2022-2023: Key innovations and directions of development of Russian EDMS, ECM and CSP systems
Russian vendors of EDMS, ECM and CSP systems continue to actively develop their platforms. The main investments were and will be directed to the implementation of functionality to support digitalization of work with new types of content, legally significant electronic document management (UWEDO), the introduction of AI and low-code technologies, as well as compliance with the capabilities of Western platforms for fault tolerance, scalability and CSP concept.
TerraLink xDE
As part of the development of the product for automation of UWEDO TerraLink xDE, the functionality in each new version is expanded in accordance with the current legislative changes in terms of electronic document management: support of updated formats of formalized documents, expansion of the pool of supported EDM operators, support of working with certificates of individuals, long-term storage of documents using improved EDM, verification of RNPT codes for tracked goods, obtaining data transfer statuses in GIS Honest sign.
New convenient services are also regularly added in response to customer requests. The service for creating and visualizing printed forms in TerraLink xDE is in demand by companies that themselves translate part of the document flow into structured form (XML) in agreement with their counterparties.
The interface component of the TerraLink xDE platform continues to develop - it is support for working in the interface of SAP and 1C accounting systems, as well as the web portal.
Starting from the end of this year and the first half of 2023, it will be devoted to work on new business processes - working with electronic waybills and machine-readable powers of attorney. And all these innovations will be implemented in the next releases of TerraLink xDE.
Docsvision
In addition to expanding the capabilities of our Low-code platform, constant work to improve Usability and platform performance, in 2022 we implemented requirements to support a new signature format and personnel EDO. We have significantly improved the ability to search and present system data, increased the convenience of working with documents in batch mode, flexibility of coordination, etc., "says Vladimir Andreev, President of Docsvision. |
In 2023, it is planned to implement a large set of requirements related to new regulatory requirements for personnel EDO, new formats of electronic documents, long-term storage of documents and relationships with the state archive. In addition to these necessary improvements, the company's developers have a fairly large list of innovative ideas in the implementation of the Low-Code platform and new CSP services.
EOS Platform
We completed the development of the EOS Platform and released the first product on it: the updated Archival business. Probably, this is more important than all those 413 innovations that appeared in our products, - says Alexey Peregudov, director of work with partners of the EOS company. |
EDMS THESIS
In 2021, the design of the EDMS THESIS was modernized. When developing a new design, the wishes of customers were taken into account, as well as the recommendations of the relevant agency, which conducted an audit of the EDMS. The most important thing in the new design is the emergence of very convenient widget mechanics, with which you can quickly access system functions. All this works to reduce the number of clicks required to perform certain actions. In addition, each user can customize the main screen of the system for himself. Work in the EDMS THESIS has become faster and more convenient, while the usual mechanics have been preserved. More than 50 customers have switched to the new design. They actively use widgets and gave the new design positive ratings.
We strive to develop the system comprehensively, stay at the forefront of technology and respond to customer feedback. That is why when developing release 5.2, which was released in 2022, we focused on several aspects at once: functionality, interface, performance and security. One of the most important innovations is the emergence of an HR module that will help automate vacation planning and business trip processing, "says Ilya Zaychikov, product owner of the ED THESIS. |
In addition, the functionality of legally significant electronic document management continues to expand. To improve performance, more than 30 technical improvements have been made to the system. To assess the safety, we turned to the relevant agency, which conducted an audit of the EDMS THESIS. He showed that the system does not have critical vulnerabilities, and in addition, experts gave a number of recommendations that we fulfilled in the new version.
Now work is underway on an artificial intelligence module. Large-scale research work has already been carried out, the needs of customers have been studied. The RFRIT grant contributes to the acceleration of development.
Directum Solutions
The product line was actively developing the flagship product - Directum RX, a new delivery was released with updated intelligent tools - Directum RX Intelligent 4.5. Machine learning templates are built into the system for a set of the most common document types.
In 2021, AI was developed in the clouds: the cloud Ario One was released - a set of services for embedding intelligence and robotization, a unique cloud 100% recognition service was released.
Import substitution is not only in words, but also in deeds - the system has been proven to be translated into import-independent platforms. Integration with Russian and open source office packages is provided. Administrator tools have evolved to simplify installation on Linux.
We continue the topic of scalability and platform power, taking into account import substitution. Directum RX has successfully passed load testing for the simultaneous operation of 30 thousand users under Linux, which corresponds to the implementation of 60-80 thousand system users. Now we are moving on, there are enterprises with 100 thousand users, - says Konstantin Istomin, executive director of Directum. |
Increased protection of the system against hacking, added blocking of IP addresses in case of multiple failed login, additional protection of accounts during authentication, the ability to mass reset the password, etc.
Already, Directum RX has extensive low-code/no-code configuration capabilities for both ECM and BPM functionality, which is confirmed by high places in the ratings.
Large companies are intended a new solution "Archive for tax monitoring" for remote interaction with the Federal Tax Service. The solution is ready for integration with VK Tax Compliance and Kept Showcase.
Solution "Integration with POC. Data showcase "for uploading to the" Feedback Portal. " We continued to update the line of solutions for digital exchange in government agencies for new requirements: STU and MEDO.
Directum RX has support for electronic (machine-readable) powers of attorney. Solutions for digital accounting and CSRs developed. Taking into account the client experience of users of large clients and government agencies, the system interface is improved - preview, widgets, convenience of working with instructions, service notes, etc.
The development of teamwork solutions continues - an important area for the flexibility of companies. Therefore, we have released and are developing a tool built into the ecosystem of Directum- "Agile-board" solutions. Updated solutions "Project Planning" 2.6, "Service Calls" have been issued.
The "Long-term Archive" solution for Directum RX has been released and is developing. The company has deep competencies in this area, functionality is very in demand in the fields of digital accounting and KEDO.
The HR Pro product, created on the Directum RX platform, continues to develop. It is overgrown with modules, new functions, connectors are added, for example, support for the State Department has recently been implemented.
As part of the platform and the development of CSP solutions, we will continue to move in the following areas: development of the zero-code configuration layer, embedding AI technologies in boxed solutions, scalability on an importo-independent infrastructure, large archives and a long-term archive, contracts and purchases, digital accounting, HR services, case management, new tools for teamwork, project planning and knowledge management.
We will continue to bring out new solutions for flexible innovative management. For example, for "undocumented" work and the transition of Russian companies from the usual a la paper documents to work with knowledge.
ELMA365 ECM
Changes a huge number, is difficult to distinguish some most important. Of the most recent, we can note the emergence of a solution for CED, the addition of vendor support for MCD, integration with CT Kontur, cloud sign.me provider, EDO operators Diadoc and SPHERE. Manager. Adding and updating many ready-made solutions for EDO (ORD and GNI, Archival business, Contractual work), - says Rais Akhkyamov, product owner ELMA365 ECM. |
By the end of 2022, a decision will be issued on the organization of an archive of primary documents, and then a comprehensive solution "ELMA Tax Monitoring" will appear on its basis. We will add low-code tools for working with EDM, vendor support for integrations with EDM operators and ERP systems. We continue to support and update business solutions based on feedback from customers and due to changes in NPA.

