Results of TAdviser of BPM DAY: super-audience and live discussion

On April 15, 2015 in Moscow TAdviser conducting expert center concerning automation of the state and business in Russia held the industry TAdviser BPM Day conference which principal theme – means for control automation by business processes.

During the action new analytical data on the market, solutions and vision of market trends from the leading players, a look of experts and also examples of practical experience of implementations of BPM systems were provided to participants from customers.

Analytics of TAdviser

During the action the analytical center TAdviser provided to participants results of own survey conducted among BPM companies market leaders with the purpose to find out their opinion on the level of use of BPM in the Russian companies. According to the results of poll the average score of the amount of the market of the specialized BPM systems in Russia and the CIS countries in 2014 made about 2 billion rubles, and an average score of the market in a year – about 10%.

Answers of respondents to a question of the level of a maturity of the Russian organizations in a question of use of the specialized BPM systems were distributed as follows: about 50% of respondents consider that less than a half of the companies, potential customers, use BPMS, 33% believe that such systems are used only by the leading organizations, and 17% which answered – that in Russia zero level of use of BPMS.

In assessment of how the companies use the functionality of BPM which is built in the systems of class EDMS and other not specialized solutions, respondents dispersed. So, 40% of respondents consider that like that is used only by the leading organizations. The same percent of survey participants is sure that less than a half of users of EDMS use BPM functionality, and 20% which answered believe that the BPM functionality uses most of users of EDMS.

Among market trends during the poll the mobility and narrowing of the market of the "classical", "tough" BPM systems, use of ready, "reference" business processes and acceleration of project implementation of implementation of a BPM system were voiced.

The director of the department of business process optimization of Sinergiya holding Andrey Koptelov told about activity of one of structures of holding –the Sinergiya university - from the point of view of the organization of processes in it. He showed the scheme of processes existing at the university and told how functioning on their permanent optimization is ensured. The basic principles of process optimization at the Sinergiya university, according to Andrey Koptelov include, interest in it of the guide, simple and easy regulations, short reconciliation procedures of regulations, a regulation of processes as a part of culture of business and also their rapid implementation in practice and audit of execution.

After the performance the question from the hall was asked Andrey Koptelov about a possibility of use of the Russian multiagentny BPM systems within import substitution in response to which he expressed opinion that the Russian systems are still not really strong, and even not all western systems maintain a high load.

The chief information officer of HoffDenis Rudakov in the performance told about the process approach as such as it is seen in the company and use at implementation of information systems. According to him, in the company all processes are systematized, and before implementation the scheme and the regulations is developed for each process. Owners and co-owners of these processes, contractors, users are assigned to each process. Behind that processes worked, monitoring is performed. Also it told about the qualifier of processes existing in Hoff with the description of procedures, links to adjacent processes, the description of the communications with IT systems responsible for process, etc.

"If to speak about tools which we use then, in fact, we have Excel,MS of Visio and Word. We reflect on use of some BPM means, but they in one way or another exist at us in IT systems, for example, in the ERP system. The majority of processes are automated in it. Also there is EDMS. But at management of basic processes we use three above-mentioned tools", - Denis Rudakov told.

The Head of Department of quality of business processes of SovcombankYulia Aksenova in the report "How to optimize processes in bank without additional costs" shared with participants conferences experience of process optimization in its organization. Approval of decisions (orders, regulations, orders) top management was one of processes which were required to be optimized. For this purpose the bank selected the cloud solution of Pyrus intended for task management, at first for leadership team and then – for other employees. As a result terms of approval were significantly reduced, there was an opportunity to hold "the correspondence meetings". The second case of Sovcombank concerned optimization of work with the archive company, also based on Pyrus.

Answering a question of one of participants as it was succeeded to agree with a security service of bank about use of a cloud solution, Yulia Aksenova told:

"At that time I directed Information Security Service. But if to speak in general – we realize the risk connected with cloud solutions, and this risk is accepted at the level of the management, Board of Directors of bank. In this question other banks can advise to begin with "head". When you connect the chairman of the board of directors as the first user, he understands that it is convenient, cheap and it is not necessary to plan own IT infrastructure", - she answered.

The Chairman of the Committee on standards of the Russian Union of Chief information officersMarina Anshina in the salary told about reefs of integration of VRM. She noted, the main goal of VRM is a flexibility of business processes, but at the same time integration slows down their development. The main technical difficulties of BPM lie at the level of integration of software and data, Marina Anshina emphasized.

Vladimir Alyoshin, professor of a RANEPA at the President of Russia, in the performance took up questions, connected with when BPM is necessary and when it is possible to do without it. He noted that BPM is on a joint of two disciplines – management and IT, covered the main problems of use of BPM from the different points of view, told about change of business models, about approaches to creation of the organization over time, etc.

She gave, in particular, examples of the following tools, having ranged them in decreasing order on the level of complexity of design of business processes with their help:ARIS, ERwin+BPwin,Business Studio, MS Office Visio and Rational Rose.

