Tanais completed implementation of EDMS Directum in Sukhoi Civil Aircraft

On October 29, 2018 the Directum company announced project completion of implementation of EDMS Directum in JSC Sukhoi Civil Aircraft.

Selecting EDMS, the management of JSC GSS paid attention to existence ready a component for automation of specific processes with a possibility of their completion. So, the adapted business solutions of Directum allowed to close problems of two main directions: office-work and management of meetings.

Project Progress

Project command TANAIS was faced by major problems. That to implement them, together with the customer the precise plan of project implementation was developed:

1. to Optimize office-work processes. The module Office with the minimum changes allowed to cover work with main types of documents: the entering and outgoing letters, instructions, memos, orders and orders, reports on performing discipline for the top management.
2. to Automate a full stroke of the works connected with meetings and business meetings. Thanks to the module "Management of Meetings" all processes are transferred to an electronic form, beginning from approval of the agenda of a meeting before control of execution of the made decisions.
3. to Reduce time of consideration of documents and decision making on managerial questions. According to the results of the project in the Directum system work as well upper managers, at the same time their working space is not limited to the desktop client. Outside an office access to corporate information and working tasks provides to them mobile solution Directum Solo. A part of processes are adapted specially for mobile work, among them: consideration of incoming documents, pronouncement of resolutions and instructions, approval of outgoing documents and another.
4. to Connect all staff of offices to work in an electronic document management system and to increase performing discipline. That the staff of offices in Moscow and Komsomolsk-on-Amur worked in a common information space, the replicaiton engine — automatic data exchange between remote servers was used.

With Directum implementation all automated processes became more transparent: it is possible to trace a stage of works, the change history in documents, and summary reports on performing discipline are available to heads.

For convenient work of users integration with other systems of the company was adjusted:

• For obtaining information on users and pass-through authentication Active Directory integration is executed.
• Information in reference books of Directum and 1C on organizational and regular structure is regularly synchronized. At the same time there is an opportunity to turn off data transmission on specific employees: who works part-time or substitutes the colleague.
• The normative reference information of JSC GSS is stored in an internal corporate system of management of basic data (KSU of ODES). Each hour information on partners from KSU of ODES is transferred to Directum.

Project Results

For October, 2018 in the Directum system all staff of JSC GSS — more than 2500 people, including separate divisions and branch in Komsomolsk-on-Amur works. Assigned tasks were solved in time.

At the solution of a question of replacement of the workflow system we were guided by that system which will allow to ensure functioning of all staff of the company, considering the accepted uniform principles of document handling and also the requirement of functional customers. According to the results of implementation the uniform information field which is connected with the main large information systems of JSC GSS is created. Interaction of each division and department both in Moscow, and in other separate divisions, including interaction between our productions in the different ends of the country is provided". For October, 2018 the TANAIS company renders consulting services to JSC GSS, accompanies the Directum system, participates in development of functionality. One of the considered ways of development — implementation of intellectual service Directum Ario which will allow to refuse accomplishment of routine manual transactions when entering documents in a system.