In the solutions of ECM Systems EOS, significant innovations were associated with new capabilities for the design of objects, processes and representations by means of the system that ensure flexibility and versatility of systems; work with electronic documents, integration with the necessary systems and services, means for automating specialized tasks - maintaining meetings, building visual analytics, etc. In general, the overall vector of development will continue in 2022.
Directum Solutions
What's new in 2021
In 2021, Directum RX 4.0 was released, which implemented all import substitution requirements. Now all components of the solution are fully supported for both Windows and Linux.
Over the past two years, we have invested significant resources in import substitution requirements, full-fledged work in Linux-based operating systems. At the same time, we not only made support for multi-platform, but also completely rebuilt the architecture to microservice, "said Konstantin Istomin, executive director of Directum. |
Linux runs all Directum RX server components, including for scalable and loaded systems. Operating systems such as Ubuntu, Alt Linux and Astra Linux are supported. The system can be fully deployed on free software or select the most appropriate operating system for the server and client parts. At the same time, users themselves can work in a web client on Linux, MacOS, Microsoft Windows, as well as using mobile applications on smartphones and tablets on iOS and Android.
In the same year, Directum released a separate HR Pro product that completely covers a specific area of tasks for personnel processes: personnel movement, vacations, recruiting, business trips, service calls, personal account, etc. This is a set of IT solutions that can be purchased in a kit or separately. It is suitable for companies with different backgrounds of IT systems, companies at different levels of digitalization. It allows you to involve up to 100% of employees in digital personnel processes: office, production - any.
The company also developed an all-cloud product for intelligent document processing Ario One, and recently it was replenished with a 100% recognition service.
Directum RX is being actively implemented using Directum Ario intelligent tools. Areas of application of AI: firstly, already traditional and circulation tasks - classification and extraction of details when processing incoming documents, and more non-standard ones, for example, an archive of design estimates with elements of intelligent processing.
2020 and 2021 forced both us and customers to take a fresh look at teamwork: not only content, but also interaction becomes digital. We need not only flexible configuration of processes, but fundamental flexibility outside the "regulations." In response to these challenges, we have released a new Directum Agile-board solution, "added Konstantin Istomin, Executive Director of Directum. |
What innovations are planned for 2022
In 2022, the development of the HR Pro product will continue. It will be overgrown with modules, new functions in the same recruitment, personnel development, connectors will be added to adjacent systems, etc.
The No-code/Low-code principle, which is used in Directum products, will develop. Directum RX has a low-code development environment built in, which the company's specialists will continue to improve.
Now we have about 30 business decisions, we do not plan to expand this composition much, instead we will focus on the most popular, make them as convenient and developed as possible. Increase the initial availability of intelligent elements within solutions. To meet the pace of customer development, the system must have a high degree of readiness, - says Konstantin Istomin. |
The company also plans to develop Directum Ario One intelligent tools to make them as simple as possible, ready to be embedded in processes. In addition, the company plans to integrate AI into an increasing number of processes within the system and solutions in accordance with increased customer expectations.
And the next point is teamwork solutions. The classic view of processes and documents ceases to be dogma. Management technologies in the style of "management 3.0" are becoming more and more popular, so the company will continue to develop Directum's Agile-boards solution.
Docsvision
What's new in 2021
In 2020, Docsvision implemented everything necessary to create and provide a fully functional electronic archive for paperless storage of electronic documents. They developed Low-Code tools so that users and partners create complex web applications with almost no code, but convenient to work with. A number of application services of the platform were transferred to it: services for processing tasks and coordination processes, service for distributing solutions, etc. Multitenance functions were also implemented in the platform, which will provide the ability to use it in Solutions SaaS.
What innovations are planned for 2022
In 2022, Docsvision specialists plan to ensure the ability to operate all the main components of the platform on domestic OS based on. Linux Mechanisms for processing paperless documents will also be developed, and the platform's usability will continue to develop for both end users and platform developers and administrators. In addition, it is planned to develop, together with partners, several completed application solutions for various standard processes.
Elma ECM+
What's new in 2021
Among the innovations of Elma ECM + are a qualified electronic signature on a mobile phone, online editing of documents, isolation of ready-made solutions and, in general, expanding the capabilities of the Low-Code system configuration.
What innovations are planned for 2022
In 2022, it is planned to expand the OOP principles on Low-Code, intuitive transition to the required documents, as well as expand the list of ready-made solutions, including partner ones.
LanDocs
What's new in 2021
In the summer of 2021, LanDocs 3.7.3 was released, which became not just another minor release, but included a whole range of improvements in almost all areas. In particular, the functions of business process management have been significantly expanded, with the user being given two options to choose from: the so-called "flexible negotiation sheet" for ad hoc routing, or the use of a BPMN engine based on the open-source Camunda platform.
When people design business processes, they don't always do it in the optimal way. Rather, it is rare when it turns out to do right away well. But on the other hand, electronic document management systems have accumulated a huge amount of data on the life of an organization, which is now used only for control and reporting, while they could be used for process mining to find bottlenecks and improve organization management. Therefore, we began to develop the functionality of process mining, but so far we are in a very early phase of development. We plan to start a pilot with one of the customers and, probably, in 2022 we will already have something to show, "said Alexander Rodionov, director of the Lanit document management systems department. |
An important milestone in the development of the product was the emergence of intelligent services for automatic classification and attribution of documents with an accuracy of about 97%, subject to training on the customer's selection. With the help of intelligent services, you can implement a more interesting scenario - not just register a document, but immediately create a resolution and send it to the performer.
In addition, an interactive interface has been added to the product to work with messages (tasks) that can be placed on kanban boards, move them between columns, which means changing status, grouping by performer, and so on.
LanDocs development tools have also changed - low code tools have appeared. to add a field to a document, no longer necessarily a qualified developer is needed, an advanced user can do this without leaving the LanDocs web client.
In addition to the fact that LanDocs itself has become completely import-substituted, the developers began to look at the task more broadly - we need to help customers switch to Russian technologies. To this end, an agreement was concluded to create a joint solution based on the P7-Office cloud office applications and the LanDocs electronic document management system. Now end users will be able to directly from the EDMS to create, open and edit (including simultaneous editing) documents using the cloud module of the P7-Office editors.
As for the architecture and scaling capabilities, support for Amazon S3 storage was added, query balancing in DBMS clusters - Always On for SQL Server and HotStandby for Postgres. This allows you to keep several tens of thousands of users on the same configuration, which meets the needs of most customers.
Due to the fact that the entire configuration, including the web client, runs under Linux, it became possible to supply LanDocs in the form of Docker images with a template for a simple Docker Compose orchestrator and with traditional management tools for the container infrastructure.
What innovations are planned for 2022
In December 2021, Lanit showed LanDocs 3.8 at its traditional conference in Skolkovo, and in early 2022 it will be officially presented. The main innovation was the emergence of workspaces where the project team can store all their documents, files and tasks in one place to organize collaboration.
