Disaster tolerance is one of the key requirements for enterprise solutions. Including for mail as part of fundamental IT systems in the company's infrastructure, covering all significant divisions of the organization.
This function ensures the availability of critical information systems and will not allow them to fail. For example, in case of power outages, natural disasters, man-made disasters or other situations when a malfunction of equipment entails partial or complete inaccessibility of the data center. On June 8, 2022, MyOffice announced the release of next-generation Mailion Corporate Mail 1.0 and the upgrade of other platform components to version 2.1.
According to the company, in June 2022, MyOffice announced the full fulfillment of the requirements of the grant agreement with RFRIT, which determined the stages of development/refinement of Mailion. Thanks to this, Mailion received an index of 1.0.
MyOffice has developed a replicated mail solution from scratch that addresses large commercial enterprises and supports up to 1 million concurrent users. The product is based on Cloud Native microservice architecture and is deployed on the server infrastructure of an organization or trusted partner. Mailion contains modern tools for communication, scheduling, contact management and document viewing, as well as artificial intelligence technologies for searching for information taking into account the semantic context.
The solution provides a seamless transition from popular foreign mail solutions, which can be carried out without stopping the business processes of the organization. The use of microservice architecture ensures proper fault tolerance, fast self-recovery and scalability when deployed on customer servers or in a trusted partner environment.
Since the announcement of Mailion, which took place at the end of 2021, the product has undergone extended testing both by MyOffice specialists and as part of several pilot implementation projects on the infrastructure of potential buyers of the product. As a result of testing, several additional corporate features were added to Mailion.
So, in the settings of the auto-response, which is usually turned on when not at the workplace for a long time, it became possible to turn on the automatic rejection of single invitations to meetings. This function optimizes the effectiveness of planning - if the employee invited to the meeting went on vacation or went on a business trip, the system will reject the event and thereby help to avoid confusion when organizing meetings.
Also, for the convenience of users, Mailion has added the function of deferred sending of an email. With it, you can set the date and time when the prepared letter was sent, as well as enable notifications about its delivery and reading.
In the calendar system, it became possible to transfer the event control rights to another user, for example, an assistant or colleague. With such delegation, authorized employees of the organization will be able to make changes to already created meetings - invite other participants or add the necessary resources.
In addition to expanding features for users, Mailion 1.0 has improved product administration and integration technologies.
The Mailion administrator can now configure automatic authorization and authentication of users registered in the Active Directory directory on the Mailion web client using the Kerberos protocol. When authorizing in the operating system, the user will be able to immediately log in to Mailion.
In the Mailion command line interface, mass addition of users from JSON and CSV files has become available. The system administrator was able to quickly download the list of users and their attributes using a single file. The massive addition of users optimizes the time to deploy the product - without it, the installation administrator for one hundred or more thousand users would take several months to fill out new accounts manually.
The Mailion 1.0 release also optimized compatibility with other mail systems. Typically, the introduction of corporate mail in a large organization involves the alternating transfer of users from one solution to another. At this point, the enterprise IT department supports two installations that coexist within the same organization - the mail system must interact with the product being replaced.
Therefore, as part of the Mailion 1.0 update, synchronization of invitations to events that are created in Mailion and stored on Microsoft Exchange servers was implemented. Thus, a pilot group of users who already work for Mailion can easily create appointments, add resources and track the employment of those colleagues who, within the organization, still continue to use the old foreign mail solution.
The most significant change in the MyOffice 2.1 release was the appearance of the function of automatically creating versions of documents when working with them in web editors. Now, if this is allowed by the installation administrator, the user can activate versioning for a specific text or table document. You can enable the function for any editable file. After that, the "MyOffice Private Cloud 2" server will automatically save versions according to the specified parameters.
When the function is activated, the web editor monitors the change of the document, and automatically generates its new versions at regular intervals. The maximum possible number of versions per document is determined by the administrator during the solution installation phase. When this value is reached, the vault will automatically delete the oldest version of the document.
By default, document versioning is disabled. The user, if he thinks necessary, can enable the function of auto-saving new versions for a specific internal format document through the side panel of the file manager and through the context menu in version view. You can also save a specific version by checking it in version view. Marked versions are not erased during auto version replacement.
Another interface for downloading files and folders has appeared in the MyOffice Private Cloud 2 file manager. Now the user can in a separate window observe the progress of copying files to cloud storage, pause the download and cancel it. After the file is downloaded, the user will be able to immediately go to the folder of its storage. You can also collapse the window into a compact view to continue working with the file manager.
On the toolbar, a menu with the functions of renaming, moving and copying the folder in which the user is located has become available. Now, using the Properties sidebar, you can change the name of the folder, copy and move it, check the box, and control the access of other users to it. The set of functions is determined by the selected access rights to a specific folder.
Release 2.1 significantly redesigned the logic of using some web editor commands and redesigned the toolbars. The changes relate not only to the applications themselves "MyOffice Private Cloud 2," but also to the "Autonomous Editing Module" (AMP).
Now, clicking on any of the command icons: Text Color, Text Selection Color, Insert Column or Row, Delete Column or Row, Borders, Fill Color, the last user operation with this command or the default operation will be performed.

