In 2022, many customers reduced IT costs. There are more Russian systems of this class on the market, and their popularity has grown precisely due to the adaptation of processes to customer requirements in a short time.
In addition to technological issues, manufacturers had to solve the problems of optimizing the financial components of projects, training personnel and other pressing issues in cooperation with customers. The developers of BPM solutions accumulated resources to offer customers the most suitable functionality. This led to a significant increase in the capabilities and maturity of the systems.
There was a redistribution of market shares, and customers began to realize that within the framework of BPM it is possible to centralize different functions that were previously distributed to different systems: to solve the problems of customer interaction management (CRM), document flow automation (EDMS ), service management (ITSM) and more.
The customer strategy last year can be called "cautious": companies mainly watched the market, someone launched projects to find and replace software, but acted quite conservatively.

Increased competition in 2023
According to market participants, customers began to approach the choice of BPM solutions deliberately. Now they pay attention primarily to the level of development of the vendor and the product ecosystem: the quality of the platform, the availability of competencies in the market, the level of partners, the number of projects implemented. Protection against vulnerabilities is also important, preferably confirmed by FSTEC certificates.
Most Russian developers have access to very large domestic companies that have not previously been particularly interested in Russian products. This gave domestic vendors tremendous experience: both in terms of maturity of requirements and scale of projects, and in terms of budgets. It can be stated that the products of the Russian market began to develop much faster. Customers who were not ready to switch to Russian products, now see the results of the first migration projects and begin to show interest in them, make a decision on migration.
According to Vladimir Andreev, president of Docsvision, the replacement of OC and DBMS by large enterprises is in full swing. In the near future, mass replacement of application systems, including ECM, will begin. It is important that today customers for the most part consider only solutions based on fully import-replaced platforms.
At the same time, medium-sized businesses invest in migration extremely carefully. For the most part, the companies have remained on the old software for now, but they are monitoring the situation, and if it does not change in the near future, they will begin to migrate to domestic software. This could happen in the next 3-5 years.
In 2023, BPM is increasingly beyond the contour of individual companies. New business processes are simulated simultaneously for multiple organizations. The most indicative example is the public sector, where there is an active transition to a client-centric model of public administration.
It requires integration at the level of business processes of a huge number of federal, regional, municipal structures, budgetary and public organizations. The difficulty of choosing is that at first glance the products seem the same: everyone has a visual designer of forms, processes, reports, reference books, mobile applications, integration tools, cross-platform. Russian developers have actively joined the struggle for vacant niches and are bringing new products to the market. Customers study their capabilities and assess what compromises they are ready to make when using domestic analogues, since it is too early to talk about an equivalent replacement of software from leading foreign manufacturers.

There remains an interest in microservice architecture, which allows you to disconnect the lifecycles of different applications. According to market participants, the demand for BPM solutions will continue to grow. Large customers will go through the first stages of comparing all systems and realize that full analogues of old solutions cannot be found. Then customers will approach the choice of new software more objectively.

Problems with the use of foreign systems
The process of leaving foreign systems from the Russian market has not yet ended and, in general, has stretched over time. Some vendors have extended their work until the end of the terms of support contracts, and for many companies this time is right now. But even if the license remains, questions arise with technical support from the vendor.
The use of foreign systems today can bring difficulties of different levels with different levels of urgency to solve them.

Comindware notes that there are no such monstrous products as SAP in the domestic software market, and it is difficult to find a replacement for them. Similar systems meet the requirements of customers and import substitution requirements, however, practical difficulties may arise with them.
For example, if a company transitions from linear-functional management, the BPM system may seem unusual and perceived as another space that impedes actual operation, rather than helps. But gradually they get used to BPMS and use it as a single window connecting all information systems, including ERP.
There may be difficulties with documentation. If it is outdated or remains on the side of the departed vendor, it will require rethinking or restoration.
In addition, a number of vendors note that a new, unfamiliar interface causes a negative impression among customers. Visual components, button names, function locations can vary across systems, and employees have to retrain. People always prefer the usual, and rejection in the first stages is understandable.
A more specific problem that customers face is a tight time frame, since sometimes there is a risk that critical processes will stop, and this will lead to huge losses.
In my opinion, the key problem is that it is still difficult to find a system among Russian analogues that, as conditionally the same SAP CRM, will be able to cover several areas of CRM already implemented by the client at once. Ensuring the functional coverage of large Western BP systems and solutions created on their basis is really one of the problems faced by Russian vendors. According to BPM market participants, the demand for business process management systems in 2021 increased in almost all industries, but the most noticeable growth was noted in the public sector, financial companies and industry. BPM solutions are still in low demand only by small businesses.

