Compatibility with Tantor DBMS in Basic edition
Tantor Labs (part of the Astra Group) and Docsvision completed a series of compatibility tests for the Docsvision Linux Edition platform and the Tantor DBMS in the Basic edition. Experts carefully checked the correctness of the software stack and made sure that the functionality of its components is fully available to users. The operability and reliability of the integrated solution is officially confirmed by a certificate issued as part of the Ready for Astra technology partnership program. Astra Group announced this on June 28, 2024.
The Docsvision platform is designed to create document and business process management solutions. With it, you can create, coordinate, sign and store documents, assign tasks to employees and control their execution, differentiate access rights, log user actions, configure solutions without programming, and use an open API to integrate with other systems.
The collaboration between Astra Group and Docsvision began several years ago. We previously confirmed the compatibility of the Docsvision platform with OCAstra Linux, and testing its performance in conjunction with the Tantor DBMS was a continuation of our interaction. Collaboration with colleagues is important for us and for the entire market: until recently, almost everyone used foreign DBMS to manage, structure and update data, and now industrial and other organizations need independent techno-logies. EDMS work not separately, but always in conjunction with DBMS and other software, and it is important to make them all compatible. The use of Docsvision together with the Tantor DBMS will help many customers not only achieve their import substitution goals, but also increase business efficiency by building effective work on a high-quality domestic stack. Thus, our customers got access to a fully functional ecosystem that will seamlessly and simultaneously close issues in the field of business applications and databases, "said Vadim Yatsenko, CEO of Tantor Labs. |

Integration with MCD
Functionality for organizing work with the MFD on the Docsvision platform became available to customers and partners of the company from July 26, 2023 as part of regular updates. As part of the platform, functionality for working with MCD can be configured using low-code tools to support internal business processes in corporations as soon as possible.
The Docsvision platform automates the following MCD lifecycle-related business processes:
1. Creation of a power of attorney, including approval and signing;
2. Revocation of power of attorney;
3. Signing an electronic document using MCD;
4. Unloading and loading of power of attorney;
5. Synchronize data from the Authorization Guide.
The Docsvision platform already supports 3 MCD formats:
- version 002 - format for b2b document exchange with counterparties;
- version 5.01 - confirms the powers of the taxpayer's representative;
- version 003 is a universal format within the framework of document exchange with authorities and counterparties.
The transition to updated formats of electronic signatures and the use of machine-readable powers of attorney is a reality in Russian business. The rules will not be canceled, but could be rescheduled. Therefore, we comprehensively implemented these requirements in the Docsvision platform regarding the use of MCD in organizations. For example, they configured the synchronization of the authorization directory with powers of attorney, changed the interface for signing electronic documents, and supported the verification of the signature of powers of attorney. We plan to develop functionality so that working with the MFD becomes convenient for business, complies with regulatory requirements. We predict that the regulatory framework will improve, since this practice is both for business and for the state, said Denis Elkhov, head of the product development department at Docsvision.

An employee can create a machine-readable power of attorney in the same way as he creates another document through a ready-made form. It pulls up employee data and authorization codes from corporate directories. information You can describe an employee's authorization in free form if the reference book does not contain relevant data. After entering all the data, the power of attorney can be sent for approval.
Then the employee can download the agreed and signed power of attorney in the form xml-file and use it to register the power of attorney in the Unified Register or send it to the counterparty in a package (together with the document, signature) during electronic exchange of documents with the counterparty. If necessary, the power of attorney can be revoked (data on this must be transferred to the Unified Register of Powers of Attorney). The MFD card contains information: number, to whom and to what it was issued, who signed it, validity period, current status. You can download an xml file and a signature file from the card.

2022: As part of the solution to expand the ability of EDMS to load and process arrays of paper documents
Docsvision announced on May 25, 2022 that it had jointly presented a joint solution with Soica to expand the EDMS's ability to load and process arrays of paper documents. The joint solution is a stack of Russian technologies: Docsvision platforms and Soica's streaming recognition and automatic document processing systems, which will collectively increase the independence of Russian companies from foreign software.
We are developing the Docsvision platform as a set of modules. In particular, the solution architecture has a streaming input module, which is used in conjunction with scanners and specialized software for recognizing scanned documents. The streaming input module is in demand in projects with a large incoming document flow. Together with colleagues from Soica, we can guarantee uninterrupted work with documents for our target segment - large government agencies, banks, insurance companies, industry, construction, retail enterprises, - commented Sergey Putsin, Deputy General Director of Docsvision. |
Streaming input allows you to upload documents to the EDMS from the scanner and bind the scan and recognition results to new data or already available in the system. In conjunction with Soica technologies, employees of the office, accounting, legal department and other departments will spend half as much time processing the incoming flow of documents.
In developing the Soica platform, we have always focused on the manufacturability and versatility of the platform. Therefore, with the help of Soica, you can configure the most complex scenarios for processing any documents in a convenient graphical interface without a single line of code, from photographs of price tags to free-form contracts, as well as any sets of documents with all kinds of checks inside and outside the set. Partnership with Docsvision makes it possible to provide customers with a truly comprehensive and fully completed Russian solution that allows them to remove the task of import substitution and increase the labor productivity of employees of Russian enterprises engaged in the field of document processing, "said Viktor Goryunov, General Director of Soyka LLC. |

Updating the Platform and Web Client of the ECM System
On September 28, 2021, an updated release of the Docsvision platform was released. It responds to current business requests to create structured electronic archives, with different access rights to data, and organize turnkey storage for individual business units within large organizations with a branch structure. The platform release is available along with an updated web client, whose functionality also corresponds to the updated platform capabilities.
ECM systems, first of all, solve the problems of organizing the storage of electronic documents, their search and delimitation of access rights. According to the company "Docsvision," since 2019, the demand of this class of IT solutions has grown by 30%, for two reasons. The first is the transition to a remote format of work and the need to organize remote access to documents. The second is interest in the long-term storage of documents and the preservation of their legal significance. In response to market requirements, the Docsvision platform strengthened the functionality of the ECM system: scalability, fault tolerance, ease of work with electronic documents transferred to electronic archive, and access to them through an updated web client.
