2022: Delivery Club and "Warehouse 15," or how to automate the accounting of the issuance of equipment and inventory in courier points
About the Company
The largest ready-made food delivery service in Russia - Delivery Club - is more than 200 cities of presence and more than 40,000 delivery restaurants. You can order food from well-known fast food establishments - McDonalds, KFC or Burger King, from pastry shops and small cafes near the house - and get it within half an hour.
Accounting system
Delivery Club not only delegates part of the activity to logistics partners who own equipment delivery points for delivery workers, but also has its own courier network. The customer's operators recorded the accounting of bags, caps, T-shirts and jackets for personnel working on delivery in Excel tables. Inventories were not informative enough, if at all, and the acceptance of materials from suppliers did not make it possible to track the defect at the entrance. The accounting system previously "1C: Inventory and Property Management" acquired by the Delivery Club management, although it would allow the implementation of the functions of property accounting and reporting on the platform, "" 1C:Enterprise 8.3 but was not implemented. Tasks

And the purchase of a new accounting system would not solve the automation problem, since functional gaps could increase several times. And due to the fact that the task of combining the accounting of the central warehouse and the points of issue of logistics partners has been standing for a long time, the decision to find a universal program for data collection terminals and adapt "1C: IUI" was the most rational.
The head of the 1C Delivery Club department decided to independently implement the technology. RFID On the issue of acquiring tags, he turned to the company. And 'First BIT' in the process of discussing the deal, it turned out that the task goes beyond simply labeling the surface of furniture or equipment, but it can be implemented on the basis of the existing accounting systems and shipping documentation on. Tatyana Shekhvatova, a specialist in the RFID technologies department of the First BIT company, proposed 2 options for introducing accounting for Delivery Club:

- based on 'Kleverens of' software.

First difficulties
To test RFID technology, Delivery Club ordered one experienced batch of bags from each of its three equipment suppliers. But in the future it turned out that data collection terminals periodically do not "see" RFID tags. The reason was the metallized coating - the same as in refrigerator bags - inside courier bags, which came in folded form. For one delivery, the warehouse received about 10 thousand units stacked on top of each other.
But the inner coating interfered with the signal transmission, even when the marks began to be sewn on the side of the bag. Therefore, the management of "Deliveri" refused to use this technology and returned the bag to the manufacturers. Using barcodes remained the best option. However, the readability of the ShK was influenced by the green colors of the Delivery Club brand, the shade of which was changed several times from darker to lighter. And due to the fact that the ShK itself was gray, the ability to read the barcode using the terminal was reduced.

Accounting in a new way
To track production defects, the specialists of the company "First BIT" proposed to generate unique ID-codes for each supplier: with distinctive prefixes - "11," "22" and "33" - in the ShK of bags. To do this, it was necessary to make some changes to the mechanism of work: first, Delivery Club employees generate a barcode with a prefix, then they send it to the manufacturer, who already applies it to the outside of the bag during production.
Now the following information is encoded in the ShK of the accounting facility: type of equipment, manufacturer, inventory number, warehouse, city, individual, condition, status, cause of breakdown, novelty, service life.
"You can check the readability of the ShK immediately during acceptance to the central warehouse by scanning the barcodes of the equipment and bags with the manufacturer's ID. This allows you to track the scrap at the entrance and, if necessary, issue a return to the supplier. When a batch of equipment arrives at the warehouse of a logistics partner, the responsible manager opens an acceptance document at the shipping documentation and simply scans all SCs in a row. Then it completes the document and the data is automatically loaded into 1C in the central warehouse Delivery Club. And there the operator is already checking the supply - what was brought and what is not.
Inventory of fixed assets and materials and logistics points are carried out according to the same principle: they upload the task to the shipping documentation, then the partner's employees scan the barcodes of inventory and upload the data to 1C.

Some couriers work 8-10 hours a day, respectively, the life of their bag or jacket will be much shorter than that of someone who works 2 hours. In case of any disputes when handing over the goods, the manager can take a photo on the phone or using the data collection terminal and send it through 1C to the central warehouse, where a further decision will be made . Now Delivery Club has several reasons for writing off the goods: 'dismissal', 'damage', 'replacement', 'loss'. And the photo of the bag is a mandatory addition to the write-off document. Because a person can get a job, but not work a day for some reason. Features of equipment delivery to Delivery Club
When a courier is registered for work, his data is entered into the database, and each new employee receives his own unique identification QR code. Delivery Club specialists have developed its format based on consultations with Andrei Ryzhikov.
"The logistics center operator first scans the courier ID-number, after which he photographs the employee with the shipping documentation camera and binds the ShK of a specific bag to the courier ID, scanning both codes. The same algorithm is provided for issuing other equipment: caps, T-shirts, etc. As soon as the document is completed, the courier who received the equipment signs the receipt of the product directly on the touch screen of the mobile device. After that, the employee in the personal account of the mobile application for couriers receives a notification indicating the terms of replacement and the number of the issued bag. In the Kleverens software, the barcode of the bag is tied to the ID of a specific courier, and you cannot hand over the bag of another employee instead of your own. Any actions performed by logistics partners of Delivery Club with equipment are carried out using shipping documentation, and the data automatically falls into "1C: IUI" in the central warehouse.
Results
Inventory accounting is regulated by accounting regulations. And each large company necessarily lays the budget for the purchase of inventory. But when operational accounting is carried out on paper or in an Excel table, errors and losses are inevitable - the influence of the human factor affects.
"Software 'Warehouse 15' and shipping documentation allowed Delivery Club to reduce equipment acceptance time by more than 6 times and speed up inventories, and issue of materials - by 3 times. At the same time, paper document flow was minimized . Now employees of courier points can reject unreadable bags at the entrance and return to the supplier on time, since the quality of the reason for writing off the equipment is checked at the entrance. We combined the data on balances in 350 warehouses into a single system. This significantly reduced inventory errors and made it possible to control the relevance of balances so that goods ending in stock could be re-ordered in a timely manner. |