As for the trends of 2022, according to Anna Kuznetsova, in the financial sector and retail chains, the increased interest in BPM after February 24 is due to the fact that they historically used a large number of foreign systems, and now they need to migrate to domestic solutions. In the public sector, the use of Western software carries sanctions and legal risks. Dmitry Arefiev says that the most acute demand for replacing the systems used by BPM/ECM/CSP was manifested among the Russian subsidiaries of foreign companies that previously actively used foreign products.
Vasily Anfinogentov, director of the business process automation department of FORCE - Development Center (FORCE Group FORS GROUP) emphasizes that in recent years the demand for BPM systems has grown significantly in the field. Foreign BPM systems for Russian customers: difficulties and options for overcoming them
After the start of a special military operation and the imposition of sanctions, almost all foreign vendors rushed to leave the Russian market. According to experts, this opens up colossal prospects for Russian developers of business process management systems, although before that domestic companies occupied leading positions in the BPM segment.
Domestic BPM products in functional terms do not lag behind foreign ones, confirms Yuri Vostrikov, General Director of LANIT Omni (LANIT Group of Companies). - If we talk about flexibility and ability to meet customer requirements, our vendors were more successful than foreign companies. However, large business for a long time still chose foreign solutions, expecting that it would receive a high maturity of processes, the best service and implementation experience. Now there are opportunities to change the situation in favor of domestic developments. |
Vladimir Andreev notes that at first after February 24, there was a slight decrease in demand and a slowdown in projects associated with the desire of customers to understand how the situation will develop. However, quite quickly demand not only recovered, but also accelerated, which is primarily due to the need for import substitution. Anna Kuznetsova says that in March-April 2022 there was an abnormal increase in the number of requests to BPM vendors from potential customers. Many companies using Western solutions have urgently sought clarification about the possibilities of import substitution, without yet understanding the aspects of using foreign software at home. Subsequently, many realized that the migration problem did not require immediate action. As a result, customers calmed down, so it was decided to postpone large and complex projects for switching to new software while it was possible to work on the old infrastructure.
Customers who used foreign information systems and software faced difficulties when working in the clouds of foreign vendors. This applies to most large customers, notes Yuri Vostrikov. They had to urgently migrate to their available counterparts in order to maintain process continuity. "This entailed additional risks to sustainability and, of course, impressive costs for the rearrangement of systems, often associated with significant amounts of additional development," the expert continues. Naturally, this situation negatively affected confidence in the clouds. If earlier 70% of companies chose the option of placing BPM in the cloud, now only about 50%. In the next two years, this alignment will obviously continue, Vostrikov predicts.
Another shock to the market was the inability to renew current licenses. In addition, there was a disconnection from the technical support of foreign companies. Against this background, the state called for more active import substitution and tightened requirements for the timing of the transition to domestic products. According to a study conducted by Naumen in the summer of 2022, by that time 56% of Russian companies had already lost technical support for IT solutions based on Western software. Among other problems of using foreign solutions, respondents called the inability to extend the subscription, a significant change in cost, the risk of "not getting into Russian legislation."
The Russian market for BPM systems is now changing, foreign solutions are being replaced by Russian ones, which favorably affects the domestic market. However, a number of experts say that there are also negative points. According to Anton Ermakov from Comindware, the departure of Western companies forces Russian business to quickly rebuild, but at the same time experience and internal competencies in the use of imported software, which the market has used for many years, are lost. In addition, companies, to put it mildly, are not delighted that they now need, in fact, to re-invest in digitalization, switching to Russian solutions. It is especially disappointing for the company, which completed the introduction of foreign systems by the beginning of 2022.
At the same time, most experts are not afraid that with the departure of foreign companies in the Russian segment of BPM, competition will significantly decrease. Although it will be easier to compete to some extent, leading companies remain on the market, which have high-quality and functional developments in the field of BPM systems. Much will depend on how actively companies develop their products and how fully they can take into account customer requirements.
Market situation in 2022. And what's next?
Even despite the difficult economic situation, business leaders and experts from BPM companies expect significant market growth in 2022. Directum believes that a single ECM direction/BPM will grow by about 20%. According to Anton Ermakov (Comindware), BPM can add more than 30%.
Mikhail Rozhkov, an expert at PARMA TG, is more cautious in his assessments. According to him, the demand for BPM systems will support the need to switch to new domestic IT solutions and restructuring approaches to public administration. At the same time, the overall reduction in investment in new digital transformation projects will weaken the dynamics of the business process management automation market. Rozhkov believes that compared to 2021, the market may even fall slightly, since BPM systems were not among those that companies first began to "import substitution." The main wave of migration of BPM systems will begin in 2023, Mikhail Rozhkov expects.