This will solve one long-standing problem - often in large companies, EDMS becomes a universal management tool, which leads to excessive bureaucratization of processes due to its focus on traditional workflow. But if you need to distribute tasks to the project team, write memos on each occasion and somehow it is too difficult to register instructions. Therefore, people begin to use a lot of various tools such as Notice or Evernote for taking notes, Trello for kanban boards, wikis in Confluence, plus cloud storage Google Disk or OneDrive, and so on. On the one hand, it is convenient because it is extremely flexible and efficient; on the other hand, corporate information spreads across many third-party services, from which your information security service is clearly not delighted. Instead of all this zoo, you can now use LanDocs 3.8, which gives managers all the modern tools they are used to, but inside the perimeter of the organization, "says Alexander Rodionov. |
In addition, the company plans to release an independent product for personnel document management for the first quarter of 2022. Now KEDO is a LanDocs-based development, essentially a set of cards, routes and reports specific to this subject area. The company already has the first pilots, and the demand for this solution is very high.
The DocsHouse platform is also actively developing in the direction of its demand by partners.
DocsHouse is already quite a mature product - while everyone is just talking about CSP, we already have a number of implementations. From the point of view of business development, an obvious step will be to give this technology to partners so that they can offer it to their clients, "says Alexander Rodionov. |
TerraLink xDE
What's new in 2021
As noted in TerraLink, the transition to remote work contributed to the active development of the EDO market. In addition, in 2021, new requirements for the organization of electronic document management appeared. For companies participating in the circulation of labeled products, this is a connection to an electronic document flow for the exchange of universal transfer documents with counterparties. For participants in public procurement - the formation and signing of documents on the acceptance of goods, works, services in electronic form. In addition, now all companies, except SMEs, must submit statistical reports in electronic form with UKEP. Financial statements are also submitted exclusively in electronic format. The list of trends in the electronic document management market includes rapid scaling of solutions and integration with third-party IT systems.
In 2021, the TerraLink xDE integration platform development team actively worked to implement support for all these new legislative requirements into the product. A new version of TerraLink xDE 3.22 was released, supporting new document formats (exchange of UKD in the format of Order FTS Russia No. EU-7-26/736 @ of 12.10.2020 and TORG-2 in the format of Order of the Federal Tax Service of Russia No. MMV-7-15/423 @ of 27.08.2019 , exchange of invoices in the format of the new Order of the Ministry of Finance of Russia No. 14n) and designed to make it easy and convenient for companies to work with electronic documents, including those accompanying branded products.
We continue to expand the ability to integrate TerraLink xDE and seamlessly integrate into customer information systems. TerraLink xDE 3.22 is based on.NET 5, the current version of the cross-platform open-source framework. We continue to jointly test systems with our partners, in 2021 we received a product compatibility certificate with Red OS, the company added. |
WSS Docs
What's new in 2021
The WSS Docs system has ready-made modules for integration with SBIS and Diadoc EDO operators in terms of incoming and outgoing formalized and informal documents. The development of the document designer was also completed and a logging module based on ELK was released.
What innovations are planned for 2022
In 2022, a new WSS Docs interface design will be released, which has not changed since 2012.
{{quote | Users of the system consider the current design practical and affordable, so we were in no hurry to change it. But we see that it is already lagging behind the market requirements, so we decided to release a more modern and attractive design, while maintaining the simplicity and functionality familiar to users, "said Gennady Popov, CEO of WSS-Consulting.
Also in 2022, it is planned to complete a large-scale project to transfer the WSS Docs system to a proprietary platform.
Soon Microsoft will stop supporting the free version of the SharePoint Foundation and we decided to rewrite the system to a new technology stack in order to further ensure its operation not only in the Microsoft stack (MS SQL, Windows Server, SharePoint), but also on Open Source alternatives, - explained Gennady Popov. |
2020: EDMS/ECM Development Plans
At the end of 2020, TAdviser interviewed the Russian developers of EDMS/ESM systems and learned the development plans for their products.
THESIS
One of the main directions of the EDMS THESIS development is to increase the convenience of work, reduce the number of clicks, automate routine processes, including using AI, so that users can focus on the main tasks and decision-making. In addition to this, it is important that the login threshold for new users is lowered, so developers are improving the formats of help and prompts.
Another area is to increase the convenience of modifying the EDMS by the customer and the development of tools that simplify this process as much as possible.
We strive to ensure that not only developers, but also analysts and other specialists can make changes to the system. This will be achieved by switching to a new version of the CUBA platform. In addition to this, we are working on a redesign of the EDMS THESIS, - says Ilya Zaychikov, Product Owner EDMS THESIS. |
Docsvision
The main efforts in 2020 were devoted by the Docsvision developers to import substitution issues, namely support for PostgreSQL and the transfer of the main platform services to the ability to work on Linux. The company also continued to develop development tools and actually completed the transformation of Docsvision from EDMS into a fully functional Low-code platform for creating a variety of web applications, primarily EDMS applications.
In the near future, the company's specialists see the following main directions for the development of EDMS tasks - the transition from internal processes of the organization to paperless processes of external interaction, which requires closer integration (and possibly convergence) with EDM operators, the possibility of using the EDMS interface to organize direct interaction with counterparties. The gradual intellectualization of EDMS services will continue, more and more scenarios for using machine learning to exclude manual labor will appear. For Docsvision developers, the integration of Process Mining services into the EDMS/ECM ecosystem seems promising.
We continue to increase the ability to scale the system, which was presented in the latest release of the Docsvision 5.5.2 platform, - explains Vladimir Andreev, President of Docsvision. |
EOS products
The EOS company is trying to take into account all current trends. Among the most important areas for the near future is the launch of the EOS Platform, based on a new technological approach, which will allow you to quickly launch new functionality, increase the development speed, and offer users the opportunity to draw up the solutions they need based on modules.
Among the key areas is the development of mobile solutions. Here, the company's developers primarily focus on increasing performance and expanding functionality.
We are also working on the automation of individual functions - for example, electronic signatures are now in the spotlight, we have developed the PKI Service product to work with them. In addition, the new functionality, which will appear in accordance with market requests, will be ported to our platforms included in the register of domestic software, - adds Nadezhda Shalimova, head of the EOS marketing department. |
CompanyMedia
One of the directions of development of the CompanyMedia system is the interface for business users. In particular, a cross-platform workplace CompanyMedia has been developed for employees of the management unit and business specialists, whose work is mainly related to the execution of tasks and instructions, control over their execution. It is based on the idea of ergonomic visualization of incoming tasks, their grouping, depending on the required actions, which allows you to quickly make decisions and take the necessary actions with minimizing time.
Another priority is services using artificial intelligence:
- "CompanyMedia-Digital Assistant" - automation of routine operations through the use of means for recognizing the details of documents and their automatic routing.
- Smart semantic search by context, which allows you to search for documents by both exact and inaccurate (synonymous) matches.
- Automated regulatory lifecycle management and more.
The next important area is cloud-based corporate electronic document management. It allows you to configure an almost unlimited number of organizations within one instance of CompanyMedia, each of which will have its own independent workflow loop. Each such organization configures independent access rights of users to documents, its own organization structure.