The architecture of the Docsvision platform continues to be developed in order to meet the requirements of companies from medium and large businesses. One of the changes to the presented release is support for multi-tenancy, when one server can work with several databases. This, for example, will allow companies with large holding structures to use one shared Docsvision server and several independent databases for each holding company. Also, multi-tenancy in the Docsvision platform provides companies with the opportunity to develop their own corporate Solution SaaS for paperless interaction with customers or suppliers.
{{quote 'Multi-tenancy in the platform is required by organizations with a distributed or holding structure, which, for example, develop or plan to implement a single electronic archive. At the same time, it is important for the organization to ensure the functions of long-term storage of documents with support for their legal significance, which is important when switching from paper to digital. This will allow the organization to eliminate significant costs of sending and storing paper documents, reduce the cost of collecting and preparing documents for various inspections several times, "said KrokIvan Rubtsov, Deputy General Director for Key Customers at IT company. - Also, companies whose systems are developed on the basis of the updated version of Docsvision will be able to develop other own Solution SaaS for paperless interaction, for example, the counterparty's personal accounts or the personal accounts of a company employee. }}
The previous release created the technological basis for us to quickly develop subsequent versions of the Docsvision platform. As a result, over the year, we have improved the platform for solving urgent business problems related to the storage of documents and access to them. Such demand is fueled by changes in the regulatory framework, for example, associated with the transition to electronic personnel document management, with the organization of long-term storage of documents, as well as a decrease in the threshold for entering the tax monitoring program. So that users can fully appreciate the capabilities of the Docsvision platform, we have significantly improved the web client in terms of working with documents and leaving the digital office from the paper. We continue to develop a platform for solving large-scale projects and for the convenience of individual users. For example, the interface can be configured for independent requirements of top management, departments or individual users, remaining in one system based on the Docsvision platform, - commented Sergey Putsin, Deputy General Director of Docsvision. |
An updated web client (and this is already the 16th version of the product), responds to platform changes and closes tasks for working with documents in digital format, including transferring to archive and maintaining a list of cases. For example, users can download and upload documents from the system along with electronic signatures.
Work continues to ensure that the web client interface is convenient for users and supports functionality that simplifies and speeds up work, minimizes duplicate actions. The updated release has expanded user functions in terms of managing folder structures, editing employee directories.
{{quote "Taking the best of version 15, namely the ability to create personalized interfaces within the Docsvision platform, in this release we have improved the functionality available to users in terms of managing their workspace. Now you can create a folder structure for yourself and work with the selected project team in this environment. We continue to improve the web client for more convenient work of users and system administrators, - commented Olga Karacheva, chief business analyst at Docsvision. }}
Add a script for working with external electronic documents through the Taxcom cloud
The partnership of the developer of the Docsvision platform and the operator of electronic document management "Taxcom" made it possible to create a solution for customers who need a comprehensive implementation of EDO at the enterprise: internal and external. The Taxcom company announced this on August 16, 2021.
Source Data The Docsvision platform allows the company to build an internal environment for working with documents, to combine distributed departments and territorial departments into end-to-end business processes. In connection with the transition to a remote or hybrid work format, interest in full-fledged EDO from two types of clients has increased:
- previously not implementing EDO in the company;
- already having a Docsvision platform for internal corporate EDO, but wishing to connect EDO with counterparties.
The development of a single solution for EDO was also prompted by the requirements of legislation on the mandatory transfer of all large types of documents into electronic form. The Federal Tax Service has developed the Concept for the Development of Electronic Document Management in Economic Activities (approved by by decision of the Presidium of the Government Commission, Protocol No. 34 of December 25, 2020). The document notes that the gradual development of EDO in Russia by the end of 2024 may lead to an increase in GDP by 4-5% in the accumulated total (as a percentage of GDP in 2019).
The state plans to transfer 95% of invoices issued by business entities, 70% of the transport and consignment notes they form into electronic form by the end of 2024.
This pushes companies to connect comprehensive EDO solutions in order to automate their processes under the requirements of the law.
Business in the next few years will need a product at the junction of internal and external EDO. First, it is necessary to provide customers with the opportunity to work in the format of one window without switching between different programs. Secondly, to ensure the seamless movement of electronic documents in the solution, starting from their receipt from the counterparty and ending with the final approval within the company.
The Docsvision platform is aimed at closing the tasks of the internal EDM, and the Taxcom services are aimed at organizing an external EDM, but with the content of some elements of the EDM. Partners have created a solution that allows you to combine two functions - to give customers the opportunity to work in a single window in the internal and external document flow chain.
With the support of Taxcom specialists, a full-fledged scenario for working with external electronic documents has been added to the functionality of the internal EDO in the Docsvision platform. In one window, clients can:
- exchange formalized documents (for example - APD, UKD) in both directions, that is, work with both incoming and outgoing documents;
- exchange informal documents (for example - contracts, accounts, additional agreements, appendices, specifications);
- work with the functionality of unilateral and bilateral signing of documents;
- monitor the status of documents;
- exchange documents with counterparties connected to other EDM operators (c roaming);
- exchange requests for cancellation of documents and sign on both sides.
When an employee needs to agree on an agreement with a counterparty, in the system based on the Docsvision platform, he creates an appropriate document and sends it for approval within the company. As a rule, the approval route is determined by the system itself depending on the terms of the contract: its amount, counterparty and department that works with the document. After agreement of the contract, the manager signs it, and the responsible employee sends it from the internal system to the Taxcom cloud. After signing the contract by the counterparty, you can upload it to the Docsvision system, check the validity of the signature and all - the companies have made a legally significant exchange of electronic documents.
The opposite situation is when the counterparty sent documents through the Taxcom service for signing to the Docsivison client. In this case, using the Docsivison platform, the client can not only download the received ones, legally significant documents but also send them for familiarization or approval to the responsible employees within the company within the framework of the EDMS, and after signing them again send them to the counterparty. In this case, all work takes place in the single window mode of the Docsvision platform. For additional convenience, you can set up notifications on e-mail the receipt of documents for signing in " cloud Taxcom"

Integration with Kontur.Extern
Integration Docsvision platforms with a reporting system Internet Kontur.Extern through API allows companies to speed up the processing of requirements from tax authorities based on the results of office audits. This was SKB Kontur announced on December 2, 2020.
