Project Description

On March 19, 2021, 1C-Rarus summed up the implementation of 1C:ERP Enterprise Management 2 at the Viasna toy factory in Kirov. For 12 months of work, a unified information environment was created for accounting and planning production, an effective process of purchasing raw materials was built, management of offline and online sales of 1,200 types of products was organized, control over the operation of equipment and vehicles was built. The speed of preparation of regulated reporting increased by 3 times, errors and inaccuracies of operational data are excluded.

According to the company, since its foundation, the factory has been continuously developing using various technologies and improving business processes. The next stage in the development of the IT infrastructure was the decision to upgrade the software. The goal is to optimize production work, optimize labor costs for accounting.

The software package that worked for 20 years required improvement. The technical means of the program did not allow adapting the functionality to the growing business requirements. To compile management reports, you had to upload the entire array of information into tables, compare and analyze manually. The need for production planning could not be fully realized, operational reporting was collected for a long time, parallel work with several units of the system was impossible. Duplicate operations took up too much working time.

1C-Rarus was chosen as the executor of the project to create a new information system, as a highly professional and reliable partner with extensive experience in automating accounting systems, having a certificate on the ISO 9001:2015 quality management system.

The goals of the implementation of the new information system are:

1. Improve the information security of the enterprise by introducing current software products based on "1C:Enterprise 8," thereby obtaining a system that:

  • has wide distribution and support in Russia and CIS countries;
  • provides the possibility of functional capabilities improvement by the end user;
  • has the possibility of receiving regular updates from the vendor to improve reliability and compliance with the current requirements of the legislation of the Russian Federation.

2. Increase efficiency, speed of management decisions, as well as obtaining detailed analytical data of the system by:

  • traceability of reflection of all facts of economic activity of the enterprise;
  • Get up-to-date information about stock in stock and work in process
  • reduction of duration and labour intensity of the month-end closing procedure;
  • reducing the number of errors in the transfer of materials and semi-finished products to production;
  • reducing the influence of the human factor on accounting processes;
  • shortening the timing of selection of finished products during shipment;
  • reducing the time and costs of the enterprise for the purchase of materials;
  • compliance of data on the availability of materials in the automated system, its actual presence in warehouses;
  • automatic generation of purchase requisitions for frequently used materials;
  • tracking the history of product creation from the purchase of materials to the delivery of products to the client.

3. Reduce WIP volumes by enabling prompt phased production planning.

4. Simplify the procedure for moving finished products and components from one warehouse to another by reducing the amount of supporting paper documentation.

5. Optimize the placement of goods in the address storage warehouse in accordance with the size of cells and packages, as well as regulations for stored products (minimum/maximum level).

The implementation of the 1C:ERP Enterprise Management 2 software product was carried out by 1C-Rarus specialists. For 12 months, the project team automated procurement and warehouse, production, sales, accounting for its own transport, equipment repair, personnel, accounting, tax and financial accounting, canteen. Transferred data for item, inventory balances. A daily exchange with an online store is provided. 132 factory employees work at the same time in the information base.

Project results

  • Production management is automated. Process charts of products with material consumption standards, list and work standards are drawn up. Day plans are formed taking into account WIP balances, materials, equipment and personnel loading are calculated, and scopes of work are distributed. Records of finished products, defects and products in repair are kept. Warehouse transfers of materials, semi-finished products, finished products and scrap are reflected in the program. There were tools for operational control of residues, materials, equipment loading, compliance with standards and product release on a specific date. A plan of actual analysis of expenses and products is carried out, reports on the development of teams and an individual employee are maintained.
  • Procurement management is automated. The program calculates material requirements, draws up a purchasing plan, forms contracts with suppliers, and determines a payment schedule. All receipts are recorded in the system with exact quantities, prices, and receipt dates. In parallel, the quality of deliveries is checked. In the event of a defect, the program issues a complaint, returns the item, and adjusts the settlements. The entire history of the supplier is stored in the information base to assess its reliability.
  • Automated management of offline and online sales and storage of customer information: contacts, interaction history, claims. The system records contracts, controls the readiness, shipment and delivery of goods, checks payment, and reports on sales. Implemented annual and monthly sales plans, plans for individual departments. The Interaction Report allows the manager to assess the effectiveness of communication with the client and the work of a particular manager.
  • Registration of equipment repair is organized. Firstly, passport registration of equipment with division into cash, commissioned and under repair has been established. Secondly, repair planning is implemented: analysis of the need and type of repair, automatic creation of orders, planned and actual time and resource costs, data on downtime.
  • The own transport accounting unit has been created. A register of the company's transport was formed with an indication of the brand, registration number, and carrying capacity. The expenses for each car are recorded, the accounting department correctly distributes the costs at the end of the reporting period.
  • The program keeps personnel records of the company: data of 418 employees are stored, a staff schedule is formed, a work schedule and a time sheet are filled out, wages are charged. Grouping by unit, team, and shift is implemented, making it easier to fill out timesheets.
  • The costs at each production level from purchasing to delivery to the buyer are reflected in management accounting. Now at the disposal of the management are real numbers that allow you to accurately judge the effectiveness of the enterprise.

Information on the company's work is kept in the same system, production planning is automated, targeted storage of finished products is organized, labor intensity in maintaining regulated accounting is reduced. Management data is generated promptly and accurately. The plans include the introduction of budgeting.
