2021: Electronic Archive Implementation
Magadanenergo began the Etla electronic archive. This was announced by the development company on December 3, 2021.
The infrastructure of the enterprise has grown significantly and continues to grow. Together with it, the volume of technical documentation is constantly increasing. To simplify work with it, the management of the enterprise decided to use electronic instead of inconvenient paper documents.
To store technical documentation in digital form, it was decided to introduce an electronic archive into the production process, which was supposed to solve the following tasks:
- Translate the existing archive of paper documents into a more modern and convenient digital format;
- Reduce the time spent searching the archive for the required document
- Create opportunities for simultaneous work with documents of several specialists;
- Provide remote access to archived documents
- Reduce the cost of maintaining the archive and free up the space it occupies.
The functionality of the Etla electronic archive allows you to successfully solve all these problems. Additionally, the archive software allows you to:
- digitize large-format paper originals, including dilapidated ones;
- Automatically scan and attribute documents using in-line scanners
- recognize the content of documents, which allows you to search for the document not only by its attributes, but also by the content.
An additional argument in favor of choosing the electronic archive "Etla" was the simplicity of its deployment: Magadanenergo specialists installed and configured the electronic archive software on their own.
Work with technical documentation during the implementation of the electronic archive and the digitization of paper originals is not interrupted. The capabilities of the Etla program allow you to work simultaneously with digital files located on the archive server and with a warehouse of paper originals. This allows you to digitize gradually, without diverting additional enterprise resources to this work.