With this solution, the requirements and letters from the IFTS are automatically loaded into the Docsvision system, and the organization can quickly prepare answers without risk of getting a fine and optimize the staff of specialists responsible for finding the requested data.
Employees of the accounting and financial services, who work in the Docsvision system and have access to a single electronic archive, through integration with the Contour service. Extreme receives requests from the tax authorities. In single window mode, the risk of missing the received request is excluded. The responsible employee sees the corresponding notification and prepares a response to the request. To find the necessary documents in the Docsvision system, it is enough to specify the name of the counterparty organization, period or other parameter. All documents from counterparties with details are stored in a single archive: both scanned copies of paper copies received by mail or courier, and electronic documents transferred through EDO operators.
As a result, it takes several minutes to find and send documents. Employees are relieved of the routine work of collecting and checking the completeness of sets of documents manually.
Also, thanks to integration with the Contour service. Extreme, the user in the Docsvision system interface will be able to send a receipt for receipt of a request, see the response date to the request, and see letters and requirements that have not been answered.
{{quote 'author = said Aleksei Rozhdestvensky, Business Development Manager "Docsvision" |
Our solution greatly simplifies the preparation of documents in response to requests from regulatory authorities. It is enough to form a request to search for a document in an electronic archive, select the necessary documents and send them in response to the request. This reduces the burden on personnel during office inspections after reporting, and most importantly, it eliminates the risk of not finding the required documents and not submitting them on time, }}

2018: Docsvision 5.5
On November 19, 2018, the company Docsvision"" introduced version 5.5 of the platform, Docsvision which is fundamentally different from the previous ones in a completely redesigned architecture, serious optimizations and the implementation of other functions and requirements for modern/. EDMSECM
As the developer noted, research, experimental projects and development took 4 years of hard work. The changes affected all levels of the system architecture. The most significant of them affected the storage layer. Data Base was reorganized and divided into logical elements, which made it possible to divide business data and service data into separate databases, and thereby eliminate conflicts for DBMS resources when working with data. Docsvision 5.5 introduces the ability to build a load-sharing database cluster between multiple servers.
The architecture has a single cache server based on redis, which reduces the load on the database by reducing access to it, increases the speed of access to previously requested data. Separately, a file storage management service was allocated, which allows you to store binary data outside the main database - for example, on the file system or in a separate database, and if necessary, you can connect any other storage, for example, a cloud service. At the same time, tools for flexible configuration and management of the storage structure are provided, emphasized in the "Docsvision."
According to the developer, this allows us to talk about the wide possibilities of horizontal scaling of the system: the platform is ready for the simultaneous operation of tens of thousands of users and the processing of many terabytes of data, provides the ability to increase the number of users without reducing performance. You can optimize storage costs, simplify system maintenance, and minimize the time required to back up data.
The changes also affected full-text search. The full-text search service is separated into a separate entity - it can be placed on separate servers, clustered if it is necessary to scale the load and allows you to search, including from data stored outside the database. As a search engine in the presented version, you can use not only Microsoft SQL Server tools, but also scalable Elasticsearch. At the same time, the service leaves the possibility of connecting other search engines.
Another significant change that will affect the simplification of installation and subsequent updates of client solutions is the transition from a monolithic platform structure to a modular 5.5 architecture. The platform is divided into logical modules that can be autonomously installed, improved and updated, noted in Docsvision.
How the Low-code platform Docsvision 5.5 allows you to design applications without programming due to the next development of visual design tools. The Docsvision web client becomes fully customizable, which in version 5.5 is translated into a single platform - this will simplify and speed up the development of solutions using the web and ensure their full backward compatibility, the developer believes.
The web client implements mechanisms for advanced electronic digital signature using time stamps that allow you to store documents for 15 years, all the basic tools for configuring platform solutions are supported. The performance of individual elements has been improved and numerous system optimizations have been added, including those implemented for the previous version 5.4, which were available as patches and cumulative updates. Certification at FSTEC
In December 2017, Docsvision completed the certification procedure for compliance of the security functions of the Docsvision 5 software platform with the requirements for protection against unauthorized access to information according to the 4th level of control over the absence of undeclared capabilities and product specifications. This enables companies with increased information security requirements to confidently use solutions for automating electronic document flow and business processes based on Docsvision 5.
First of all, the availability of a certificate is relevant for customers from the public sector, large mining and production enterprises of strategic sectors of the economy, as well as companies operating with large amounts of personal data.
In general, the received FSTEC certificate allows the use of electronic document management based on Docsvision 5 in the following systems:
- In automated systems up to the security class 1G in accordance with the guidance document the Guidance Document. "Automated systems. Protection against unauthorized access to information. Classification of automated systems and requirements for information protection "(State Technical Commission of Russia, 1992);
- In state information systems of class 3 and 4 of security in accordance with the Requirements for the Protection of Information Not Constituting a State Secret Contained in State Information Systems (approved by Order of the FSTEC of Russia No. 17 of 11.02.2013);
- In personal data information systems in accordance with the "Composition and content of organizational and technical measures to ensure the security of personal data during their processing in personal data information systems (approved by Order of the FSTEC of Russia No. 21 of 18.02.2013), for which type 1 or 2 threats are not relevant.
The validity period of certificate No. 3801 issued on September 20, 2017 is 3 years.
A similar certificate was received by us earlier and was valid for the previous version of the system, Docsvision 4.5. Since most of our large customers have switched or are still switching to the latest version of Docsvision 5, we needed to certify it. Docsvision's security mechanisms only intensified during this time, but the requirements for FSTEC certification changed, and therefore it was necessary to re-pass all the necessary certification tests according to the updated scheme. This requires quite a lot of effort and time, but the result justifies them, - said Viktor Sushchev, head of the service department of "Docsvision." |
Konica Minolta and Docsvision joint solution
On September 4, 2017, the Russian division of Konica Minolta and Docsvision presented their first joint decision under the concluded strategic cooperation agreement.
