Volga Research Medical University is implementing a project to implement the ADVANTA project management system. ADVANTA announced this on January 19, 2024.
Volga research medical university is in the active phase of digital transformation. And the project management system plays an important role here, since it helps to optimize business processes within the company.
Volga Research Medical University (PIMU) is a state university in Nizhny Novgorod, where future doctors are educated, improve the qualifications of a doctor, and research is carried out. As of January 2024, the university is one of the three most popular medical universities in Russia. PIMU employs 3,000 people of the year, including 2 corresponding members of the Russian Academy of Sciences, 150 doctors of sciences and 360 candidates of sciences.
In 2021, PIMU became a member of the Priority 2030 state program. The task of the program is to optimize the scientific and technical potential of Russian universities so that they can create technologies, industries and competitive products. The main goal is to create more than 100 advanced universities in Russia by 2030.
As part of the Priority 2030 program, PIMU must carry out many projects, including scientific research and organizational digital changes at the university. A budget is allocated for each project and deadlines are set. Since the Priority 2030 program is state-owned and requires reporting, the implementation of projects should be transparent and clearly regulated.
In PIMU and previously there was a project office. All important project data, purchasing information, financial statements, and documentation are maintained in cumbersome Excel spreadsheets. The structure reports on the status of projects to the rector on paper. Such reporting takes a long time for both the project office staff and the university management to analyze the details.
It became clear that controlling more than 100 important projects for the university in Excel is difficult, long and ineffective. Then PIMU began searching for an IT project management system. Why did you choose ADVANTA among all project management systems:
- Import substitution trend. It was important to choose a Russian system to eliminate the risk of the system leaving the market and stopping support.
- Expertise and certification. ADVANTA is a member of the Association of Domestic Software Developers (ARPP) and is included in the Unified Register of Russian Programs of the Ministry of Telecom and Mass Communications of the Russian Federation. The company's employees are regularly certified for project management.
- Reputation. One of the employees of the implementation team already used the ADVANTA system when he worked in the government of the Nizhny Novgorod region. There was a positive impression from the system, so we decided to stop at the proven version.
All 120 projects of the Priority 2030 program will be entered into the ADVANTA system. Many projects are approved for a period of one year, and some even until 2030. Information on all projects will be displayed in a single dashboard and regularly submitted to the university rector for reporting. Dashboard automatically combines the information of all projects and allows you to clearly demonstrate it to the management. So, the bosses do not need to study voluminous documents on paper, and employees spend time creating presentations in PowerPoint.
Projects will be conducted by all employees participating in the Priority 2030 program - this is the project office, administration, teachers, doctors and scientists. In total, about 70 employees. The first PIMU projects will be transferred to ADVANTA until the end of 2023. Then they will be introduced gradually, while expanding the connected solutions. There are plans to use all available ADVANTA functions because the amount of work and projects is large and many options are required to manage them.
PIMU sets two large-scale goals. First, control and transparency. Priority 2030 program projects are allocated a significant amount of funding and, as has already been identified, it is difficult to control the implementation of such a huge number of projects manually. In the first year of using the system, PIMU plans to clearly monitor the progress of projects and not miss important details that may affect the result. The second global task - PIMU wants to develop commercial cooperation in the fields of educational, scientific and intellectual activity. That is, to conduct projects not related to Priority 2030, but aimed at partnership with other companies. These PIMU projects will also unite and demonstrate to the University Administration in order to show how cooperation is developing without complex presentations and reports.
For operational control, the "Project Register" is used. This is a solution that is suitable for both small companies and large organizations. It is easy to customize for the specific needs and processes of each project.
Despite the fact that cooperation between PIMU and ADVANTA is just beginning, the customer noted three key opportunities for collaboration:
- ADVANTA develops a culture of project management. ADVANTA specialists not only select a solution for project management, but also proactively help with changing the internal processes of the company.
- Regular technical support. PIMU is not an expert in IT development and integrations. The ADVANTA team took over all settings, so the university does not need to expand its staff to implement the system and further support it.
- ADVANTA experts are always in touch. PIMU has force majeure with server delivery. The ADVANTA command, in order not to postpone the start of the system, offered to use its servers for a while.