And finally, CompanyMedia integrator is CompanyMedia's interface with external systems. The integrator's task is to obtain information from one or more sources and convert it to a format supported by the storage and processing system, which is the recipient of the data.
Tessa
Syntellect specialists devote maximum attention and resources to implementing architectural improvements related to expanding the ability to scale databases and applications, flexibility, speed of work and fault tolerance. This is necessary in order to be able to increase the load on the platform with even more applications and function modules.
In addition, the company's developers continue to develop teamwork support functions within the framework of the case management concept. Instant messaging will be added to the forum and discussion module.
In terms of integrations with technological partners, priorities are various ISDO providers, flexible document designers, tools for robotizing business processes (RPA), recognition and mining systems, semantic search, as well as tools for controlling information leaks.
ECM Satellite
KORUS Consulting Group plans to develop the Sputnik ECM platform in three key areas.
The first is Enterprise Content Management (ECM) - the management of digital assets and other types of content, as well as their storage, processing and delivery within the organization.
Another vector is the development of a long-term document storage system. The platform provides services for the company's internal information systems for storage, visualization, confirmation of legal significance, search for files or documents.
And the third area is Enterprise Service Management (ESM) - management of corporate services or, in other words, automation of work with service calls within the company (ACS, human resources department, legal service, finance and more). ESM solves tasks such as automating repeated manual operations, organizing collaboration on tasks, controlling end-to-end internal processes (for example, hiring an employee), increasing the transparency of interacting services, planning work of departments, and so on.
Among the immediate plans is the preparation for the release of two modules: financial and personnel document management. The platform will support work with financial primary documentation, which counterparties can exchange through EDO operators or directly through Sputnik's personal account. The current functionality of personnel document management will also be expanded with the ability to work with documents on business trips, hiring and dismissal of employees, as well as with local regulations.
The developer's task is to make the platform even more customizable and flexible. That is why it is planned to refine the graphic editor to customize and visualize processes, as well as expand the capabilities of the visual designer. The platform will support work with popular cloud platforms for content editing (Google Docs, P7-Office and OnlyOffice), and work with scans and file comparison will be expanded by using a new recognition technology for the platform.
The future of the development of the KORUS Consulting platform is seen in the use of Machine Learning and Artificial Intelligence technologies. The ECM satellite will prompt the user to take further steps when working with documents, improve user experience, automatically fill in card attributes, and classify incoming messages and documents and even form preliminary responses. All this will make working with documents truly intuitive and even more convenient for business users.
KORUS Five|Document Management
In accordance with technological trends, Korus Consulting specialists continue to develop in the EDMS/ESM-system "KORUS Five|Document Management" on the Microsoft SharePoint platform a module of legally significant document management for automating work with financial primary documents and contracts with counterparties. And in conjunction with it - gateways and connectors for integration with accounting and other systems. They create a single outline of external and internal document flow, organize work with documents on the principle of "one window."
At the current stage of the development of the electronic document management market in Russia, automation of SZDO is one of the most priority and promising areas, "says Elena Piskunovich, Director of Microsoft SharePoint, Korus Consulting Group of Companies. |
The plans also include the development of functionality to ensure user mobility and comfortable work from any device.
The fact is that users usually perform only a few simple actions from phones and tablets, so using a mobile application is most often redundant and costly. We focused on creating and developing tools that will be simple and understandable for users: simplified web forms for working with mobile devices, lazy approval (agreeing and signing documents from the mail, without logging in), chat bots, - says Elena Piskunovich. |
One of the priority areas for the development of the Russian market is cloud technologies. Therefore, Korus Consulting associates most of the plans with the provision of its own EDMS/ESM system for the SaaS model. According to Elena Piskunovich, customers are aware of the benefits of using such services, including in the field of document automation. These include: a quick start without significant one-time costs, savings on the purchase, maintenance and replacement of equipment, and staff fees. As well as the flexibility of processes, the speed of adapting the service to changes, the ease of managing resources and the convenience of remote work. In addition, IaaS and PaaS providers improve the quality of services and actually prove the security of data storage in their cloud infrastructure, says expert Korus Consulting.
In addition, the company's specialists will continue to improve the visual component and usability in order to provide users with comfortable work in a simple modern interface. The personalization of the interface, dashboards for visualizing analytical data will be finalized.
Another focus of development is the addition of the basic modules "KORUS Five|Document Management" (contractual, legally significant, organizational and administrative document management, office and electronic archive) with specialized solutions, primarily for production companies. These include solutions for change management (management of changes), product lifecycle management (PLM system), budget control.
In general, the large-scale workflow automation tasks that customers contact us require a special approach. In the first place is the construction of an IT ecosystem, and the choice of a specific product is secondary, and in order to solve a complex problem, most often not one product solution is required, but several. Therefore, we focus not so much on our EDMS/ESM system as on consulting in the field of electronic document automation. In order for the result of digitalization to meet expectations, it is necessary to conduct a detailed audit, analyze and think over a plan for optimizing business processes, work out an automation methodology and carry out integrations. Therefore, we do not start from a specific system, but from problems, tasks, understanding of the current and desired process. We have accumulated extensive experience in such projects, developed our own methodology for the conceptual design of external and internal document management processes and plan to increase expertise, developing this area in 2021, "says Elena Piskunovich. |
"First Form"
One of the main priorities for the developers of the "First Form" is a mobile application.
We invest a lot in the development of the mobile application "First Form," for us and our customers it is absolute must have. It is important to understand that a mobile application is by no means an "add-on" to the main system, but a powerful tool that in some ways even surpasses a web client. We have projects where the main emphasis is on mobile capabilities, and where most users receive information, discuss it, work with documents and signatures only from smartphones, "says Denis Seleznev, General Director of First Form. |
Also, the company's developers consider the so-called "storefronts" for employees, customers and counterparties to be in demand. They integrate information from different processes and systems, visualize data well and help users highlight important things in large information flows. This also includes the functions of Customer Communication Management (CCM) as a single personalized channel for interacting with customers and passing documents.
Another important topic is the orchestration of business processes. The ideology of the "First Form" is the integration of all departments and processes, in this the developers see the key to efficiency. The current direction for the "First Form" is "big data." According to Denis Seleznev, thanks to modern semantic analysis technologies, you can extract meaning from documents and even from ordinary correspondence, formalize this information and use it to analyze patterns and support decision-making.
ELMA
ELMA sees two key areas for the development of the functionality of EDMS systems. Firstly, this is the development of functions for working with the SZDO.
More and more EDMS customers are ready to use YZDO in working with their counterparties. At the same time, the coordination and signing of contracts in the South Kazakhstan region is an understandable and easily solved task. Everything becomes much more interesting if we are talking about primary documents and, for example, about automating responses to requests from the Federal Tax Service, - explains Andrey Chepakin, commercial director of ELMA. |
The second direction is associated with the development of functions and scenarios for the use of EDO in conjunction with RPA robots and AI.
We meet many interesting use cases and tasks that customers set for us related to robotic workflow. An example of such a task is to take paper design documentation, check the correctness of the material specification in it and transfer the data of this specification to ERP. Previously, only a person could solve such a problem, now AI recognizes the specification, checks its correctness, and the RPA robot transfers this data to the accounting system, says an ELMA representative. |
LanDocs
Even before the start of the pandemic, the LanDocs developers outlined three development focuses for themselves.