The goal of the partnership between Konica Minolta and Docsvision was to offer customers a joint comprehensive solution that combines the hardware and software necessary at all stages of the life cycle of the company's documents. The peculiarity of the solution is that it can be offered as a service in which vendor companies fully take over the service. As noted, companies have already launched several joint projects.
The first joint solution between Konica Minolta and Docsvision is a single hardware and software complex "Electronic Archive." It includes: Konica Minolta MFP for scanning paper documents and their subsequent printing from an electronic archive, Konica Minolta software for recognizing the text of scanned documents, and Docsvision system for secure storage, search and management of information.
Having received the status of a certified partner for the implementation of EDMS Docsvision, Konica Minolta implements a joint solution. In turn, Docsvision intends to obtain the status of a certified partner of Konica Minolta for the provision of print outsourcing services. The companies also plan to continue developing joint products.
The open business concept used at Konica Minolta involves engaging partners and manufacturers of hardware and software to expand the portfolio to meet market requirements and customer needs. The global task of our partnership is to provide software and hardware solutions and related turnkey services - from design and implementation to technical support, "said Nicolai Dmitriyev, President of Konica Minolta Business Solutions Russia. - For customers, this is an opportunity to create a single environment that combines document management and print infrastructure, ensure further control and management of the environment, build a secure document management system and optimize the company's existing costs. For Konica Minolta, the partnership with Docsvision is one of the most important steps towards the announced transformation from a printing equipment vendor to an IT infrastructure solution provider. |
Update of the integration module with EDM operators
On September 1, 2017, Docsvision upgraded the integration module of the Docsvision electronic document management system with EDO operators. A module that allows you to exchange documents with counterparties without leaving the EDMS interface now supports the format of a universal transfer document (UPD). Connection is possible in the future to any operator, while the ability to exchange documents through the "Diadoc" system is implemented by installing the "Connector to Diadoc" for Docsvision 5. Support for the electronic PDU format in the new version of the module is implemented in accordance with the Order of the Federal Tax Service of 24.03.2016 No. MMV-7-15/155 @.
The universal transfer document, introduced in force since 2013 and legalized by a letter from the Federal Tax Service dated 21.10.2013 No. MMV-20-3/96 @, replaces several documents, depending on the company's processes, which significantly reduces the volume of document flow. APD can be issued for the supply of goods, services or works, the transfer of property rights. Electronically, you can use the PDA instead of the invoice + original document package, instead of the original document, instead of the invoice. The document flow of the electronic UPD is separately regulated by Order of the Ministry of Finance of 10.11.2015 No. 174n.
The updated integration module allows you to send from Docsvision a correction PDA and a correction PDA, exchange outgoing PDAs. All receipts and notifications from the operator are sent, received and stored, which is important from the point of view of data validation if necessary. The printed form of the document has been implemented.
The previous version of the module supported work with informal documents, the processing of which is not standardized and can correspond to typical Docsvision EDMS processes.
All electronic documents sent and received to Docsvision through the EDM operator are signed by a qualified electronic digital signature and have legal force. The module works with any types of customer EDMS cards, supports group sending of documents through the Docsvision navigator, sending of the document without opening additional cards by the user.
As of September 1, 2017, a connection to the Diadoc system was implemented through the "Connector to Diadoc" for Docsvision 5. You can use the existing API to develop your own connector. Version 2 of the integration module with EDM operators is relevant for version Docsvision 5.4.
Integration with SafeCopy
The integration of the Docsvision electronic document management system with the SafeCopy solution prevents the distribution of printed and electronic confidential documents, as well as their (photo) copies stored in the EDMS. This new opportunity is the result of a technological partnership between Docsvision and the Research and Testing Institute of Integrated Security Systems (NII SOKB), which began in 2017.
In electronic document management systems, documents of a confidential nature are accumulated day after day. Protecting this category of documents is becoming an increasingly urgent task.
In 67% of cases, the culprits of information leaks were employees of companies. Critical information of the company is at risk, and the amount of potential financial damage can reach the cost of the entire business. At the same time, it is extremely difficult to control the actions of privileged users whose access to information is practically unlimited.
The technologies offered by experts in information security - the company "NII SOKB" - will simplify this task for users of the Docsvision electronic document management system. Integration of Docsvision with SafeCopy prevents the distribution of printed and electronic confidential documents. Each user in the Docsvision system who has access to printed and electronic confidential corporate documents will work only with their own unique copy, the distribution of which will lead to an unambiguous determination of the source of the document leak.
Support for up to 100,000 concurrent users
On April 24, 2017, Digital Design announced that it had completed load testing of the Priority Documentation Management System (SDS) based on the new version of the Docsvision 5 ECM platform. During the load tests of the "Priority" SDS, the full operability of the system was confirmed up to 100,000 simultaneous users. The response time for key operations was less than 3.5 seconds. Measurements were made on a real impersonal database of one of the large clients, containing complete information accumulated over 7 years of work: the number of documents is more than 7.5 million, and the size of structured database information is more than 1 TB.
All tests were carried out in conjunction with the Cluster Technologies Softpoint company. The loading stand was further expanded data storage by the company's more productive system. RAIDIX
According to Sergey Gaidamakov, executive director of the Digital Design production directorate, load tests were carried out when emulating a different number of users, and the full performance of the system was confirmed up to 100,000 simultaneous users, the response time for key operations was less than 3.5 seconds. Sergey also noted that the measurements were made on a real impersonal database of one of the large clients, containing complete information accumulated over the seven years of the organization's work: the number of documents exceeded 7.5 million, and the size of the structured database information was more than 1 TB. At the same time, the initial settings of the role model, representations and search queries were saved, i.e. testing was carried out completely in "combat" conditions.
During testing, experts recorded various indicators of the system components of the old and new version of the Docsvision platform, compared them with indicators obtained from the industrial landscape during the real work of users. In order to obtain more accurate analytical data, load testing of "Priority" WBS per 100,000 simultaneous users was performed under various scenarios and in different modes of system components configuration.
