VK WorkSpace is a business communication platform from VK. Superapp with support for offline operation and additional safety features

On October 24, 2025, VK Tech announced the release of an updated version of the VK WorkSpace platform. In the next version, a Superapp will appear with support for offline operation and additional security functions, a geodistributed postal system for communication between branches and the Messenger Federation, which allows communication between organizations. According to the company, VK WorkSpace Superapp collects platform services in one interface: Mail, Messenger, Calendar, Video Calls, Document Disk, Organizational Structure and Polls. Thanks to the modular Superappa architecture, company employees see only those services that are necessary for work: for example, only Mail and Calendar.

In the updated version, the superapp supports working with letters and calendar offline on mobile devices and on the desktop. If an employee finds himself without access to the network (for example, during a flight), he will be able to continue working: read and write letters, check with the calendar and even create new appointments. Changes are automatically synchronized when you connect to the Internet.

The superapp has expanded the ability to control applications data on users' devices. Changing the tariff line

VK Tech has updated VK's WorkSpace line of tariffs. In the updated version, three tariffs - Basic, Advanced and Individual: they are designed for the tasks of teams of different sizes. The company announced this on October 7, 2025.

All tariffs give access to a full set of services for communication and collaboration: corporate Mail with a calendar and address book, Messenger with video conferencing, cloud storage with a built-in document editor, Notes, Tasks, Polls and a new platform service - Board. Services can be used through the web interface or through the superapp - in "one window mode."

The basic tariff is suitable for teams up to 300 people. As part of this tariff, VK WorkSpace can be connected to the company's internal systems via the API. Documents have the ability to co-edit in the cloud and flexibly configure file access. Video calls of up to 100 participants and a disk of each employee up to 150 GB are also available in the tariff.

The expanded tariff is designed for teams of up to 500 people. It allows you to flexibly manage access rights, limit screenshots and screen recording, audit logs in the system. Suitable for those who work with sensitive data and want to customize the work environment for their processes.

This tariff supports Single Sign-On (SSO) and centralized administration. Integration through APIs with internal services and a mechanism for migrating data (mail, calendars and files while preserving structure and access rights) provide a quick transition. The platform includes collaboration tools: document editing, video conferencing for up to 300 participants, a planning board and up to 1 TB of cloud storage with flexible access settings and support for group policies.

The individual tariff is set up at the request of the company. It can be connected both for a large organization with a complex IT infrastructure, and for a small team that needs customization for its processes. Active Directory integration, SSO support, and advanced rights and access control settings are available. Each employee is allocated from 1 TB on Disk, up to 500 participants can be connected to video calls. The tariff includes all key tools and a dedicated technical support line.

Subscriptions from existing customers will continue to work until the end of the paid period. Customers who use VK WorkSpace under the offer will be able to extend them on current terms until November 6, 2025, and those who use the platform under the contract - until November 1. You can renew your subscription for up to a year. After the subscription expires, you will need to select one of the new rates. For customers connecting from October 6, 2025, only new tariff plans will be available.

VK WorkSpace 25.3 with a flexible mechanism for automatically removing user emails and attachments from mailboxes

VK WorkSpace 25.2 with Dynamic Mail Groups

Dynamic mailing groups have appeared in the Mail. In addition, the roles of an analyst and an information security expert appeared on the platform. Deployer has expanded the capabilities of the disaster tolerance subsystem: for a scheme with two main data centers, automatic switching to emergency mode is implemented. User data will not be lost in an accident, and the system itself will continue to work, completely switching to the capacity of one data center until the second is restored.

On the platform, you can now automatically connect personal vaults to new users and set the volume for them - for this you need to enable the corresponding parameter in ADloader. The ability to import members of distribution groups from the LDAP directory has also been expanded.

VK WorkSpace 1.24 with the ability to add individual alias to the user

User mail address aliases can also be transferred to VK WorkSpace through synchronization with the Active Directory directory if the previously used mail system saved them in the directory.

The role "Information Security Auditor" appeared in the Administrative Panel: an employee in this role can control system settings without the ability to change them. This role will help you effectively identify operational risks and sub-optimal settings, prevent data breaches, and implement corporate security policies.

The Calendar has implemented a number of updates for convenient planning. Now users can download attachments from the event form - either individually or all at once, without going to Disk. In the web version, it became possible to print a weekly schedule as a list with the name, time and meeting place, which is especially useful for managers and their assistants. Meeting participants will be able to offer an alternative event time by selecting a convenient range and moving the event to it. When transferring, you can specify a reason in the comment. Disk has a function to protect access to files and folders using a password. An administrator can make it mandatory to set a password for external links. Mail.Ru cloud entered the B2B market

On December 19, 2016, Mail.ru Group announced the launch of Mail.Ru Cloud on the B2B market.

Through the Cloud for Business, companies can organize cold storage of data, provide convenient access to it for workgroups. According to the press service of the vendor, the service was tested by AlfaStrakhovanie Biglion other companies.

As of December 2016, companies are offered two services: Cloud for Archives and Cloud for Workgroups.

The "cloud for archives" will allow the business to store at the facilities of Mail.Ru Group backups of the necessary files - backups, logs, media content, scientific, statistical data and working archives. The cloud can be connected to the company's servers via API, that is, as a regular hard drive, but with almost unlimited volume. All data is stored in two copies in different data centers, which provides data with reliable protection in case of any force majeure situations.

Especially for organizations that are faced with the need to store large amounts of information due to a recent resonant change in legislation, the option of auto-deleting files after a certain time, for example, six months, is offered.