First, we invest a lot of resources in the web client, because the era of "fat" clients is slowly but surely passing. At the same time, oddly enough, the pandemic practically did not accelerate this process. It would seem that when working from home, everyone would be better off switching to the EDMS web client. But it turned out that if the corporate information system has at least one desktop program, then in order to organize a home office, you still have to organize terminal or VPN access. And so far, it is easier for the company's IT services to translate all programs into this format, "says Alexander Rodionov, director of the LANIT document management systems department. |
Nevertheless, the developers still retain their focus on the development of the web client, believing that this is the future.
The ability to create and refine web applications is an order of magnitude greater than if you are dealing with thick applications, explains Alexander Rodionov. |
The second focus of attention is import substitution. And the third vector of development was and is UI/UX.
Directum Products
Directum focuses on business needs in the development of its products. The company believes that the most promising and in demand in the ECM market today are technologies for personnel tasks, archival storage of documents, as well as AI solutions for automating routine operations in a variety of business processes.
Continued systematic improvement and expansion of Directum HR Pro functionality in line with legislative trends and customer needs. Ario intelligent services will develop in two directions: as a built-in module within Directum and as a separate product Directum Ario One, compatible with all classes of systems. The first option is relevant for organizations that need comprehensive digitalization of processes. The second is interesting for companies that require AI services to work in conjunction with already installed systems.
Citeck Products
Citeck's product development priorities are focused on low-code and even no-code, the transition to a microservice architecture, and maximum integration with third-party IT platforms.
2019: EDMS/ECM Development Plans
TAdviser conducted a survey of Russian EDMSECM developers/systems and partners of foreign ECM vendors presented in, and Russia found out what innovations they are preparing for their customers.
Directum
The Directum system is being developed as part of the Directum DigitALL long-term strategy. The strategy takes into account modern and promising areas of development of process and corporate content management systems: electronic interaction of 100% of the company's employees, application of various types of signatures, legally significant storage of electronic documents, including archival, exchange of documents with counterparties, omnichannel access to the system (mobile applications, chat bots, personal accounts), use of tools based on AI and RPA, creation of industry solutions, as well as solutions for new business tasks.
According to Konstantin Istomin, executive director of Directum, the development will receive functionality for the digitalization of HR processes.
Not so long ago, Directum held a series of closed meetings with business representatives on the topic of translation into electronic form of personnel document management. At the end of the discussions, the participants came to the conclusion that this area today most of all needs automation, including the management of travel and advance reports, vacation planning. Automation of these processes significantly reduces the burden on the personnel service and accounting. Since absolutely all employees participate in HR processes, the effect of the changes will be especially noticeable, the expert believes. |
To support a wide range of tasks, Directum also released a new generation of its platform, which uses modern architectural solutions (microservices, asynchronous processing, a new UI\UX web client, etc.). The platform meets the needs of large companies and holdings, withstands a large user load. To reduce the complexity of customizing the system and supporting adapted solutions, tools are used to simplify configuration: development layers, tools for better visualization of process construction. In addition, the trend for import substitution is taken into account as one of the mandatory requirements for the system.
According to company representatives, AI-based mechanisms will penetrate deeper into the basic functionality of the system, eliminate routine labor-intensive procedures, as a result becoming an integral part of customer business processes. Directum solutions support the concept of smart processes. "Smart" means convenient for a person and effective for an enterprise. They do not have unnecessary stages, excessive actions, paper documents.
In general, there are many ideas for the development of Directum. We will not disclose them all, we will preserve the effect of surprise for our customers and competitors, - notes Konstantin Istomin. |
Docsvision
The developers of Docsvision are focused on developing the low-code toolkit of the Docsvision platform, expanding customization tools without development (mainly for the web client), ready-made widgets for various subject problems and expanding the types of solutions that can be created on the platform.
In addition, according to the president of the company, Vladimir Andreev, the development of the platform is going in parallel in 4 directions:
- Development of archive functionality,
- Development of business process management functions,
- Creating horizontal and vertical applications for functional units,
- Development of information team functions.
In addition, the company's specialists pay great attention to new approaches in organizing the user interface and tools for self-customization of the user's workplace.
Thesis
In the next one or two years, it is planned to update the design of the EDMS Thesis. Analytical work has already been carried out, which included interviewing customers and studying feedback.
In general, we strive to make the design more flexible and convenient, as well as reduce the number of clicks that the user needs to make in order to perform this or that action, - says Ilya Zaychikov, Product owner of the EDMS Thesis. |
In addition, the developers plan to further develop the EDMS Thesis mobile application, adding the most popular functions to it. At the same time, it should remain easy to master and use, representatives of the company say.
Also, according to Ilya Zaychikov, it is planned to transfer the EDMS Thesis to a new version of the CUBA platform.
This means that the product will support the most modern technology stack, therefore, customers will have the maximum freedom to develop their information systems and will be able to keep up with the times. Plus, the new version of the platform will improve the usability and add new features that are interesting for users. In general, we are constantly working to increase the performance of the EDMS Thesis and conduct load tests with more and more users, "he says. |
"Five Court|Document Flow"
Korus Consulting Group plans to expand the functionality of its own solutions. In particular, it is expected to modernize Five's Korus| the Document Management solution on the Microsoft SharePoint platform, including by expanding interaction with external services. It is planned to integrate with the bailiff service (FSSP), the Unified Federal Register of Bankruptcy Information (EFRSB), the state system "Justice," the website of the Prosecutor General's Office of the Russian Federation, etc.
In addition, according to Elena Piskunovich, head of the portal solutions department of Korus Consulting Group, the system will be replenished with analytical IT tools: from intelligent document recognition and automatic assignment of orders, depending on the complexity of the contract, to advanced analytics. The solution will be able not only to build risk forecasts in the legal and financial spheres, but also to present the results of the analysis in visual form - using dashboards and digital storefronts.
EOS solutions
Sergey Poltev, Head of the Department of Modern ECM Solutions of EOS,
The immediate prospects of EOS are connected with the further development of new developments, such as an archive of electronic originals of documents, providing storage of electronic documents and a the automated project management system (APMS) designed to support project management.
In addition, the company's products will continue to be improved in accordance with the current criteria:

EOS systems have a number of functional solutions that increase the speed of processing growing volumes of content. In particular, these are:
- Increase the speed of user interaction with the system by further improving interfaces and improving user experience;
- Built-in BI tools and visual visualization of summary data;
- New interfaces: speech recognition and synthesis;
- Application of artificial intelligence algorithms to search, annotate, classify, route queries and other tasks.