The performance indicators of the system components during the real work of users and in the test environment practically coincided with the same number of simultaneously working users, which confirmed the correctness of load tests. A comparative analysis of the performance of the system based on the old version of the Docsvision 4.5 platform and the new one - Docsvision 5 ECM showed that with an equal number of simultaneous users, the new version of the system can reduce the load on servers and databases by more than half and achieves a twofold increase in the speed of operations.
New features of the Docsvision 5 web client: web card builder and backward compatibility
On April 14, 2017, Docsvision released a new version of the Docsvision web client (formerly the Easy Client), as well as an update to the Docsvision card designer. Now the designer allows you to configure the markup of web cards, and the web client allows you to work with cards configured in the designer.
Now customers and developers can visually design the web interface of their electronic document management system and adapt it to the needs of the business. The interface of the new web client is fully adapted depending on the context and role of the user, as well as the type of device with which the user works: laptop, tablet, phone. In addition, everything that is configured/configured in the card designer is supported - the state machine, role model, card data scheme. As a result, there are more options for configuring the web client than in a regular Windows client. This is both adaptability for various devices and the ability to use CSS style templates.
Designers provide the flexibility of the Russian Docsvision 5 platform in creating solutions for managing documents and business processes. With the updated card designer, the customer gets equal opportunities to configure the interface and functionality of the EDMS for both clients - windows and web.
Today, vendor companies are striving to provide users with access to all system functions through a web browser, "says Sergey Putsin, head of the DoxVision product area. - "We went a little further. Usually, when trying to repeat everything that the user has in a desktop application, the form is overloaded with controls. What it looks like, I think everyone can imagine. The Docsvision web client is precisely the "WEB," not the mirror of the desktop system. Web constructor allows you to configure the interface in the form that users are accustomed to working in the most popular Internet applications. The appearance of controls, their location, the way data is entered - literally everything can be changed for convenient and productive work. You can also apply the company's corporate identity to the new Docsvision web client. We are confident that soon the web client will become the main client of the system. |
In addition to the rich interface configuration capabilities, with the new designer in Docsvision, it is possible to create backward compatible software extensions for the web client, erasing all restrictions on the ability to adapt the system to business needs. Despite the unprecedented modification capabilities, the Docsvision 5 platform provides backward compatibility: a design solution built using these tools and an open API can be seamlessly transferred to subsequent new versions of the system's web client, without limiting the user's access to all emerging product capabilities and allowing you to fully preserve the value of your developments and user skills. The web cards of the built-in Document Management application are now also implemented on the new designer, and they can be edited during system configuration, which is a very popular functionality for customers.
The released new version of the Docsvision web client (formerly the Docsvision Lightweight Client) - the eighth in a row - was an important step towards the global technological update of the Docsvision 5 platform, aimed at creating a new generation ECMBPM of domestic/corporate level.

Intercompany exchange module for Docsvision 5 platform
For organizations with a distributed structure that need effective interaction between departments, Docsvision released in January 2015 a module for the Docsvision 5 platform - the Intercompany Exchange Module.
Geographically distributed organizations inevitably face the question: work with remote branches with the server of the parent organization, or install a local server and implement intercompany exchange? The prerequisites for choosing the second option are, as a rule, the presence of a developed document flow in the branch office and processes that close inside, as well as poor communication channels that make it difficult for remote users to work with the central server.
The intercompany exchange module ensures the transfer of tasks and documents from the Docsvision system of one division to the Docsvision system of another, combining them into a single information space and solving a number of tasks for working with documents and tasks. Documents are transferred between systems, orders are issued and controlled to employees of a remote division, documents are agreed upon by employees of remote branches of the company, end-to-end business processes are built, and not only.
The uniqueness of the module is in the possibility of its adaptation to the needs of a particular customer. It not only contains predefined basic exchange scenarios, but also allows you to configure rules and scenarios for interaction between systems in an arbitrary way, in accordance with already adopted rules and regulations. The advantage of the module is the presence of various methods of data transfer: both directly when one server is directly connected to another, and through an intermediate file storage. This allows you to exchange data with departments even if there is no permanent Internet connection, and, moreover, it is possible to use an arbitrary transport subsystem.
The module was created in close cooperation with a partner in Novosibirsk - ECMGroup.Pro - Docsvision Certified Solution Partner Gold. The company took part in the development and shared its expert experience in the implementation of interfacial interaction. The Docsvision Intercompany Exchange Module is the result of a generalization of a number of successful multiserver configuration projects implemented.
Docsvision 5 Migration Utility
As part of a comprehensive proposal for the transition to Docsvision from foreign solutions, Docsvision offers to use a special utility. The migration utility ensures high quality and error-free migration of data from the most popular ECM systems EDMS in Docsvision. The development is based on many years of project experience of Docsvision 's partner, the company. HIT-Service
Data migration between systems implies a certain sequence of actions and the transfer of a number of related objects. The solution created will avoid typical and possible errors when transferring large amounts of data between electronic document management systems, making the process safe, convenient and efficient. The utility can be used as a ready-made solution or with modifications to customer requirements in the migration project.
The transfer of accumulated data to Docsvision with the preservation of its integrity and properties using this solution can be carried out from the most popular foreign solutions: OpenText, Documentum, Microsoft SharePoint, Lotus Notes.
The developer is HIT-Service, a partner of DoxVision - Docsvision Certified Solution Partner. The broad competence of the company, acquired during the implementation of projects for the transition between various document and process management systems, formed the basis of a solution, especially relevant in the light of the trend of import substitution.
Archive Management Module
Digital Design developed and introduced in early 2015 the Archive Management module for electronic document management systems on the Docsvision platform (versions 4.5 and 5). The solution is designed to automate the work of the company's archive in terms of picking, storage, accounting and use of documents, which reduces the number of errors and eliminates the possibility of losing documents.
The Archive Management software module provides comprehensive automation of the company's archive activities - from maintaining the company's business nomenclature to destroying documents or transferring them to state storage.
The module allows you to complete the archive, organize the storage of documents and keep records of their movement, as well as track the shelf life and allocate cases intended for destruction or for state storage. In addition, the solution provides the opportunity to generate final information and reports that provide a visual picture of the state of affairs in the organization.