The string for entering formulas can now be any size - a function has appeared in the table web editor that allows you to expand the area for entering formulas. You can move the area boundary manually or enable automatic field expansion on the button.
Now, the MyOffice Documents mobile application on Android remembers the last page viewed by the user. And if you return to this document again, calling it from the list of recent files, then the application immediately opens the document in the desired place.
Also, a special section has been created in the MyOffice Documents mobile application for Android, in which the MyOffice help center opens. In it, the user will be able to quickly find guides, answers to frequent questions and other useful materials. And in the "Device and Clouds" section, the "Last Update" section appeared - it contains a document that describes in detail the current version of the application.
The administrator interface "MyOffice Private Cloud 2" has settings for managing the function of automatic document versioning. Now, when installing the solution, the installation administrator can configure the frequency of saving versions, as well as their maximum number. When you reach the maximum number of document versions, the vault will automatically delete the oldest versions that have not been flagged by users.
The products also implemented a public link management interface. The tenant administrator can now view the active public links of the entire organization, block and unlock them, as well as delete, sort and search for the desired ones. This functionality optimizes the centralized management of public links that users create when working with cloud products.
A significant part of this release is dedicated to Mailion. Release 1.0 includes several corporate functions, the need to include which was identified during pilot projects. Over the past year, we have seen a rapid increase in the share of private clouds in the Russian market, this trend largely reflects the desire of large commercial customers to consolidate infrastructure and ensure more control over data. Complete implementation of the requirements of the grant agreement with RFRIT for the stages of development and revision of Mailion
On June 6, 2022, MyOffice announced full compliance with the requirements of the grant agreement with RFRIT for the stages of development/refinement of the Mailion system. MyOffice has received a formal notification from the Foundation that it has accepted and approved the reporting materials to comply with the requirements of the Product Creation, Launch, and Grant Financial Statements Agreement.
In accordance with the procedure established by the agreement for completing the obligations of the grantee, all monetary settlements between the company and the fund were made in full, and the use of special accounts for servicing the grant was also discontinued.

Load testing with emulation of simultaneous operation of 600 thousand users
On March 24, 2022, MyOffice, a Russian office software company for document collaboration and communications, announced the successful testing of Mailion corporate mail, which confirmed the possibility of simultaneous work of more than 600 thousand users. Load testing was carried out by TEGRUS, a Russian full-cycle system integrator.
During testing, TEGRUS engineers checked the correctness of the execution of load scenarios that emulate the working day of the organization and describe the typical behavior of employees of a large enterprise when working with e-mail. The purpose of the test was to test the hypothesis of maintaining the 6081 RPS system (operations per second), which is equivalent to the actions of 600 thousand users who send and receive 1.14 million letters during the day. The load model assumes that 40% of users make daily appointments in which 3 people participate. At the same time, on average, there are 4 meetings a day in the calendar of users.
The business testing operation model provided that users can log in, run an email client program, go to the second and third pages of the list of letters, send new letters, open incoming letters, go to the calendar, create new events and respond to them.
Testing was performed using Grafana Labs' K6 program. Testing scripts were run on a grouping of 46 servers, which in total were equipped with 636 processor cores, 2.8 TB of RAM and drives with a capacity of more than 135.4 TB. Testing was carried out in two rounds, each of them lasted 8 hours. During the first five minutes, the load increased uniformly, reaching the maximum value, and within the same interval decreased uniformly at the end of the test.

During the tests, the stable and stable operation of corporate mail was achieved and confirmed when supplying an average daily load equivalent to the actions of 600 thousand users within 8 hours. Inclusion in the Unified Register of Russian Programs
On January 31, 2022, MyOffice announced the inclusion of its Mailion mail solution in the Unified Register of Russian Programs of the Ministry of Digital Science of the Russian Federation. The product is included in the register under entry No. 12707 dated 28.01.2022 on the basis of the minutes of the meeting of the expert council on software No. 86-pr dated 24.01.2022. The decision to include the product in the register was made unanimously by 16 members of the expert council headed by Deputy Minister Parshin M.V.
Mailion is corporate mail that is designed for corporations and government agencies with from 30 thousand jobs. The solution is built on Cloud Native microservice architecture, supports up to a million active users and is deployed on the organization's own servers or on the basis of a trusted partner infrastructure. The product includes mail, calendar, contacts, and smart search. The solution enables the customer to manage data on their own and securely protect their information from third-party access. The product provides a seamless transition from other mail solutions, and reduces the cost of ownership of the corporate mail system. In 2021, 298.591 million rubles were allocated to finalize and bring Mailion to the market by the RFRIT fund.
Load testing, in which TEGRUS took part, showed that Mailion is suitable for servicing large organizations with 400 thousand employees. According to the test results, most of the requests (more than 4800 RPS, operations per second) are processed by the mail system in less than 100 milliseconds. As of January 2022, MyOffice is working to increase load capacity, which will provide the largest organizations with a single corporate postal solution.