Business Logic Solutions
"Logic of Business" is actively working to increase the platform capabilities of its products, trying to enrich those functions that in one interpretation or another will be in demand in most application solutions. The main vectors of functional enrichment of products are three:
- these are legislative initiatives, for example, the transition to electronic personnel document management, legally significant exchange of documents, etc.;
- Requests from current and potential customers
- internal research projects on the applied application of innovative technologies such as blockchain, robots, machine vision, chatbots, etc.;
Now we are working to eliminate routine operations in our solutions using software robots in conjunction with services for intelligent data search, extraction and classification, as well as the creation of digital assistants who are trained when working with system users and can later replace them if necessary in a number of operations. In the future, users of our products will only have to make the necessary management decisions based on the prepared and analyzed data and communicate their decisions to the system in any convenient way, including using voice commands in natural language, "says Artem Moiseenko, head of the expertise and development department of Logic Business. |
LANIT Solutions
One of the priorities for the development of the EDMS direction of LANIT is associated with blitz implementations, i.e. projects lasting weeks, not months. As part of this process, the company released the LanDocs: Express solution.
We decided to create a EDMS solution that would be implemented in a very short time, about two weeks, or even independently by the customer. For large systems, this, you see, is a very non-standard approach to work, because usually the purchase of licenses is accompanied by a consulting project to configure the solution and implement it by a partner or the vendor himself. And we decided to simplify and reduce these measures as much as possible, - said Alexander Rodionov, director of the document management department, head of the LANIT Innovation Center. |
SER Solutions
German vendor ECMSER Group plans to offer customers the following innovations:
- Its own cognitive service using AI and ML technologies, which will allow you to extract information from unstructured content and classify documents based on several technologies.
- A federated search service that allows you to search various sources (mail, CRM, ERP) and consolidate search results in a single interface. Another application of this technology is the consolidation of data from several conditionally independent installations, which is relevant for some global companies.
- Integration with Office 365 Google Docs (Google Suite)
- Own solution for collaboration, based on the iRoom service. This interface is designed to include external participants in the system loop with full capabilities for data entry, search and participation in business processes. At the same time, a full audit of actions is being conducted and all data is processed in the same system.
In addition, the development of current versions of integrations with external systems such as SharePoint, SAP, Dynamics and others is expected.
In 2020, the company plans to complete the configuration of the global cloud version of the platform, on the basis of which it will be able to offer standardized SaaS services in most countries, including Russia.
If we talk about farther prospects, then, according to Dmitry Mervitsky, head of the SER representative office in Russia and the CIS, it is planned to implement support for new methods of entering and searching for information: voice input, extracting data from non-text images, etc.
For each of the strategic areas, we have an understandable and detailed development plan (roadmap), with which the development process is checked and which is adjusted depending on the trends of both the local and world IT markets, he says. |
M-Files
About the prospects for the development/-system, EDMSECM M-Files said the Svetlyn Savov director of development of the company, FTS Russia the golden partner of the corporation. M-Files
The Finnish developer continues to develop the document and information management system as a platform that integrates information from all enterprise systems without data migration.
According to the product development plan, many system functionality will be affected by the changes. Thus, the intelligent capabilities of M-Files for the automatic processing of large sets of documents are improved in order to reduce human participation. Intelligent content search and recommendations can help improve user experience.
Developers continue to improve already available artificial intelligence technologies in M-Files: automatic classification by document type, automatic extraction of important information from documents, automatic addition of metadata and start of workflows, automatic determination of metadata based on user behavior.
Although the M-Files platform combines all systems and information stores in the company through its own interface, the developers plan to integrate the system interface with other popular business applications for user convenience: M-Files for Salesforce, M-Files for SharePoint Online, M-Files for Teams, M-Files for Google G Suite, M-Files Advanced Outlook Add-in. Also, new connectors for external information storage will appear in the system.
Daily work in M-Files will also change thanks to a new web interface, new capabilities for comparing documents, online co-editing, improvements in user experience and system performance.
Other important changes will affect the M-Files cloud platform: the cloud architecture will change, new cloud demo spaces will appear and new tools and services for configuring and managing the cloud version of the system will become available.
CompanyMedia
CompanyMedia will soon acquire a new webdocs 2.0 interface. According to Vadim Ipatov, Deputy General Director of InterTrust for Business Development, this will be a new approach to organizing the work of managers. Also, the solution actively develops the intelligent functions of the EDMS, which will take control of routine operations in the system and reduce the share of manual work of users.
"First Form"
Denis Seleznev, General Director of the First Form, answering a question about new functions and capabilities, noted that artificial intelligence is gradually appearing in the First Form system. In addition, the company's developers are engaged in integration with RPA solutions.
Galantis
The promising functions of the Galantis ECM system, as told in the Galactica Corporation, relate to the use of container technology, the possibility of deployment in public and private clouds for dynamic load balancing and TCO reduction, as well as intelligent data processing technologies.
Documino
The Documento ECM platform, the ECM platform of ID Management Technology, expects a number of significant improvements that meet modern market demands regarding the functionality of ECM/EDMS solutions.
Today, the market has new requests: large-scale, "heavy" EDMS are increasingly expected to have the capabilities available in widespread user-class IT solutions: convenient intuitive interfaces, multi-platform, ease of search and data entry, - comments Mikhail Egorov, Deputy General Director of the company for strategic development. |
In this light, the product "ID Management Technology" - SEDO - expects the following new functions:
- Development of mobile capabilities. The trend in this direction implies the development of a mobile EDMS client, taking into account the needs of all users, from ordinary employees to top-level managers to work with documents "on the go" on user devices. So, for Documento, the ability to work with devices on Android and iOS is implemented, work is underway to create new functionality for these solutions.
- Support collegial opportunities. One of the main requests from clients: support for various options for collegial work within the framework of the EDMS solution. With regard to the Documento platform, a tool to support board meetings will soon be added in this area.
- Improving the user interface. The business needs digital tools built on advanced software development techniques, providing the ability to flexibly customize and expand functionality in accordance with employee requests. The third most important area of the next Documento changes is to improve the user interface through the continuous improvement of the convenience of working with corporate documents on any device and on any task.
2018: CEE/ECM Innovation
Artificial Intelligence and Machine Learning
Artificial intelligence and machine learning technologies are already having a tangible impact on the development of modern ECM systems. Thus, many system developers put in their road maps the possibilities for using big data processing and intelligent search in the development of products already in 2019.
All these innovative technologies are aimed primarily at ensuring and supporting digital transformation, without which it is difficult for a business to survive and successfully develop in difficult economic conditions, - said Alexander Axelrod, director of document management at Korus Consulting Group. |
The development of artificial intelligence and machine learning will be useful for the EDMS market/ECM, the Elena Ivanova marketing director believes. EOS
Of course, it is still far from the time when AI will replace at least the secretary, but the emergence of legal bots in Russia and abroad indicates that some of the routine functions can soon be painlessly assigned to artificial intelligence, she notes. |
Artem Permyakov, R&D Director of Directum, also believes that artificial intelligence will be the most popular and useful innovation in the coming years. According to him, AI can be used to digitalize content and digitalize interaction.
The appearance of content in the system and its processing will occur with the maximum participation of artificial intelligence, says Permyakov. AI is able to extract data from unstructured documents, classify them, tag them, enter them into the system and build further routing. This implies not only the identification of those responsible, but also the formation of automatic response projects based on historical correspondence data. AI can check not only the form, but also the content of documents: their completeness, availability and correctness of the necessary details, identify risks within the terms of the contract (advance payments, penalties, etc.).