The architecture of the module ensures the operation of users from the standard Navigator AWS and storage of documents and reference books in a single Docsvision EDMS database, which facilitates its deployment and administration.
As noted in Digital Design, the "Archive Management" module fully complies with the requirements of the "Basic Rules for the Operation of Archives of Organizations" and allows you to automate work with the archive at an enterprise of any scale: small, medium, large, including structurally and geographically distributed enterprise that performs centralized departmental storage of documents.

EDMS DocsVision 5
DocsVision 5 is a comprehensive solution for automating all classes of tasks on a single platform. In its information system, Docsvision has already switched to using a new platform for managing documents and business processes.
Docsvision 5 features a flexible interface as well as powerful rapid development tools, including visual design tools. A key platform change is the existence of about seven different designers that allow Docsvision partners and customers to configure the system for users, as well as develop solutions based on the Docsvision 5 platform without using programming.
The advantage of Docsvision 5 is the electronic signature functions implemented in the new platform that comply with the requirements of Federal Law N 63-FZ of April 6, 2011. In addition, in order to improve security, Docsvision 5 has implemented a new unique context-role model mechanism that provides a dynamic distinction between access to documents based on their content and processing context.
As part of improving the performance, reliability and convenience of the Docsvision system modules, in 2011 the developer company switched to a proactive model of managing the development and testing of the company's products. Performance and reliability testing is performed for each module based on a custom test bench that reflects a typical large enterprise. Each product release is designed with set, ever-increasing performance and reliability targets.
Deliveries of the new Docsvision 5 platform will begin with a base version after the stabilization and optimization of the Document Management application, which is part of the base version of the system, is completed. Docsvision 5 is currently available to Docsvision partners on request.

Application "Document Management" - a ready-made application solution for electronic document management. It is part of the platform and serves as the basis for other, more specialized, Docsvision 5 applications and custom solutions created during implementation. It implements the main functions of electronic document management, which are in demand at any enterprise. With it, you can make everyday work with electronic documents and tasks convenient and effective.
All basic actions with electronic documents are available in the application:
- Reliable storage and easy classification;
- Flexible delineation of access rights;
- Change documents and save their versions;
- Search by attributes and text of documents;
- Approval, signing and approval of documents, as well as familiarization of employees with them;
- Electronic signature of the document;
- Work with tasks: their creation, execution and control.
The application has all the main elements necessary for work:
- Typical storage folder structure by document type and functional structure of the enterprise. Folders are configured with appropriate views. Search queries are configured to search for documents.

All elements can be customized for the customer. In addition to Document Management, you can use other specialized Docsvision 5 applications, as well as create custom solutions during implementation.
Designers
Designers are a key concept of the Docsvision 5 system, providing its versatility and adaptability.
Customers need fast, cost-effective, and easily modifiable implementations. In traditional technology for creating software solutions from scratch, this is practically unrealizable. All this is possible only if we have at our disposal designers: basic objects and means of creating and configuring new ones on their basis - without programming. Not only the total time and cost of creating a solution is reduced, the process itself and its participants are fundamentally changing: it is not a programmer who can develop a solution, but a specialist who has a good understanding of the subject area and has mastered the design tools, rapid prototyping is actively used instead of a long collection of requirements and design, etc.
It was on the principle of such a subject-oriented designer that the Docsvision 5 system was built.
The basic objects from which the solution is built are folders, document cards, tasks and business processes, reference books, views, searches, reports, etc.
Accordingly, the design tools are:
- Folder Designer;
- Reference Guide;
- Category Guide;
- View Designer;
- Search Query Designer;
- Card design tools
:
Card Type Guide;
Markup Designer;
State Constructor;
Role Designer;
Script Designer.
- Numbering Rule Designer;
- Reference Book Designer;
- Business Process Designer.
In Docsvision 5 constructor technology, programming is used only in the form of scripts that determine the additional logic of the behavior of cards and actions in business processes. Thus, designers that complement the platform core and ready-made solutions allow for fast, cost-effective and easily modifiable implementations.
Technologies
Docsvision 5 is built in the modern three-layer architecture "Client Application Server - Database Server":
- Database server - based on Microsoft SQL Server, stores all data and system settings, supports Windows failover cluster, and its own load-sharing clustering technology;
- Application server - based on Microsoft IIS in the stateless architecture, serves client requests for data access, NLB clustering is supported for fault tolerance and load balancing;
- Client -.NET application, with the ability to run through a web browser, controls the input and display of data for the user.
- Lightweight client - a web service that provides access to basic user scenarios without installing software through the most popular web browsers.
Many client-server communication protocols are supported, including HTTP (S )\SOAP, which allows users to work both on the local network and remotely over the Internet in the same way.
In addition to the standard Docsvision Navigator client, additional Docsvision clients are provided for special use cases, including for special devices and embedded in the interfaces of common office systems: Lightweight client, SharePoint client, Microsoft Outlook client, Manager's Tablet for iPad, mobile informer and assistant for smartphones, etc.
Docsvision 5 has open application programming interfaces (APIs), which allows you to develop platform-based software extensions, highly specialized applications. For integration with other enterprise systems, Docsvision includes gateways to the most common systems (file system, e-mail, Microsoft SharePoint, 1C : Enterprise, etc.) If there is no gateway in the system, you can use the API for integration.
WEB services are implemented to access the main functions of the platform.
Scaling
Docsvision 5 can work efficiently both in local solutions for several users and in distributed solutions with thousands of users.
Load tests carried out with the Docsvision 5 platform confirmed its ability to work at the following load indicators:
- Thousands of users;
- Documents per day - tens of thousands;
- Documents in total - hundreds of millions;
- Database size - tens of terabytes.
For large scale solutions, the implementation develops the optimal architecture and performance of the software and hardware complex, operating modes, optimized application components and solutions are created.
Scaling within one server complex is provided by platform tools, Microsoft support for multiprocessor configurations and 64-bit mode, clustering all components: database server, application server, workflow server.
With territorial distribution of solutions, Docsvision 5 supports two strategies:
- Remote client access to the server: web access, terminal access;
- Server-to-server communication.