Another opinion is shared by Vasily Anfinogentov, Director of the Business Process Automation Department of FORCE - Development Center:
As our experience shows, crisis phenomena - a reduction in markets, a decrease in resource availability - are drivers for the development of BPM solutions. In such conditions, companies are forced to look for additional resources to improve efficiency, and BPM solutions just provide the necessary level of formalization of actions and a higher degree of control. |
At the same time, Anfinogentov notes that the future of the Russian market for BPM systems will largely be determined by the state of the Russian economy.
Dmitry Pereponov from CROC has no doubt that the high demand for BPM systems in the enterprise segment will continue for at least another two years. According to the expert, the first key factor in demand growth is the choice towards automation of end-to-end processes and the rejection of the "patchwork blanket" approach in IT systems. BPM acts here as a link between the divisions of the company. The second factor is the import substitution of foreign legacy systems, which have been rebuilt for years and have already become little like platform solutions, which were originally. That is why today BPM systems are the most suitable solution, Pereponov believes. They not only close the tasks that business needs, but also take into account the requirements for customization for the user.
More than 74% of companies in Russia are actively engaged in business process automation projects
The Russian Association of BPM Professionals has completed the analysis of data that were obtained during the All-Russian study of the speed and effectiveness of digital transformation. The study was conducted in the form of a survey in which companies from the banking and financial sectors, trading businesses and large industrial companies from almost all regions of Russia took part.
As the study showed, 33% of the companies participating in the survey maintain the pace of digital transformation despite the change in the market situation. And only 7% of companies have completely frozen investment in digital products.
The top priority area for implementing software solutions is the control and automation of logistics processes. It accounts for 23% of responses. Least of all, companies are ready to invest in digitalization of recruiting - less than 7%. Perhaps the reason for the tougher focus on investment was financial losses. Russian companies noted (33.9%) that the events of the last two years led to a loss of revenue in the amount of 5 to 10%.
In time the publication of the preliminary report of the study, Russia maintains a high level of use of programs Excel from (Microsoft 52%) as a tool for digital control of enterprise processes, while 62% of companies use programs for management, and business processes email only 17% use special digital solutions.
More than 74% of companies in Russia are actively engaged in projects to automate business processes. 5.2% of companies do not have such projects, and they are not planned.
The main problem that restrains the digitalization of business in Russia is money. Many companies require additional investments in automation software, which are not included in the plans for the main costs of maintaining and developing the business. For 49.2%, the lack of additional investment is an obstacle to the introduction of new software automation tools. It is noteworthy that additionally, the study participants indicated another reason - the lack of motivation among employees (52.5%).
On digital tools, Russian business is ready to spend up to 10% of its profit (14.5%), even less - 2% of profit - 27.3% of respondents are ready to give software developers.
At the same time, 40.4% of the study participants are ready to buy ready-made IT solutions and use the services of integrators. Another 40% are ready to independently develop software or seek the services of IT companies specializing in outsourcing.
It is curious that in 2022, Russian companies have significantly changed their view of software tools. For example, previously less than 10% trusted open source solutions. As of November 2022, the level of trust has more than doubled. Confidence in the ready-made software tools of Russian vendors has grown even more - by 290% to the level of 2020. Interest in custom development has not changed much. More than 46% of the surveyed companies consider the use of Low-code and No-Code solutions.
Among the advantages of using domestic technical means to automate business processes, respondents note the possibility of avoiding the negative impact of sanctions pressure and a more favorable price compared to foreign counterparts. Moreover, for 62.1% of the study participants, the price of IT solutions is important when choosing. But when evaluating the offer, companies will consider all the advantages and disadvantages of the IT solution in a complex, including the speed of work, feedback from colleagues and the reputation of the manufacturing company. More than 55% of the company necessarily needs a test period to evaluate the software.
As for the goals of introducing automation tools at enterprises, the results of the study indicate that the main priority is the desire to increase labor productivity (91.7%), in addition, participants in digitalization processes set themselves the task of increasing customer satisfaction (48.3%) and switching to a remote work format (15%).
36% of companies are ready to refuse to use foreign software, this is a priority for them. Among the problems of import substitution, companies see a high cost (34%), poor software compatibility (50%) and a lack of expected functionality of IT solutions (60.3%), lack of established practices (32.8%).