In this process, the role of artificial intelligence is to exclude unnecessary stages, to reduce the burden on people who process documents. It is necessary to free them for more intelligent work, and leave the processes of entry and routing to the system, - notes the R&D director of Directum. |
As for the digitalization of processes, in this direction, intelligent tools will not only perform routine operations, but also independently make decisions based on data in the system that is not available to a person for analysis. We are talking about small in importance decisions that need to be made every day. There are a lot of such routine solutions, so they need to be transferred from person to car.
As an additional trend, we can highlight the robotization of processes using various add-on systems such as Robotic Process Automation. This technology cannot be called completely intelligent, but it is used in many large organizations. If artificial intelligence is the "brain" of a system that can analyze information and offer the shortest way to solve problems, then software robots are "hands" that can perform repeated routine operations on the orders of the "brain," adds Artem Permyakov. |
Alexander Rodionov, Director of the Department of Document Management Systems, LANIT calls machine learning technologies the next stage in the development of EDMS/ESM solutions.
A large amount of information comes to organizations from various sources: incoming requests in the form of applications from sites, instant messengers, social networks, emails with attachments in various formats, delivery of paper documents. Machine learning technologies are able to extract data from all formats and classify them. This will allow large organizations to manage all information in a single stream, ensuring increased efficiency of business processes such as customer relationship management, as well as production, procurement and legal activities, he says. |
Roman Konovalov, CEO of ID Management Technology, adds that artificial intelligence can help automatically, without the participation of company employees, standardize documentation. To do this, the system analyzes historical data, gradually learns - and at the output it will be able to independently draw up and adjust document templates.
However, you need to understand that there are many factors that hinder the penetration of innovation into the ECM sphere. First, customer concerns about data security are still strong. The mechanisms of most smart tools are still black boxes for business users, and they are not ready to trust business-critical data systems that can make decisions without human input, or whose principles they do not understand. Secondly, smart technologies have a number of technical limitations: from the size of the training sample to the quality of the data that is sent to processing. Until they are overcome, such solutions will not be included in the daily use of companies of different sizes, the expert believes. |
Vladimir Andreev, president of Docsvision, adds that so far we can only talk about individual pilot projects implemented by early innovators regarding artificial intelligence, and not about mass solvent demand.
Blockchain
Of the innovations that will be actively developing in the coming years, blockchain is also worth noting. Now the promising direction of technology development is the use of a chain of blocks to ensure the legal significance of documents placed in long-term storage.
The use of blockchain technology for storing hashes of a document allows you to easily and quickly prove its invariability regardless of the shelf life, - notes Directum R&D Director Artem Permyakov. |
Alexey Semidetnov, CEO of Conteq, adds that blockchain is actively used in niche products.
There are already solutions for analyzing risks when concluding contracts: semantic analysis of the text, analysis of counterparties for open data, analysis of the history of relationships. Including such solutions are actively implemented by us, - says the CEO of Conteq. |
Chat boats
The convenience of access to information and the speed of its processing now form the requirements for solutions that are based on technologies considered innovative. According to LANIT expert Alexander Rodionov, chat bots and messengers themselves are used to interact with EDMS in terms of reminder and notification systems, search for information, create requests and send messages.
Sergey Plunov, head of BPM and ECM at CROC, adds that chat bots can clarify the current status on a document or order, form a new order, etc.
Biometric authentication
According to market experts, the use of biometrics is also seen as promising: biometric authentication technology is actively developing and, possibly, in the future it will be integrated into EDMS.
For example, a Unified Biometric System is already being created in Russia to remotely identify citizens when receiving financial services. It is integrated with the ESIA and SMEV, which indirectly testifies to the prospects for the use of biometrics together with digital signatures or in return for them, - said the representative of the EOS Elena Ivanova. |
Other innovations
Denis Seleznev, the CEO of First Form"," lists a number of other innovations that can be used EDMSECM in/-systems. In particular, integration with voice recognition systems will reduce the time for managers to set tasks. Geotracking will help better manage employees. Predictive analytics will help you more clearly select task performers, profitable deals and promising customers.
Of course, we can call it big data - but rather it is just an evolutionary development of the abilities of information systems that were laid down a few years ago. The time has come for the monetization of smart technologies, - says Denis Seleznev. |
Vladimir Andreev, President of Docsvision, believes that in the context of digital transformation, which requires expanding the range of processes and the possibilities for their continuous improvement, the development of Low-code platform tools and the ability to implement projects according to Agile methods play an important role: in other words, the ability to quickly make changes to automated processes and get results short and low-time stages. These tasks require a special architecture and the availability of appropriate tools.
2017: EDMS/ESM innovations
All innovations that are now being developed on the market and implemented EDMSECM in/-systems are associated with market trends. That is why the developers are developing mobile versions and creating integration gateways for seamless work with other information systems. In addition, the possibilities of working together on documents are being improved, user interfaces are being "polished," new functionality is being added.
According to Vladimir Andreev, president of Docsvision, the leading edge is the embedding of artificial intelligence technologies, working with BigData, integration with instant messengers, including support for bots. Support for full cloud and hybrid configurations, including file storage on cloud assets, is becoming increasingly important.
Elena Ivanova, Marketing Director of Electronic Office Systems (EOS), says that the company in its systems will improve communications between users (there will be a messenger, chat, notification system), develop a search engine in terms of relevance and performance, as well as a process control system. Technologies such as Big Data, Machine Learning and IoT, according to her, are also actively used in EOS developments.
Victor Weinstein, CEO of Logic of Business, adds[1]for small and medium-sized businesses a modern, competitive ECM platform should be cloud-based. Simply because it is not economically feasible for an enterprise in the SMB segment to have its own ECM infrastructure. At the same time, for the enterprise segment, the modern ECM platform should have such properties as endless scalability, centralization, access to the system from any device, including mobile ones (it is possible that mobility will soon be the priority - Mobile First), intelligence, flexibility, reliability and security.
Enhance collaboration
Domestic developers of EDMS/ESM systems are following the path of expanding the possibilities of working together on documents.
This, in particular, says Sergey Evsikov, director of ASCON System. According to him, in Pilot-ECM, developers are striving to expand the ability of several specialists (users) to work simultaneously with one document. Parallelizing the process significantly reduces the time for preparing company documents - here and automatic resolution of conflicts, and tracking changes, and coordination. In this case, the document is updated on the fly, without rebooting.
Similar innovations await EDMS from 1C. Thus, Nadezhda Kochetkova, evangelist of 1C: Document Flow, says that in the new version of the system in 2018, it will not be necessary to prepare and collaborate with documents, since the system will allow: to simultaneously make changes to the document with parallel approval by several coordinating persons; automatically consolidate the comments issued by the approvers; Automatically generate a dispute report.
New functionality of mobile EDMS
Mobility is one of the most popular trends. According to the Sergey Tikhonov commercial director "," those First Form EDMSECM mobile applications that can implement complex business logic and support customized processes of a particular customer are in demand in the field. The mobile application should be able to adapt to business requirements in exactly the same way as the main EDMS\ECM solution. This is the only way to achieve the mobility of employees with minimal loss of quality of their work.