In real solutions, one, and the other, and mixed approaches are used.
Safety
Docsvision 5 provides a high level of data security. The platform security system is based on the security mechanisms of the Microsoft platform. Users do not have direct access to the database, all their requests are managed by the application server.
It is based on two Windows security-integrated mechanisms for accessing documents and other system objects:
- Discretionary - assignment for each object of a list of users with access to it, delimited by levels: Full access\Delete\Read data\Write data\Create child objects\Delete child objects\Copy\Read permissions\Change permissions\Change ownership;
- Mandate - assign a level of access to each object, and a level of access to each user, and prohibit work with objects of a higher level of secrecy.
This supports automatic inheritance of rights from parents to children.
In addition, Docsvision 5 implements a unique mechanism for customizable context-role security, which allows you to dynamically manage user rights to actions with an object (including at the level of individual fields) depending on the user's role and the state of the object during the processing life cycle.
To ensure the authenticity and invariability of the documents required for their legal significance, support for electronic signatures of all three types provided for by Russian legislation (No. 63-FZ) is implemented:
- Simple - implemented by calculating the hash function using the built-in means of the system;
- Enhanced - implemented by integration with external CIPF and PKI through Microsoft CryptoAPI (for example, tools built into Windows);
- Qualified - implemented on the basis of enhanced use of certified CIPF and special organizational measures.
The Docsvision 5 system meets the requirements of FSTEC on the basis of RD "Computer Equipment. Protection against unauthorized access to information. Indicators of protection against unauthorized access to information "(State Technical Commission of Russia, 1992) - according to security class 5, and can also be used when creating automated systems of security class up to and including 1G in accordance with the requirements of RD" Automated Systems. Protection against unauthorized access to information. Classification of automated systems and requirements for information protection "(State Technical Commission of Russia, 1992), and personal data information systems up to and including class 2.
Basic System Capabilities
- Compatibility with business process description standards;
- Creating a library of information processing business process templates in the organization;
- Execution and monitoring of processes, introduction of changes in real time;
- Combination of rigid and free document routing elements;
- Software expansion of processing processes;
- Inclusion in the processes of processing system objects and exchange of information and documents with application systems;
- Synchronization of the process of processing documents by time and by events;

The DocsVision platform is the basis for electronic document management - the creation of a document and business process management system and includes only the main elements intended for storing information, accessing it, as well as providing the user with a familiar and convenient interface. The platform consists of client and server parts.
Server components allow you to create all the necessary structures for storing data (accounting cards and electronic document files) and maintain their integrity in the future, ensure the receipt, update and deletion of data by the client in accordance with access rights, as well as many other functions. Client components provide an end user with a user-friendly and easy-to-understand interface to handle all of the information contained in the database, including searching, viewing, and modifying it.
The main client component of the DocsVision platform is the Navigator, which provides access to all DocsVision objects: viewing the tree of folders and cards located in folders; Display the contents of cards and group them by specific characteristics Search for cards according to the specified criteria, as well as create new and edit existing documents. The navigator works as an application in Microsoft Internet Explorer.
For clarity and convenience of working with electronic documents, cards are grouped into Folders similar to Explorer folders, providing logical and orderly storage of documents in accordance with the rules established in the organization.
Document registration forms - document cards - can differ in each individual organization and be developed by it independently, so they are not part of the DocsVision platform, but are part of the built-in DocsVision Document Workflow application.
All applications created using DocsVision provide:
- Unified information storage and presentation mechanisms
- Common mechanisms for delineating access rights to and handling electronic documents
- General tools for navigating and accessing data and organizing a user's workspace
- General structure of reference books
- General Knowledge Discovery and Retrieval Tools
- Unified Application Lifecycle Management and Routing
- Unified Application Management and Administration Infrastructure
- Unified Infrastructure Development (Configuration) Tools
- A uniform object model for all system applications and a common set of components used to embed into client applications.
The concept of the system includes the ideology of components that are not focused on connecting to the server, which ensures maximum scaling of the system.
To fulfill these requirements, the system is implemented in a three-link architecture, the middle link of which is the Web server. The Web server runs one of the main components of the kernel - the storage server, which provides access to data and file storage. The storage server is implemented as a stateless component, which solves the problem of scalability at the mid-tier of the application.
In addition, the Web server solves the problem of installing modules on the client workstation, which dramatically reduces the cost of installing and updating the system.
The system allows you to work simultaneously with several database servers, and can also balance the load of DocsVision application servers when running Microsoft AppCenter.
DocsVision will allow you to work with:
- Electronic documents containing large amounts of data
- Large number of documents stored on the server
- More concurrent user sessions
The architecture of the system is designed for the ability to work within the current infrastructure of the information system. DocsVision is designed to work with Microsoft SQL Server as the base store of information, but it can support other most common database servers. The Document Routing System can be either Microsoft Exchange Server or any e-mail system that supports SMTP. The main DocsVision application server runs Microsoft Internet Information Server.
Both Internet Explorer and Microsoft Outlook can be used as client applications. DocsVision applications can be built into Microsoft Office SharePoint Server using Digital Dashboard WEB Part technology.
The DocsVision system is implemented in an open architecture. All functions of DocsVision applications are available through APIs that provide unprecedented flexibility to use platform components to create specific solutions. There are tools for embedding individual system functions in applications already used in companies. The system allows you to combine all applications created on its basis into a single complex.
The initial and complete WEB compatibility of the system, in particular, its management tools, allows you to use DocsVision applications from anywhere on the world network, the availability of off-line document routing tools allows you to connect users who interact with the company's office only by e-mail to work with the system.

DocsVision protects EDS with eToken
Docsvision and Aladdin R.D.. DoxVision have completed certification tests of the products of the line eToken with the system electronic document management (). EDMS DocsVision The test results confirmed the effectiveness of using eToken electronic keys to store key information in the DocsVision system.