For the Russian market of BPM systems 2020-2021 were very successful. The second obstacle - BPM systems are mainly focused on large companies with already established management processes, where they pay a lot of attention to business modeling and KPI analysis, and not workflow automation. They include complicated modeling processes that are practically not in demand by Russian companies. Targeting major world leaders dictates higher prices than those that Russian business can afford.
Another problem is that there is no support for situational management tasks. For example, modeling simple processes on the fly, creating personal business process templates, integrating group work and unstructured processes into BPMS functions. Obviously, such tasks require a single integrated tool. These requirements may close the new -Adaptive Case Management System software class.

What is typical for the Russian market today
In 2012, the Russian market is in a state of "catching up" with respect to the Western one: few people use process management in their business. Speaking to participants in our workshops, we found out that approximately 50% of them are only in the second stage of the development of business processes in their company (that is, business processes are described not on paper, but through visual design tools that allow you to organize some visual catalog).
Let me remind you that all business processes can be divided into two groups: document management processes associated with the document, and functional processes, the main focus of which is shifted from the document to the interaction of people. Typically, among workshop participants, approximately 50% have experience with document management processes. At the same time, there are many more such companies than those that consciously manage operational processes. This is not surprising, since document management processes are more understandable and accessible, and tools for their automation have appeared for a long time and are actively developing at present. With operational processes, the situation is more complicated: it is negligible (no more than 10%) the indicator of those companies that understand the very possibility of automating these processes not using accounting systems, but as processes of interaction of people. These are mainly companies operating in the most competitive markets and using systems that allow them to program business processes. And only 5% of companies use BPMS systems in their work, which allow describing processes in user mode.
The leaders in the application of process management are leaders in the use of information technologies: companies in the banking and telecommunications sectors. These companies rarely use 1C systems to automate their operations. At the same time, due to their wide financial capabilities, they can choose the most acceptable BPMS class product for themselves, without looking back at the cost of the product itself or the cost of its integration with their system.
However, as you know, for medium-sized businesses Russia 1C it is a standard, and it is no secret that most Russian companies use 1C software products as the main accounting system.
Previously, these companies could not work with BPMS systems due to the fact that Western solutions were too expensive for them, and the integration of these solutions with an accounting system on the 1C platform required serious investments. Now the situation is more optimistic: new software products are emerging, and the first innovative companies have already experienced all the benefits of using systems of this class. The rest of companies are skeptical about such innovations, as well as a decade ago, many were distrustful of the use of information systems as such on a broader scale than accounting.

In October 2011, IDC presented the results of a special study on the topic of process management.
Where it all started
In order to form a more complete idea of modern business process management systems, we will trace the history of their creation.
The first step in the evolution of process control can be considered the use of block diagrams drawn on paper. Similarly, attempts have been made to describe the business processes that take place in the company. It would seem that it could be easier and more affordable? However, this method had one, but significant drawback: it was impossible to measure the cost, time and other indicators of the process. In addition, there was no guarantee that the process was executed exactly as it was described in the flowcharts.
The next stage of development was the emergence of simple graphic editors, and after them specialized tools that made traditional block diagrams more convenient to understand. Flow diagrams began to be described in special notations, which allowed people involved in modeling business processes to communicate in the same language. The editors also released special program modules that made it possible to obtain upper-level indicators from accounting systems, which are the results of the processes described in the flow diagrams. These were mainly financial data. It was not possible to obtain operational indicators of processes at that time.
It is logical that the next serious step in the evolution of process management was the emergence of systems in which it was possible to work with operational indicators. Such systems implied the execution of processes directly in the program, which made it possible to analyze the time, quantity and cost indicators of processes in various sections. The only serious drawback of these programs was that it was quite difficult to model business processes in them: changes had to be made to the program itself, that is, to engage in programming.
A real breakthrough in the development of process management can be considered the emergence of modern specialized systems or BPMS (Business Process Management Suite), which allow you to automate business processes by designing them in user mode, as well as analyze the operational indicators of designed processes. Such process management tools allow you to erase the boundaries between business and IT and offer users a convenient means of implementing processes through their visual description and configuration.