On November 30, MyOffice announced the launch of its new product, Mailion Corporate Mail, aimed at large customers. The solution includes a mail system, scheduling and contact management modules, and smart search.
According to the developers, the product is capable of supporting the simultaneous operation of up to a million active users. Implement the product "MyOffice" recommends organizations that have from 30 thousand user jobs.
The product has been developed for a total of about 5 years. The company says that Mailion was created from MyOffice and uses its own MyOffice developments 95%. The remaining 5% are for open source components.
At the heart of Mailion is the Cloud Native approach and microservice architecture. The product consists of a set of independent microservices that communicate with each other using the API over the secure gRPC protocol. The solution is designed for deployment in the private cloud - on the customer's own servers or on the basis of the infrastructure of a trusted partner.
To more efficiently structure large amounts of data, Mailion uses AI technologies and its own distributed software-defined DOS storage with deduplication support. The intelligent media panel organizes all business correspondence data, displays information and helps you navigate to the list of participants in konkretnoy̆ correspondence. The mail uses morphological search technologies, due to which the system produces the most relevant query results, since all forms of words, their conjugation and declension, and the semantic context of messages are taken into account.
The developers claim that their solution is compatible with any external desktop clients and mobile applications for working with mail, calendars and contacts via IMAP, CalDAV, CardDAV and LDAP protocols. It also supports popular browsers and operating systems.
As for the hardware, the solution is planned to be developed so that it can be worked with at workplaces based on Russian processors. MyOffice says it is working with Baikal Electronics to provide support for its Baikal-S processors, which are expected to be widely available in the near future. MyOffice CEO Dmitry Komissarov says that the company's solutions will support all promising processor architectures that will become widespread in the next five years, as ready-made devices based on them appear.
Mailion's main competitor in the large corporate segment is the Microsoft Exchange solution. MyOffice says they have provided for seamless migration from it to Mailion. There is already a well-developed scheme for this. In addition, an add-on for Microsoft Outlook is available to Mailion, through which users can continue to work in a familiar interface.
The launch of commercial operation of Mailion is scheduled for January 2022. The cost of a Mailion enterprise license will depend on the scale of the installation - the more users, the lower the price per license. When deploying Mailion for more than 100 thousand users, the cost of an annual license per user will be about 2 thousand rubles. Pyotr Shcheglov, director of product marketing at MyOffice, told TAdviser that in the case of installation for 30 thousand users, the cost of one workplace will be about 4.5 thousand rubles.
At the same time, in order for the system in a large organization to work steadily, a large number of nodes are needed, Scheglov added.

In 2021, investments in the creation of Mailion amounted to 429 million rubles, of which 298.591 million rubles are a grant from the Russian Fund for the Development of Information Technologies (RFRIT) under the Digital Economy national program. According to MyOffice, this is the largest grant in the history of the fund. The company says that the grant allowed the product to be brought to market earlier than it would have gone out without this support.
Dmitry Komissarov noted in a conversation with TAdviser that the company did not consider the volume of investments in monetary terms for previous years of development. And now about 100 employees of MyOffice are working on the development of the product.

One of the companies that have already tested the new product is RT-Tekhriemka, which is part of the Rostec Group of Companies. They are eyeing Mailion as an industry postal solution in Greenatom, the IT-insourcing company of Rosatom State Corporation.
Dmitry Komissarov believes that not for all the largest clients the desire to change the postal decision stems from the need for import substitution. At the "main player in the market," the focus goes into the clouds, while corporations, as a rule, do not want to go into other people's clouds with their corporate systems, he says.
In parallel with Mailion, MyOffice will continue to develop its previously developed mail solution, MyOffice Mail, which is more focused on the middle corporate segment.

New Cloud Technologies has passed a competitive selection for a grant from the Russian Information Technology Development Fund (RFRIT) for the development of domestic software, the fund said on January 12, 2021. According to the CEO of MyOffice, Mailion is created on Russian technologies and provides fault-tolerant collaboration between hundreds of thousands of users. One of the key differences between Mailion and the existing MyOffice Mail solution, in which an email client for a PC uses an open one, ON Thunderbird is a fundamentally different architecture.
Dmitry Komissarov says that the postal system has a "unique microservice architecture" based on the principles of Cloud Native (originally designed and developed for use in modern cloud infrastructures). The solution also includes collaboration management and planning tools integrated into Mailion, high fault tolerance and self-elimination of failures without interrupting the product with minimal participation of system administrators and operations services, thanks to a microservice architecture.
In addition, Mailion has announced flexible options for integrating additional modules and components using different programming languages.
