are delivered to customers by road. In the fleet of "Spectrum" there are 12 cars with interchangeable drivers, which allows transport to be almost always on the flight. In the base of hired vehicles - more than 300 cars. On average, one car delivers 650 orders per month, the average monthly output is 15,000 hours, and mileage per month is 400,000 kilometers.
Previously, five disparate information systems, e-mail and paper documents were used for operational management and accounting in the group of companies. There was no common corporate data center, too many employees had to be involved in the formation of management reporting. There was no production planning, the products were produced with an eye to the capabilities of the sales department. It was not possible to quickly calculate the actual cost of production and goods. All this made it difficult to plan and control the work of the units.
After the opening of the cheese direction, it was necessary to organize the management of the following processes: the purchase of raw materials from Belarus, packaging, packaging, branding and labeling of SPECTR products. The company needs an information system that would allow us to combine the work of the group's companies, optimize financial and production planning, provide fast and accurate cost calculation, and optimize the management of transport and warehouse logistics.
On the recommendation of the WiseAdvice-IT integrator, we chose 1C:ERP as the master system. To automate internal document management, personnel document management and contract management, it was decided to implement a subproject for the implementation of the ECM system "1C: KORP Document Management" with subsequent integration with the master system. Vehicle control processes were automated using a special module for 1C:ERP. told Inna Davidyuk, Deputy General Director of Spectrum Group for Economics |
The project was implemented in two stages. At the first stage of the project, the 1C:ERP was deployed at 250 workplaces, all corporate information was reduced to a single analytics, obtaining management data was optimized, and the work of the warehouse and sales department was optimized. In parallel, the 1C: KORP Document Management system was implemented and integrated with the 1C:ERP. At the second stage of the project, the tasks of budgeting and financial planning were automated, and with the help of "1C: Vehicle management. The module for 1C:ERP "organized the operational management of their own and hired vehicles.
Key Project Deliverables:
- The integrated information system combined the work of eight enterprises of the group. The preparation of management reports accelerated by 40%. It became possible to form analytical reports "for all occasions." For example, the allocation of item costs to areas of activity is automated in accordance with the instructions in the transportation assignments. At the same time, typical 1C:ERP mechanisms were used as much as possible.
- Operational work with documents was organized, including monthly approval of 20 − 30 contracts with suppliers and buyers. Employees now form and exchange documents within the group of companies according to uniform standards and regulations. You have reached 100% storage in the same database. Corporate approval procedures have accelerated by 2 times. In addition, Spektr companies now use personnel electronic document management in accordance with the regulations for the transition to EDC according to the Labor Code of the Russian Federation. The processing of personnel documents is fully automated for the work of 300 employees.
- Planning has been optimized. It became possible to quickly form and approve sales plans for managers, purchase plans, calculate production plans by day, taking into account product series, customer orders and movement orders. A special report has been developed to help calculate contract balances and assess the balance of plans for various elements: sales, purchases, goods on the way, current balances, the fact of execution of contracts. You can trace the plan key figures to the source documents. In addition, an operational management balance according to the corporate standard was obtained. The cost of production is now also calculated automatically and has already been reduced by 8%.
- Warehouse management is optimized. The convenient provision of the storeroom with materials for a specific stage of production has been implemented. The selection of batches in the sales order according to the specified remaining shelf life has been automated - it has become possible to control this indicator, starting from the sales order and ending with its shipment. The system of reservation of goods allows you to fully meet the needs of customers. Inventory turnover increased by 30%.
- Multifunctional delivery management was provided, including complex logistics processes with intermediate transshipment warehouses. With the help of a specialized automated workplace, on the basis of one order, several transportation tasks are formed taking into account different addresses and routes, loading, reloading and unloading points. It is possible to choose a vehicle by type (for example, a cargo intended for container transportation cannot be loaded into a refrigerator). The system promptly generates a report on the implementation and control of delivery, taking into account its cost for each route. Control and analysis of fuel consumption (savings and overspending) between the actual spent fuel and lubricants and the regulatory one is ensured. Accounting of the cost of delivery and salary of drivers is carried out in the context of flights. Filling in driver data is available when choosing third-party carriers.
Thanks to the implementation of the 1C:ERP system, the company has received an overall increase in efficiency in many departments. The creation of a single information field allows us to quickly make management decisions, control all areas of work, and automate management processes. We now have a minimum percentage of returns - less than 0.05%. Monitoring the remaining shelf life in the warehouse and shipments on them allows us to work with large federal and local networks. reported Inna Davidyuk, Deputy General Director of Spectrum Group for Economics |