Also Lyubov Shevtsova gave estimates of average savings from optimization (design of processes): for 1 business process the amount is more than 281 thousand rubles a year, and for 15 business processes (year of work of one business analyst) – 4.2 million rubles a year.

Representatives of Gazprombank on an action told TAdviser that in their organization the specialized BPM tools are not used yet:

"We have an EDMS for automation of internal document flow and approvals, but we consider absolutely other plan of a task now: tasks in terms of customer service and automation of these processes, and it is clear to us that EDMS will not solve this problem, - the representative of Gazprombank told. – Now we discuss what are criteria to define for what tasks electronic document management can be responsible and for what it is not present and for what tasks it is necessary to consider the BPM solution".

Players of the market: trends and solutions

Alexander Bezborodov, the head of department of development of programs of document flow of 1C shared the vision why the modern ECM systems can be the excellent tool to go to process accounting and management and gave survey results of the clients who implemented the solution "1C: Document Flow". According to him, 80% from them noted fall forward of work, 53% - improvement of performing discipline, 50% - an exception of loss of documents and 47% - establishing order in processes.

Among specific examples of effect of implementation "1C: Document Flow" Alexander Bezborodov gave Geotek holding company where average terms of approval of internal documentation were reduced by 2-2.5 times, and Metrobank where costs for work with documents were reduced by 20%.

According to the results of a performance the question from participants was asked Alexander Bezborodov why 1C not to release a separate BPM system or combined with the workflow system.

"One of the principles of work of our company is focus on real needs of the mass user. Now it seems to us that there is no such tough need for BPM systems yet. As soon as it becomes need of the mass user, we will release such product", - he answered.

The chief executive of ELMA Alexey Trefilov and Pyotr Fedoseyev, the head of group of analytics of Kurgan meat-processing plant "Standart", during the performance told about practical experience of implementation of BPM by own efforts on Kurgan meat-processing plant. In this case it was necessary to optimize process of management of marketing activities which are carried out by distributors of products of meat-processing plant, and the last compensates on them expenses.

Management process and accounting of marketing actions was automated based on the ELMA system integrated with 1C. As a result of it time of start of marketing actions and time of compensation for expenses for actions to distributors was reduced, speakers noted.

The CEO of Letograf companyGleb Lukin shared with TAdviser opinion on what it is possible to consider a BPM system and what should be approach to projects on their implementation. In understanding of his company, a BPM system is on a joint of tasks of management of documents of the organization (and instructions on them) and integration of corporate systems. Even classical EDMS inherently is a BPM system, Gleb Lukin as it automates process of work with documents believes and corresponds to the increasing number of requirements to which treat customizability without programming, abilities to integrate with external systems, mobile access, the powerful system of creation of reports today.

"A huge number of systems on which platform suppliers undertake to execute business process automation is presented at the market today, however without competent approach many projects do not turn out, customers remain disappointed, there is an opinion that the market still actively does not develop", - the CEO told Letograf.

He added that he means several key moments promoting obtaining the maximum effect of implementation of BPM by competent approach: capability them to structure this understanding from the organization of that fact that business processes need to be automated, and to describe, stimulate personnel to work in a system and also application of the flexible software platform allowing to configure difficult processes of the organization, including different complex regulations and points of control, synchronization with external corporate systems, routes of the movement of the documents accompanying processes.

One more moment is an opportunity to provide to ordinary users the simple and clear interface at which there is a schedule and the accurate list of tasks within business processes in which they are involved, Gleb Lukin says. It is important that the interface of a BPM system was available not only on the working computer, but also on mobile devices. Actually, for non-management employees participation in BPM should be expressed in work with the schedule of tasks, terms of accomplishment and an opportunity to announce in a system accomplishment of tasks, he believes.

"At observance of the conditions designated above, economic effect of implementation of a BPM system can be reached at the enterprises of any scale from the different industries. The implemented system increases personnel labor productivity, promoting more effective use of resources that eventually leads to growth of economic indicators of organization activity", - Gleb Lukin concluded.

By the end of 2014 the world size of the market of business process management (BPM or BPMS) will be nearly 11 billion dollars, having shown growth in 16%, IDC predicts. Even in the conditions of global crisis more than a third of the companies did not cut down expenses on BPM, and 29% though reduced costs in general, but continued to develop systems.

Business globalization, numerous merges and absorption among the Russian companies impose special requirements to business process management without which the enterprises lose efficiency. Tools of the description, optimization and process automation come under the spotlight of businessmen. According to IDC, almost in every fourth Russian company all processes are described and in 60% of the companies key processes are described. The industries where all business processes — oil and gas are most often described, production of consumer goods and trade. Descriptive part of projects on business process optimization of the companies – only a part of a big task. The specialized BPMS systems which ideally allow to adjust operation of all mechanisms of the organization "as hours", but it is necessary to use such tools competently that demands from the companies of competence. Penetration of BPM solutions in the Russian market still remains not so high. Units of the companies begin the business with prescription of business processes and their automation. This segment of IT market is still far from saturation.