In our practice, at least 60% of customers show a lively interest in a mobile application. But few of them really understand what opportunities open up for the company with the high-quality implementation of a mobile solution. Now there is an accumulation of new management experience in modern conditions, when technologies are developing faster than management practices, "added Sergey Tikhonov. |
Vasily Babintsev, director of marketing at Directum, notes that vendors are taking steps towards digital transformation, and for users this implies completely paperless work. At the same time, mobile technologies play a special role here: ECM systems today include solutions for each category of employees.
Applications for managers provide remote management, the ability to review and sign documents on the road, at meetings, on business trips. Applications for ordinary employees allow you to involve non-automated personnel in processes and provide a simple interface for viewing orders and their execution. This is due to the penetration of chatbots and messengers into corporate systems.
The mobile "1C: Document Flow" will soon receive new features. Nadezhda Kochetkova from 1C said that the company plans to implement the possibilities of encryption and signing enhanced qualified electronic signature documents from a mobile client.
This will increase the convenience of legally significant interaction with counterparties, reduce the timing of the exchange of documents and, most importantly, allow you to quickly and without reference to the workplace to sign contractual and other types of documents, "she explained. |
Elena Ivanova, Marketing Director of Electronic Office Systems, says that the functionality of EOS mobile applications has advanced by several hundred percent:
The new mobile solutions server provides viewing of related documents, advanced event synchronization, the ability to search for documents online, storing the history of processed documents, editing issued orders, sending for secondary sighting, creating draft documents and initiative orders, and much more. That is, from a mobile client you can register a document, send it and revoke it back, create a draft document and curl it, find the document and put it in your personal folder. You can work with two tablets at the same time: from one at work, from another at home, and all data will be synchronized, although the work is not carried out in the cloud and the data is actually on the devices. We have also completely redesigned the entire interface. Now we have a unified interface on three platforms - Windows, Apple and Android. The user can change devices and he will not visually change anything. |
Embedding Related System Functions
Any modern competitive EDMS has a powerful process engine (workflow), which makes it quite close to BPM systems. Of course, the solutions of these classes are not identical and interchangeable, but from the point of view of automation of complex logic of document processing, modern EDMS have become closer to business process management systems. This, in particular, says Alexey Trefilov, director of ELMA.
In his opinion, in the near future we will continue to observe a progressive complication of systems, increasing their capabilities by adding the functions of previously adjacent systems in relation to them. Simultaneously with these cumbersome and complex solutions, small ones will appear, designed to automate simple niche tasks.
Going Beyond Traditional Document Management and Integration with Third-Party Systems In addition to classic document management, customers need more and more functions that automate their work.
According to Alexander Nazarov, Sales Director of Haulmont (Houlmont), the tasks of integrating EDMS with third-party systems, combining internal and external document management, and exchanging data with the internal portal or website of the client company come to the fore.
We strive to satisfy all the wishes of our customers. This year we added the "Comparison and Recognition" module, which uses ABBYY technologies, to the EDMS THESIS Document and Task Management System. Now the system can not only recognize the text of scanned documents, but also compare scan copies with versions of the same documents in office formats, - said a representative of Haulmont. |
Arthur Ishkhanyan, Senior Executive Director of ID Management Technology, notes that many organizations use EDMS not only for its intended purpose, but also as a tool for managing and analyzing data. Therefore, such functionality as intelligent document search, comparison of different versions, and meeting management are increasingly available in systems. Integration with other enterprise systems allows you to upload master data (key business data) to the EDMS and use it to quickly check documents and their compliance with the real state of affairs in the company.
Dmitry Golosovsky, head of marketing at InterTrust, also notes that the range of tasks facing customers is expanding and covering new functional areas that go beyond traditional document management.
Companies strive to optimize document-intensive business processes, the automation of which will reduce costs: purchases, inspections, etc. There was a request for intellectual and analytical capabilities of EDMS, - he adds. |
According to Vladimir Kokhan, Commercial Director [[|of Digital Design, an interesting opportunity that EDMS can receive in the near future is the use of artificial intelligence (AI) to solve typical document management problems.
Many traditional tasks can be solved by AI now more effectively than by humans, he is sure. |
Blockchain capabilities
Interest in blockchain technology continues to grow, it is used in various IT solutions, including EDMS/ESM systems. According to Viktor Weinstein, CEO of Logic of Business, the company is studying blockchain and already has the first pilot projects on which the connection of this technology with ECM solutions is being tested. He expects the first commercial projects to appear in 2018.
This technology has at least one positive aspect: it allows you to create ECM class systems for secure document exchange outside your organization based on a distributed electronic signature. Without the use of a single trust center that is easier to compromise. Potentially, this can help establish a trusting exchange of information between a large number of organizations that initially do not trust each other, even compete fiercely, but at the same time are forced to exchange information with each other, - explains the general director of Business Logic. |
Improving interfaces
Users expect a convenient and modern interface from any system they use. EDMS class products/are ECM no exception.
More and more attention is paid to the convenience of interfaces, EDMS developers have dedicated UI/UX specialists, and users expect that the principles of interaction with the system will be understandable without additional training, - said Vasily Babintsev, director of marketing at Directum. |
Elena Ivanova, EOS Marketing Director, adds that for three years her company has not stopped processing the interfaces of its products. In her opinion, today this is already normal, permanent work.
That is, it is impossible, as 10 years ago, to make a version with a new design and live with it for 5 years. Now everything is changing very quickly, and we strive to correspond to the spirit of the times, "she explains. |
JV Support
In an effort to meet the needs of public sector customers, EDMS will support Free Software (SPO). This trend has grown out of the need for import substitution of software.
As Arthur Ishkhanyan from ID Management Technology notes, Russian state organizations and enterprises needed affordable analogues of foreign solutions, not inferior to them in quality, but more loyal to the consumer in terms of cost of ownership.
Moving to open source significantly reduces license, support costs and makes solutions available to the consumer, he adds. |
Project cost reduction
According to Alexander Bader, Director of ECM Development at TerraLink, domestic developers of EDMS/ESM systems will strive to solve two problems: to reduce the cost of licenses for their products in every possible way, mainly by using shareware and open source products, as well as catch up with the leading Western products in terms of technological level.
It seems to me that these tasks can not be achieved very well at the same time, "says the TerraLink expert. |
In his opinion, in the context of this issue, it is necessary to talk not only about developers, but also about large integrators who are focused on the implementation of industrial products of the SAP and OpenText levels and who, like TerraLink, have development departments.
For us and for them, undoubtedly, the task of reducing the cost of projects is no less acute, but the approaches to solving it will be fundamentally different. For such companies, the main product task will be to create business solutions adapted for the Russian market, but developed on the basis of leading ECM/EIM platforms. Of course, the ORD is almost everything, and it is about this task that you always have to talk about in the first place, one way or another. However, there are other business content management needs and needs. Experience shows that for global and even simply large Russian companies, the use of industrial ECM platforms is the only way to reliably solve them, - believes Alexander Bader. |