DocsVision allows you to organize a legally significant document flow using an electronic digital signature (EDS). In the certification tests for the safe storage and use of private keys (GOST 34.10-2001) and signature key certificates, certified products of the eToken line were selected. The test results confirmed the correctness of the electronic keys eToken PRO/32K, eToken PRO/64K and eToken PRO 72K (Java ) ( in the form factor of a USB key and smart card), eToken NG-FLASH, eToken NG-FLASH (Java), eToken GT, eToken NG-OTP. In addition, full compatibility of products with all versions of Windows operating systems (32- and 64-bit) has been confirmed, including MS Windows 7, which is increasingly in demand by Russian customers .
The certificate of compatibility obtained from the tests carried out confirms that all eToken models are recommended key information carriers for the DocsVision 4.5 EDMS. Their use allows you to encrypt and sign electronic documents in the DocsVision EDMS. This significantly increases the security and reliability of the document management system both in remote work and in the corporate information environment, and also allows users to be fully confident in the authenticity of signed documents.
Advanced Technical Support
In October 2010, it announced the launch of advanced technical support: the company will ensure prompt response to customer requests and increase the availability of technical support from 10 to 12 hours a day. Advanced technical support is introduced to ensure uninterrupted operation of customers in case of emergency. As part of the new service, the main operating time of the technical support service is from 8:00 to 20:00 on weekdays. If the situation requires urgent action, then Docsvision employees will solve it until midnight and from six in the morning. At the request of the customer, work can also be organized on weekends and holidays. The guaranteed response time to incidents has been reduced, now it is between two and eight hours, depending on the priority of the task. At the same time, the time for correcting errors with critical and high priority is a maximum of three working days. Another feature of the advanced technical support of the DocsVision system is the assignment of a personal manager to the customer company, which will ensure high quality of service.
Document Archive Management Module
Docsvision announced the release in August 2010 of the Document Archive Management module for DocsVision version 4.5, which expands the user experience and allows you to organize convenient storage of out-of-circulation documents.
Each company sooner or later faces the problem of how to store documents that have left operational workflow. As a rule, you have to store not only files created in various applications, but also paper archives, for example, accounting documents. The developers of Docsvision have proposed a fundamentally different approach to the problem of storing documents. The new DocsVision application "Document Archive Management" is designed to automate the processes of formation, registration of issuance-return and storage of cases containing paper copies of documents that have already left operational workflow.
In general, the new module allows: to create an electronic archive of the organization; automate the work of the organization's archive service; automate the activities of the documentation management support services (PTA). Employees of this service will be able to conduct the nomenclature and registration of cases in the most convenient way for the subsequent transfer of documents for archival storage, the Docsvision message says.
"Document Archive Management" can be used either independently or in integration with any DocsVision application. If this application is integrated with DocsVision "administrative workflow," then users can include documents from the archive in any case directly from the registration card of this document. The main convenience is that all application cards can be quickly configured taking into account the requirements of a particular organization, as well as each individual user.
Barfolomeev Anton, Production Director of Docsvision, noted: "When creating the DocsVision product line for version 4.5, the main emphasis was on speed and flexibility of settings. The Archive Management module is especially in demand in government organizations where the flow of documents requires constant control and systematization. Therefore, we created a new version of the module taking into account the needs of such customers. "
Personal Data Protection
DocsVision is one of the first systems to receive a certificate of personal data protection under FZ 152, it can be used as part of the ISDS up to and including K2 class. The availability of a certified version of the DocsVision system confirms the quality of the system security mechanisms, and allows customers to certify solutions based on it in accordance with the requirements of FZ 152. The security mechanisms used in DocsVision allow you to limit the number of people involved in working with data, which allows you to control the process of working with a protected document and know where information leakage is possible.
This scenario can be implemented both within the framework of discretionary delimitation of access rights, and with the help of mandatory security. In addition, information protection is provided by the use of security measures for remote work, for example, using VPN tunnels, HTTP protocols, EDS and other means. The rules created in the system allow you to protect the documents themselves, in addition to this, the system capabilities allow you to configure a role model for accessing documents, system reference information and search results, which also help in restricting the rights to use documents.
Legally relevant inter-organizational and internal electronic document management
In February 2013, Docsvision and SKB Kontur announced the start of a partner program, within which users of the Docsvision EDMS will have the opportunity to organize a legally significant interorganization and internal electronic document flow. The joint use of internal and external electronic document management systems will provide cross-organizational, legally relevant electronic document management for Docsvision users. To solve this problem, an additional module of the Docsvision system was implemented, which ensures the interaction of the internal corporate EDMS based on Docsvision and the system for the exchange of electronic legally documents "Diadoc." The module was developed by Docsvision partners ECMGroup.Pro. The module solves the tasks of external document exchange not only for the accounting and finance departments, but also for any other departments of the enterprise involved in the electronic document management circuit: supply management, contractual departments, sales and clerical document management departments. Working with electronic documents will be as convenient as when working in internal corporate EDMS. In this case, the legal significance of the documents will be ensured in accordance with all the requirements of the law. Docsvision users will be able to instantly exchange any informal documents with their customers, suppliers, partners, remote departments without leaving the system. Users of "Diadoc," in turn, will be able to automate the internal document flow by connecting it to the document flow between companies. In addition, all Docsvision users will have the opportunity to purchase electronic signature certificates from the SKB Kontur Certification Center, the largest commercial certification center in Russia, guaranteeing a high level of security and the quality of certificates provided to its clients.

- determining a card data structure and basic card data processing logic;
- Loading card libraries into the Docsvision server database.
The tool is intended primarily for software engineers, but can be used by other users of the system, since one of the advantages of the application is the ability to develop cards without deep programming knowledge, at the expense of a wide range of available tools.
The main tools of the module are designers:
- The State Designer allows you to configure the life cycle of the card. With it, you can create states, transitions between them, and specify allowed operations for each state.
- Use the Layout Designer to set the property of existing controls and edit them further.
- The role designer allows you to define the user's rights and a set of his capabilities when working with a card.
- The script designer is designed to store and edit special scripts (scripts) created in the markup designer. The script designer allows users to add their own scripts, as well as replace or use existing scripts. You can call parent methods from child scripts.
"Application Designer" is not included in the standard delivery of Docsvision 5.0 and requires a separate installation, and when updating the version, reinstallation.