The Cloud for Workgroups service will replace the company's file server. The network drive can be accessed by all or specific employees. An administrator can configure shared folders, for example, for departments of the company, allocate quotas for them in place and manage access.

Entering the corporate segment is a logical step in the development of the Mail.Ru Cloud: the volume of the cloud services market in Russia in 2015 crept up to 30 billion rubles and, according to various estimates, is growing from 20 to 80% per year. Compared to its own storage infrastructure, Cloud for Business has a number of advantages: unlimited scalability, ease of administration, high availability, and the ability to reduce costs. Mail.Ru Group data centers are located in the Russian Federation, which provides minimal latency, compliance with Russian law and convenience of working with legal entities.

Prices

These cloud services Mail.Ru offers corporate clients at a rate of 3 rubles per 1 GB per month. Companies will have to pay for the actual volume occupied, recalculation occurs every hour.

First users

One of the first "hot storage" Mail.Ru Group tested the Life.Ru portal. Also among the first beta testers Hotbox is the largest resource for finding remote work FL.ru (Freelance.ru) and the service for finding and ordering ready-made food and products Delivery Club. In addition, Hotbox is used to store all editorial content on Hi-Tech Mail.Ru and other Mail.Ru Group media projects.

By mid-December, several companies had already tested the service. According to Mail.Ru, these are AlfaStrakhovanie and Biglion, which helped shape the final vision of the product.

Mail.Ru for Business has the opportunity to create a corporate intranet

In November, Mail.Ru for Business introduced the free My Company service for storing and searching basic information about employees. With its help, you can quickly find contacts of colleagues and other necessary information about them from a mobile device or desktop.

"My Company" is intended for representatives of medium and small businesses who have a need for their own intranet portal, but do not have enough resources to develop and support it. Here companies will be able to store basic information about employees: name, photo, position, department name, phone number, email address, birthday, and so on. The service will help the company's employees quickly find answers to important questions - for example, find out by the number of the missed call which of the colleagues called, or find out if a person who does not answer calls and letters is on vacation.

"Initiatives that help establish internal corporate communications are often implemented last. It can take several years from the company's inception to the start of development of the first corporate portal, during which the business will suffer due to communication problems within the organization. The My Company function, offered within the framework of the Mail.Ru for Business platform, will allow small businesses that are not yet ready to invest in the development of the intranet to create it for free, check whether it solves their problems, and understand what to want from it in the future. This is one of the first launches we are planning as part of the development of a cloud services platform for medium and small businesses, "says Yegor Ganin, head of cloud and business services at Mail and Mail.Ru.

Only the domain administrator has the ability to enter and edit data in the "My Company" section. Users access it only after entering a login and password. Thus, data on company employees are reliably protected.

The information is presented in the form of a tree that allows you to determine at first glance in which department the employee works and who his manager is. The service supports searching in any of the fields: thanks to this, you can, for example, quickly find a colleague, knowing only the number of his car.

One of the key functions of the new service is the ability to automatically create mailing lists for departments. Each department receives its own mailing address; only its employees in the recipient list. The system monitors updates in the department structure and automatically adds new employees or excludes those who have left from mailing. Thus, the administrator gets rid of the need to update the lists manually - it is enough to monitor the relevance of the main list of personnel.

2013: Corporate Mail Service Beta

On July 10, 2013 , Mail.Ru Group announced the launch of a beta version of the biz.mail.ru service for creating corporate mail on its platform. By starting mail in it, corporate users can receive boxes with the domain of their company, and for those companies that do not yet have their own domain, Mail.Ru offered to register it for free within a month as part of a new service. The latter became possible through the company's partnership with the domain registrar Reg.ru.

In each domain, you can create up to 5 thousand corporate mail addresses with an unlimited amount of each mailbox, and if the company needs more, the number of addresses can be increased by sending a corresponding request to support.

Owners of corporate boxes will have access to all the main features of Mail.Ru mail: viewing MS Word, Excel and PowerPoint documents directly in the mail, a filter system, SMS notifications about new letters, automatic protection against spam and viruses, the ability to work with mail through third-party clients and from mobile devices.

In addition, mail is integrated with a calendar with which you can schedule events and schedule meetings, as well as with the Mail.Ru agent messenger. The service also implements the function of automatically adding accounts of all colleagues to the address book immediately when a new mailbox is created and the function of adding, by default, all colleagues for whom boxes in the domain have been created to the Mail.Ru Agent contact list. The service also allows you to create separate distribution lists for a specific group of employees.

Anna Artamonova, vice president of Mail.Ru Group, head of the mail and portal business unit, told TAdviser that in the near future the company does not plan to introduce any paid services for users of the service. In the future, perhaps, premium packages for a larger business will appear in it: for example, round-the-clock technical support, personal manager and others, she says.

According to Artamonova, at the time of launch, almost all the functionality of the Mail.Ru service for business is working, so it will most likely be released from beta mode within a few months.

It is worth noting that Mail.Ru's largest mail competitors - Yandex.Mail and GMail - have been operating a similar function for several years. Thus, Yandex launched the option to connect corporate domains to its mail back in 2009. The company told TAdviser that as of July 2013, more than 240 thousand domains were registered in their service.

The mail service for the Yandex domain allows you to delegate the domain to Yandex, DNShosting communicate using a Jabber chat, use a digital signature and make mailings within the domain. As in the Mail.Ru service, access to corporate mail on Yandex is possible from the web interface, a special form on the site, from the main page of the search engine, as well as from mail programs and a mobile application.

The volume of each corporate mailbox, as well as that of a competitor, in Yandex mail is unlimited, but the number of available boxes within the domain is limited to 1,000 addresses by default. Their number, however, can also be increased by filling out a special application.
